um let's go ahead and get started so everybody can hear me and see me all right well great well good morning or good afternoon everyone and a happy Earth Day and thank you for joining today's webinar on managing contracts remotely and the advantages of using contract management software I hope everyone's doing good and staying safe I'm sure you're all working remotely just like me and the rest of the team here at at contract logics so I'm Dave Parkes I'm the director of product marketing here at contract logics and joining me today is Tim Donaghey our chief technology officer Tim leads all of our product and technology direction here at the company so thanks for joining Tim and it looks like the slide hasn't advanced either there we go so thanks for joining us Tim yeah thanks Dave happy to be here excellent I'm also joined by Justin Perkins he's a solutions engineer contract logics Justin works with them a lot of our prospects and customers to really figure out the best solution for their needs so hey Justin thanks for joining not a problem thanks for having me today get a chance to get a chance to sit down with everybody and I do they actually sneak into a very very quiet office today unlike unlike most people I think we'll be speaking with today excellent so we have about 30 minutes or so of content to walk through where we're going to not just be discussing but we're also going to be demonstrating some of the ways that contract management software can it is helping organizations today after that we'll leave plenty of time for Q&A over the course of the webinar if you have any questions you can submit them via the Q&A function here on zoom' and we'll do our best to get to as many of them as we can at the end and then any we don't get to we'll make sure we follow up with you directly so we will answer all the questions and for those of you who aren't familiar with contract logics so we're one of the longest tenured providers of management software actually been in business since 2006 and we work with organizations really well sizes and industries we're a 100% us-based company all of our service support and development is done right here in the states so let's look at our agenda today so so first up we're going to look at some of the challenges that organizations face when it comes to contract management when everyone's working remote this was actually a big topic on our last webinar so this is a basically a three-part webinar series and we spent a lot of time talking about those challenges on the last one so I encourage you if you haven't seen that already I encourage you to watch that recording and if you need a copy of it just let us know then we'll get into really the heart of today's webinar which is to talk about the business advantages of using contract management software not just during this time of crisis but really is a modern approach to digitally transforming your contract management and processes as part of that discussion like I said earlier will actually be demonstrating how all this works right in the software and then finally we'll go ahead and know we'll open it up for for Q&A I just wanted to spend a little bit of time here talking about some market dynamics I mean obviously we're living in a very interesting and challenging time right now we've all experienced firsthand this incredibly rapid shift to working remotely and clearly that new dynamic creates a whole host of business challenges and frankly contract management is one of them if you look at each one of these challenges you'll notice that they aren't necessarily only present when everyone's working from home they can certainly be challenges in a normal business environment however these particular challenges on the slide they can get pretty seriously amplified when everybody's out of the office you know especially when you're using manual or traditional methods of managing your contracts so just take a quick look at each one so first accessibility you know can you access your contracts remotely how are they stored and and protected and shared you know that's a big consideration when nobody's in the office can your employees access the documents and information they need to manage contracts yeah and Dave you know this one I think overall is a pretty pretty tough challenge especially as you know everyone scrambles around to implement their business continuity I mean I think it goes without saying but the largest impact is on people but look we have to have access to really a wide array of information day to day and you know obviously when in the office that's pretty pretty straightforward but as soon as your remote new challenges like the centralization or accessibility become apparent and I think that's even when you have the best continuity program is in place and then also think of it like in terms of you know certain people you might need to consider that they may be disadvantaged from this standpoint so without a central solution in place you know do they inadvertently have access to information maybe they shouldn't or or vice versa right so accessibility it's not an easy challenge at all it's certainly amplified today and the demo will sort of work through some of that and talk through centralization points with Justin and again this is one of those areas that if you have a manual process of paper-based process in place you know that can be pretty significant from a challenge perspective and that goes without even any of the security concerns so very important and I know Justin you typically with our customers tend to do a lot of demos in this area I mean what's your thoughts on this I'm sort of curious of your perspective yeah this is one especially when you look at things from a starting point that a lot of businesses today are trying to improve and tackle just on a normal basis so now you've have us in a situation today where suddenly I can't go walk up and grab a piece of paper that I need potentially because we're well we could be remote I think we were joking and talking about this Tim of you know things may be still locked down a little more than they need to be in terms of an office setting right now and how do you actually go and get to some of these items you need to get them into a setting that you can find them get them easily but also make sure your security is in place for this and it's it's that foundation that we're going to talk about and we've been talking about every day to all of our potential customers or or people who are looking for solutions like this yeah without a doubt and I think that at the end of the day we're going to note this when we get into the solution side about accessibility visibility centralization this is key this is foundation it's going to enable the rest of the other tips and solutions as we talk through that today but yeah certainly fair points Justin yeah yeah good insights guys so let's look at the second one collaboration you know obviously it's going to be more difficult collaborating on anything never mind contracts but you know you need effective communication strategies now more than ever and and because contracts require collaboration right you need to collaborate internally as well as externally with third parties so I think this and and I didn't hear really your your last part of that Dave but you know again I think with this one you know one of the things that we discussed in the first couple of webinars was how important a crucial of a role people play you know in the contract and business process you know obviously but I mean consider that without a system in place you probably relied on email interoffice interactions maybe it's meetings or similar to get things done you know it's just a noted you can walk right down the hall and say hey what's going on with this contract right this is all come to that grinding hole so collaboration it's going to remain key though business doesn't stop here you'd have to have effective communication strategies I think overall they're probably more important now than before and maybe maybe we've taken that a little bit for granted historically you know you need to be able to ride that the information not only is communicated but it's communicated as effectively and as quickly as possible so this challenge it's in fact everyone in the process when we get into the demo you know we'll sort of talk through this area we'll talk through you know the right methods to not just collaborate but use the information to your advantage throughout the process just in any perspective no I think you really kind of hit a lot of this home and we're gonna be talking about this as we move through some of these things today but it's it's that just that key factor of that person their person interaction which when you you don't necessarily have that to be able to track some of these items down giving you the means and the tools to make sure you can keep up with this and know where everything sits in a process is key you need to make sure you the last thing you want to happen right now given what's going on with the economy chances are you still need to purchase and sell things just maybe I was gonna just jump in on this and this is something that when you you look at your ability to know where everything is at any given time and a process and being able to simply get an updated version and of an agreement know where things sit in terms of do I have the latest and greatest version of what's coming up for expiration all of that's just kind of key to help your company keep running and functioning and when again you don't physically have some of these things in hand that does cause things to come to a grinding halt as you've said Dave I think that's a really really kind of hard plot time for us to kind of have to realize this right now this way for a lot of companies obviously when you look at that I mean if you lack the visibility for you know not just your contracts understand them get access to the information surrounding them amendments all of those good things this is going to be really be a major contributor to all other challenges you might face as we sort of started to allude to when we talked about the first accessibility of centralization this is actually one of those first things we typically create to a customer you've got to set the foundation you've got to set visibility of your information have that data centric mind approach so again you can leverage it no matter where you are in your business process and I think overall that that'll be pretty critical you know and obviously if you have company or departmental spreadsheets or maybe you're leveraging email things like that today being remote that's gonna be a pretty significant challenge to overcome because well those are typically individual technologies that we use we don't generally you know collaborate necessarily without you know other technologies like zoom or whatever to complete that type of stuff but just something to think about disability remains key for every single detail we're gonna demo that at length we'll go through that here today and work through some of the benefits of visibility of your contracts and your contract information okay excellent moving along to accuracy then the the next one we've got I mean this is this is another one of those challenges where it's a problem sort of regardless or it can be a challenge I should say regardless of where employees are physically located but you know I think the key to with the accuracy is to figure out how you're going to accurately gather all the information that's required to to process your agreements from start to finish but doing it in a way where you're not going to lose a bunch of efficiency when everybody's not in the same place and when we kind of go through the demo today we'll talk through some of this but look the reality is we're probably still scrambling settling in with all the you know circumstances going on this one I generally think is kind of looked at as a maybe not an afterthought for all but you know it's something that you want to consider but today we want to sort of work through that from a couple of angles and we'll cover that in the demo some key areas that you can improve accuracy which really sets the foundation to improve communication and the information throughout the process so yeah that's good compliance another one you know it's it's certainly definitely harder to enforce compliance with your processes regulations even obligations like key dates but but it's also more important than ever right now to be protecting your business from any unnecessary risk and so you've got to ensure you're complying not just with external regulations and requirements but also your own internal business rules right yeah without a doubt and when you look at compliance you know the system itself is going to allow you to really key in on that information ensure that you know no matter where you sit or what type of contract you're gonna be able to follow those business rules ensure your language your process or you know all those little details are met from a compliance standpoint again and the demo will sorta talk through that really at a real high level just so that you know you get a sense of what that might look like but bottom line is you know with any CLM system you're always looking to be a more aware of risk we're looking to circumvent all legal in potential financial or reputation types of risks that you know the contracts might bring but we can't we'll cover that in the demo a bit yeah yeah good point then what's the last one here communication which we sort of touched on in a few different ways with collaboration and invisibility but you know this communication is certainly a big challenges in this environment sure we get tools like zoom like we're using right now not to help with that but you know at the end of the day like we've said you can't just walk down the hall and ask someone a question and get it answered you know how are you communicating tasks related to contracts or deadlines or other important contract related information I mean this is a this is a big consideration Justin what's your thoughts on this one yeah this is one of those things that's at kind of a little bit of a forefront for me right now where you have a lot of people who in times that I talked to them are are kind of running around and trying to deal with the correct process that they need to follow sometimes the back-and-forth communication that they struggle with day to day now you're in the situation we're in today where I can't just go walk over into you know Dave parks office right now and ask him a question on something and try to get the follow-up for where what thirty steps happen before this I want to be able to come in and see this and and just know what am I supposed to be doing at any given time what are our upcoming deadlines that's really what tools like this start to help you optimize as a business yeah that's a good point and I think as a whole because everything has changed so drastically the reality is communication has always been a crucial sort of issue surrounding contracts I mean you always have to have effective communication you have to present the right information be aware one thing about you know clx is that often we have people that come into the contract process at varying times within the relationship pre or post execution right so we need to ensure that you're getting access to the right information you have that view and you're able to you know obviously effectively communicate a centralized system helps put that all in one place makes it all accessible makes it extremely easy to use and ensures that you know whether you're verbally or communicating via email or systems that the information is always accurate so we'll talk a little bit about that I'll get into the demo here shortly and we'll kind of go through that a bit so you know when you think about these challenges it kind of brings us to this this really important question and you think about how you're addressing those challenges what they mean to you organization it really all comes down to this you know are you able to effectively manage your contracts today you know I think if you can't o ercome those challenges that we've outlined the answers probably no and you know a lot of traditional and manual solutions for CLM make it really hard to say yes to this question you know whether it's spreadsheets or filing cabinets or contract scattered across different people's hard drives even shared folders are a major handicap when it comes to contract management you know never mind when you're trying to do that and everybody's you know totally working remote and this is interesting because I didn't you know obviously working with customers and prospects and whatnot and you know often they are trying to manage off of a shared spreadsheet or similar and theirs well yes you have the information somewhere often it's not all of the supporting documents the materials the you know vendor information or customer information and generally that approach tends to to lack a bit but you know obviously you do what you can with the times you know something is better than nothing I think overall in the demo though you know one of the things that's important is we really look to roll all that out simplify that process and really make all of that information manageable so what will kind of go through that but look regardless of whether you you have or you don't have a system you really find a way you evolve you've got to adapt and change with the times and you know well we're gonna highlight some of these benefits you know there's only so much it can do of course you have to make the right decision for your business so just food for thought there yeah yeah good good point actually good segue into into really our next section here which is you know taking a look at the advantage as a contract manager software you know again not just in this environment but overall and I think this is the meat of it this is the real fun part of this webinar so Justin and Tim are gonna not just kind of discuss these advantages they're also gonna as we said demonstrate them right in the software so let's let's get right to that guys yeah thanks Dave look I mean in this section we're gonna kind of cover you know go back and forth if you will between a slide and sort of very high-level demonstration and just go through some quick points if you have any questions obviously let us know you know obviously we want to offer you full demos as well so we can you know really get down to your specific business need but one of the first solutions here is the ability to access their contracts from securely and reliable from reliably from anywhere anytime right we talked about centralization you work you really need that single source of truth that system of record for your contracts all supporting information and documentation as we just mentioned in contract logics it's a great starting point for that it doesn't matter if you're just managing you know the post execution process in fact it's really going to provide you a complete foundation across the board and you know even incorporate all of the right role-based security and permissions as well so accessibility you know this is a must you've got two foundationally solve this problem and centralize your solution Justin I don't mind if you be able to hop into the system real quick you know one thing about a system and I'll just kind of jump right in um when you log into a solution like contract logics you know you might have features that are really easy and intuitive so you know the home page as Justin showing here you don't need to go access every little you know piece of feature in the system the home page is going to keep you apprised of everything going on on in your solution so you're gonna see important date reports all of your upcoming tasks and activity anything new you're watching and you're even gonna be able to access the full solution you know without you know having to do any guesswork so really big advantage in the solution but centralization is about where all of this information is really being pulled from so on the left hand side we have numerous records and contract logics that centralize and make this information accessible searchable and of course Justin just clicked into the contract tab reality is at a moment's notice you can pull up every single contract you can drill into contracts and find that information so I guess I'll sort of let Justin take it / and just talk a bit about records maybe open up a couple different examples to give you sort of a sense of what that might look like yeah and at the end of the day this is gonna be a place that it starts to become your world what do I need to be able to see at any given time what's important to me we talked about the advantages of security in some of this making sure I don't get outside of what I would be allowed that's one of the first things you probably want to start considering before you start to move into a cloud-based solution Who am I on what should I be able to see but also it's it's making sure that now you start to be able to go into these records and get a really accurate picture of where it is in terms of a process you know I opened up an old expired NDA here I can go get access to any attached documents as part of it any critical contacts who are we dealing with who might I need to go give a quick call to internally or externally signatories managers did we follow any tasks approval processes reviews even knowing when certain alerts may have happened on all of these processes I have that visibility at a click because all of that information is stored captured it's something you can drill down into an any given point across the system and we try to make that really easy for you to be able to access and find yeah you know in in a record such as this this is one type of example but what's critical is often what I see from a prospect standpoint is they often try to in essence sum up every single type of contractor agreement into the ten same columns or 15 columns which you know it's worth noting just simply doesn't work a system gives you information related to your NDA compared to your statement of work or your master servers are given or whatever and allows you to be as simple or really capture even sophisticated amounts of information because let's face it if you have compliance or other things of that nature that you're tracking whether it's you know key turns key dates key language key obligations whatever all of that's available to you and all of that would be accessible based on your permission and role - to your work for us and it's you know of course being served from the cloud so it doesn't matter what device doesn't matter where you're accessing and from it's gonna drastically transform that simplify that process and you're gonna have instant access to all of that information so centralization it's key it's critical for your business but you know another topic sort of wanted to jump in if we could just quickly hop back to the slideshow Justin and that next one is contract intelligence right so we're talking about centralizing that information that's great but part of having a smart contracting system is really you know how could you make effective and improve your you know decision making for your business even when you're remote right usually that takes important insights usually it takes you know that information that we're rolling up in providing reports or we're searching on to again not only be able to access it but use it to your advantage and maybe it's a competitive advantage maybe again it's just to be effective in your process well with contract logics you're going to be able to find all that information because it is in one location you're going to be able to search it whether it be based on language or criteria searching filtering grouping I mean we support multiple features there so you can really slice your information many different ways to to glean the most value from it within the solution and so this slide obviously talks a little bit about you know key performance indicators reports dashboards and then the other thing that I think is just one of those really simple things that we take for granted but staged status tracking where are we who has it what's the next thing we need to accomplish with the contract so if we out back over to the system you know the reality is contract logics is one giant report everything is clickable and accessible of course but you know we sort of try to auto roll up and auto provide you valuable information in the solution so you know you might notice in the upper left or in this case Justin's doing a test search we might search for key terms based on language you know Justin I don't know if you want to explain what you're doing in that regard your muted Justin I was and I'm trying away here to myself apparently yeah this is I as I was jumping you gotten into some of this a little bit Tim this is one of those things where you know everything here to a point is accessible it's searchable it's something that you get that real intelligence on but there's times you just need to quickly find something as simple as I need to know where we've mentioned the word assignment I need to go see where we've talked about indemnification I need to find a certain company and you can do that on different levels it could be on a global search like that it could be going into the grid you saw earlier and running quick reports where I need two criteria group sort you know stage status tracking Tim was talking about you know this is a newly created amendment that was set up today so I can quickly see you know when was it actually moved to this but over time I could potentially be seeing approval histories tracking and and we can start to get even version histories on these items so that we can know where we've moved through in terms of a lot of that history but all of that gives you that real intelligence to drill down and get this information in real time and you're not necessarily having to worry about being as far removed from some of these items because you can go open a record and see everything that's happened each step along the way and when it was done you know some of that Justin you mentioned this but you know you can search from one place every single record form field note comment all amendments you know all masters and original and even the actual documents themselves including scanned documents so we automatically OCR we automatically you know have cognitive search built-in so it's intelligent it's going to apply to all that information doesn't take a tremendous amount of effort to accomplish that but that's extremely valuable across the board and Justin jumped into you know contract binders when we're tracking those versions well we do that across the entire system so in a full typical demo we'll get into those history trails we'll get into version control at a document or at a contract binder level you know but intelligence is key I also like to look at intelligence as even small on screen hey this contract world will renewer expire in so many days or maybe if we go up to the dashboard I might want to just look at some you know charts and graphs on the solution the system has a lot of that functionality built in generally it takes obvious a little bit more than a webinar from a time perspective to cover all of those grounds but you know at the end if you want to view a lot of those extended features on intelligence in reporting and advanced reporting all of that's in the solution we can we can sort of accomplish that on in a full demo let's move on because we just want to give you that high-level view of that here today so Justin I know you know when we do demos and a lot of the times this is one of those important factors that comes up for a lot of reasons right Automation applies to a lot of details when you're in the CLM process it can be something as simple as criteria based or date-based alerting it can be to ensure that you have repeatable scalable business processes surrounding expirations and renewals and things of that nature with contract logics you know obviously we also a full workflow management in the solution so you can create things like approvals and approval thresholds and business reviews in really ensure that you know what even remote your users your end-users your business lines they don't need to know the business process the system will guide them it's gonna walk them you know through every single step each step of the way so they don't have to guess and the great thing about that is you're always you know following the same process you're tracking all of the processing metrics oh so there's that intelligence again and it's gonna you know really manage your pre and post execution contract stages and processes and if we just quickly jump into the system from a demo perspective Justin I know you love this topic I'll let you kind of sort of take this one and show folks you know some of the things they might benefit from yeah some of them are as simple as in system or external alerts and that was one of the really first points that you brought up Tim where I just need to know something's expiring I need to go to the right teams departments individuals contract owners whoever it is and just know that it's going to happen that's one of the most simplistic benefits that really most companies I talked to love but also making sure that when you start to get into some of that task management what am I supposed to be doing what is my team doing at any given time and that can be forefront the second I log in you saw this earlier I can know what am i doing what am I supposed to be doing here in a record I can go look at it you know company your team wide and then you can get this into the final aspect of I'm not just creating these items I'm creating a process that determines when these things happen that can get into a little bit of automation which in my world is something we don't want to spend too much time on today because you can get really really deep you can get down in the weeds when you talk about this but the end goal of when you kind of scale up over time to this this is not something you need to boil the ocean day 1 with but you can start to say hey when we meet these criteria when certain things happen we need approvals we need reviews we want things to automatically update and trigger for us that's the goal of what you start to build into with siela you get that core foundation that we've talked about all we've talked about all the time it's one of the most important things you can do that repository but then you start to be able to did these benefits of real-time alerts and notifications and getting people involved at the right moments yeah in this one I always liken this to be the difference between being Proactive and you know if you're using spreadsheets file cabinets etc usually you're fairly rollin reactive in that process only because you're sort of disadvantaged from the information that you have and what I love about workflows and things of that nature is simply that it's going to present you the right information at the right time and ensure your process is repeatable so you know again in a demo we typically will we'll go through all of that but I do want to take the next step and sort of talk about one last item here from and that in that term is execute so Justin if we could go back over to the slideshow um you know execution or execute contracts remotely you know this is something that throughout your contract lifecycle we need to ensure that you know whether you're submitting a request whether you're you know electronically executing and signing your agreements amendments etc all of this is made possible to ensure that you're efficient in that you can actually enable your business and even third parties to still execute those agreements so in from a demo standpoint we'd go back over to the system you know contract logics allows you it has a full centralized request functionality that lets you use simple to use web forms to have any end user initiate a request of course that allows the business line essentially receive and process that information what's cool about this you can do it on any device and you can have any type of forms that you want specific or maybe even more gen ralized forms and it's going to start that process off right get it out of your email it's gonna get it out of spreadsheets where frankly it doesn't belong it's going to deduplicate your effort so you're not wreaking all this information in and it's going to really again allow you to follow your business processes and I know for time reasons we don't have too much time I just wanted to quickly glance at a couple of other things so we have requests every stage in the CLM process is some some level of feature like this too these tools Justin if you go over to documents real quick it's worth saying though real quick our system integrates with today's top B signature applications so as you're out there in your remote you can't rely that everyone has a scanner or they can you know appropriately wet sign a document so in contract logics with the document and or with workflow you have various collaboration tools for checking out checking in documents most importantly though when you're ready to get it signed you can send it via e signature you can track all of your e signature statuses you can remind everyone and you know that's going to ensure that you're actually completing the agreements that you negotiate but you know I think we sort of run out run out of time because I like to ramble on but know at the end of the day from a demo standpoint look our systems full feature Justin if you go back to the slideshow real quick you know typically in a demo would go up to access no the reality is we need to centralize and access all of our contracts from one single source of single location we're going to allow you to do that especially in remote times next slide you know we're going to provide you the real time information contract intelligence proactive alerts you know every step of the way with a whole host of other tools to ensure that information is you know providing you the right detail for your business not every business we're going to help you automate and facilitate not only streamline inefficient processes but moreover repeatable scalable processes whether you're in or out of the office that are guiding your end users which huge huge huge dividends to customers that you know obviously implement that and then you know obviously lastly the the next step of that generally when we implement those type of processes more on the pre execution side the remote crisis you know obviously you need a way to really more modernize in better sign your agreements so e signatures in any of the web forms and things of that nature be come apparent as really important they help streamline those details so again in a full demo we'll cover all of this from start to finish just let us know if you know that's something you'd like I know the fun part right is to look at the advantages of using software like this but to not just discuss it but actually see it in action so I think you guys did a great job again like you said we're just scratching the surface here just trying to you know show a few few examples that people can take advantage of right away and then as they dig in and get more sophisticated with how they use it the
