today I'll be playing the part of somebody who's just signed up with DocuSign they haven't gone through any of our standard onboarding and training but have a new prospect that they need to get an offer to and get signed as quickly and pain-free as possible here I've logged into our web app which is all browser-based so didn't have to install anything and I'm actually at home working for my home computer to start I click new send an envelope and this brings me into a draft in view of a DocuSign transaction similar to drafting an email and attaching a document I just need to upload the document into the envelope which is as easy as dragging and dropping or one of the many other DocuSign options now that I have the document I just type the name and email of who it's going to in this instance I actually need to send it through approval to their manager before it goes to the candidate so I'll type the name and email and then add peri after the new candidate in this scenario we've actually predefined who we want that document to go to and in which order this way instead of daisy chaining the document between Alexa and Perry it will now automatically email to Perry once Alexa has approved it if we go into the next page we can see the document and on the left side these are what we call DocuSign fields this is where you get to be very prescriptive in terms of what you want each person to do and we're on that document so instead of each recipient trying to read through and figure out what's needed of them you can actually assign Alexa to approve the document we can also assign Perry to sign the document and also automatically populate the date assigned as well this also means no more review process to make sure that the signature and date are on that document it's automatic once we hit Send we'll have visibility into the entire process and if it's been approved and if the candidate has even viewed they offer yet at this point you may be thinking what if I don't want to drag and drop these fields every time and have those recipients to the workflow that's where DocuSign templates allows you to actually standardize any piece of those envelope building blocks we just walked through all I need to do is click create template which brings me into a template creation view to name it something easy to recognize I can also adjust the recipient roles to make it easier for the sender to know where to type the name of the email you can standardize the email subject and message to the candidates as well most importantly is that we have the ability to set automatic reminders for these documents well this means is instead of constantly how didn't people via follow up emails or phone calls you can let DocuSign handle this automatically to keep that email top of inbox but also to take that workload off your plate so you can concentrate on higher value tasks like bringing in the best candidates as we get into the next page we can see the tags and where they would be stenciled over top of the document when you're sending out for different candidates but there are scenarios where the documents actually changing in length and DocuSign is actually smart enough to adjust for this utilizing what we call auto place this tracks where you want the tags to be place relative to the text that you choose now let's take a look at how easy it'll be to send out a new higher offer letter now that we have templates in place I click send an envelope and upload a different offer for Sam this time and we can see DocuSign smart enough to actually recognize that document and asks if we want to stencil on that workflow in tags which we can automatically be applied as well I also know that once the offer is accepted I have to make sure that the new hire gets a packet filled out and signed as well I've gone ahead and created an onboarding packet template as well which I can select to bring in those documents and the parties that need to be notified with document visibility we've turned the entire onboarding process into a few clicks to send and automate the routing of documents now the approver gets only the offer letter and when approved will automatically go to Sam once he accepts the offer it will automatically get another email with only the onboarding documents but also IIT will be notified right away to provision electronics the same thing goes for the direct deposit information which will automatically go to payroll you'll have visibility into this entire process as well without having to manually manage the paper flow from here all I need to do is type in the name and email of the manager in the new hire and hit Send
