you have new employees you know will need access to the system or someone else on your team who hasn't been informed of this change please feel free to email me with any questions or clarifications that you have around this i'm going to hand things off to carrie and take it from there great thanks nicole and again thanks everyone for being with us today what we want to do first is to provide a system comparison we want to assure you that we worked really hard to make sure that there is parity and you know full opportunity to continue the background screening program requirements and access that you are accustomed to um so we'll begin with that system comparison and then we will go through and make sure that we address your higher rate global account features and those global account features are really what you're going to be using uh to complete your background checks and really be able to you know log in and monitor the order progress uh you know view what's uh what's resulted and um adjudication so we're just gonna you know focus our session on that as much through live demo as possible even a peek at your applicant experience and then we'll end it with help resources so higher rate global and gis e-quest plus have many similarities and what we want to do is first acquaint you with some of those similarities and point out some enhancements that will be available when you begin using higher rate both systems do you require a unique user id and password that once entered will take you to the secure site where you will be able to access your ordering interface and monitor candidates as well you may be accustomed to bulletins higher right has announcements so this is where we provide information related to any closures scheduled maintenance and things like that that we want to make our users aware of as relates to our service delivery you'll also find that there's a menu within higher right global for easy access to additional aspects of the background needs with options such as management reports or for administrative users access to account setup controls and billing each functionality is easily disabled or activated based on the user role order initiation is still going to be one click away in your new system you'll simply click new order to start the process you'll also be asked for the candidate's work site information as you've done before it will be referred to as job location and hire right users will continue to have access to packages built during your time with gis so components of the background package once selected will actually be displayed so you can confirm that those are the right services before you continue on with an order and both systems allow the user to provide information that's needed for the background check so you can either complete the form yourself or email it to the applicant for their completion candidate entry generally basic candidate information was entered to invite them into the process of completing the background check and send them over to e-link this option is also available in hire right with an additional add-on or enhancement for text message if you do have the candidate's authorization just click yes you can also send a text notification of course manually ordering the background check is still available just select complete background forms myself and proceed the candidate information such as name date of birth social security number and address are captured all is part of the primary requirements for any orders um keeping in mind that hire right will make sure that any requirements are clearly marked using a red asterisk make sure that those are completed by either you or the candidate depending on the workflow you've chosen and even viewing the candidates background report this should be really really straightforward a higher rate screening manager will provide you a dashboard so instead of you know focusing on using some specific filters that you are accustomed to in uh your gis system uh you can either search for a candidate and that will be available in the upper left of your higher right account or you will find that your home page screening manager will arrange orders specifically by their status so just click the status tab and we'll view orders in that like status higher right global dashboard also gives ways to sort the orders uh based on current progress of the order and your permissions uh when you do log in you're going to have some primary settings um so uh default is usually just orders that you have initiated in last seven days if your permissions um allow you to view a specific group you could just use those filter settings to make appropriate adjustments and just some additional features this single platform is used by customers uh that do background investigations batch uploads i9 and recording capabilities so everything can be done in a single system we have a mobile responsive applicant experience with doc document upload capabilities so if there is something we need they can securely and directly respond to higher rates document requirement via their secure applicant center we offer labeling differences for instance your county criminal search will now be referred to as criminal felony misdemeanor and that is still a county level search and what you're accustomed to ordering quick screen will now be referred to as widescreen plus national criminal search so we're going to take a closer look at everything you need to know about order initiation being able to have visibility to the real-time status of orders you initiate and of course when the results are posted being able to confirm an education status if you have not already received an email as nicole said go ahead and reach out to her so that she can get you set up those who are set up should have received login information that directs you to hire rights website where that company id username and password will need to be entered you can have your system remember your company id and username as long as there are no firewall restrictions from it and you can click need help with login should you require help with your login now we're going to go to the live account and place an order okay so this is the home page of the account and as i mentioned sometimes we refer to refer to our account as the screening manager which is the primary dashboard that you'll be working in as we mentioned the dashboard does have filters that can be adjusted to view your primary group multiple groups or all groups depending on permissions whether you're viewing just your orders all or multiple and up to the last 90 days also mentioned there is a search option if you do need to search for an individual you can search by providing a first name last name personal id order number last four of social whatever is most unique to find any specific items so for instance i entered tests and you can see that we have multiple items that did come up as possible matches i can right click depending on what i have determine what i can take action for now we're going to walk through the steps for placing an order simply click new order and the system will prompt you to select the user group now in this first section i did expand it and i do have those specific sections in here now i would need to make my selection of group and let me go ahead and get in here and then i'll click next now it's going to prompt for the job location there is only one job location that can be shown as a default if there are other job locations simply click select and you will find them in here you can also use search to find a specific one once you've made that selection click next and then you will be prompted to select a package this is where when you select the package the screen will refresh and show you the specific services that are needed now keep in mind we understand that some candidates may have international components that need to be verified we're going to cover that in more detail in just a moment but first we'll focus on a candidate that is in the u.s and has specific screening requirements where you would make the selection of the services and then you can click next i also want to point out that these services oh it looks like my pop-up is stopped but these services generally do provide you a little pop-up message um to entail information about that type of check so we'll use the standard package just to show you the basics of your applicant's experience and then you have the opportunity to either complete the form yourself clicking next takes you into a blank form or or preferred we'll go back to our previous screen is to have the applicant complete this information you'll need to enter the applicant's first and last name [Music] and their email address the text message opt-in does not require a response those fields that do will have a red aster however the text message opt-in is available and if you have the candidate's authorization simply click yes and you can provide your mobile number otherwise it will remain as a hidden field so there's no attempting to prompt for it without acknowledgement there's a section for other information be sure that you are selecting the appropriate information as this will correspond specifically with information related to billing and invoicing noticing that the job opening id is optional and can be left blank but all the remaining fields must be completed now we just click next on that previous screen there was an option if i wanted to check to receive a copy of the applicant's invitation but i didn't check it off i can close this tab and we'll have visibility to all invitations that i have sent as the current user that is set up or my viewing permissions i'm seeing all of those invitations that are sent you'll be able to see the current status and whether or not that invitation has expired any questions on order initiation as as i've walked through those steps okay so i did mention something about international verifications and if you know the candidate needs an international background check conducted we've actually set you up with an international account to order the needed service package so the steps that i just showed would be the same the check will automatically escalate to international when the candidate enters an international address now if you already ordered the background check and then discover the candidate entered an international address you can go to the international account and order the pieces or products that are needed so if their education that you need verified is international you can go and do that when you log into the account there is a select account option in the upper right this will allow you to go from your standard university of minnesota background account to the international background account for ordering as i mentioned the steps would be the same clicking new order making sure that you select the appropriate user group job location and you'll have those packages available now let's take a look at your applicant experience the applicant will receive an email within moments of you initiating this allows them to immediately access and complete the information that's needed for the background check we do encourage them to contact higher right customer service with any questions and we even have an faq page that can assist them in being prepared for the background check those questions and answers would be available to them at a later time i also want to point out that this is a co-branded message and your company or your organization is folded here if you're taking notes the invitation is going to come from higher right customer support but the subject or the content will refer to university of minnesota background verification request for and then the applicant's first and last name so if you do need to give them a heads up on what they're looking for now the applicant will create a password opt in or out of text notifications and click next to proceed the invitation you send is valid for seven calendar days before it will expire we have automated reminders that will be sent to the applicant to make sure that they are prepared to complete this within a timely manner as they go through the form it will easily track the information that's needed noting that the information needed from your applicant is based on the services that you ordered if you order a standard package as i have you will only need their personal information we will require them to review their information and provide their authorization for hire right to conduct the check again embedded help if they need it we will ask them to provide middle name if they have one or certified that they do not have a middle name on official documents that this is their current legal name and also the ability to add an alias name if needed making sure we have their address information as well strange that should be coming up just fine okay that happened the other day as well um let me bring up some demos so that we can complete the applicant experience but as you can see in the background we do have information that is showing you know collection of their phone number their email month and day of birth social security number just one moment and i'll bring up the slides um one thing to point out that uh date of birth and social will be entered twice we're looking to minimize any errors with the information being you know mis-entered into the uh the form itself also want to make sure that we reduce the need to have any applicant contact at all so really what i what i want to be able to demonstrate here is is more of the education and employment components anyway um that would be those specific requirements again if they're included in the order the candidate can log out so if they do need more time with the form they can save and log out and return back in but once the information has been submitted they will no longer have access and be able to complete or make any changes to anything should be just another moment here but again if you have questions you can provide them in the chat okay here we go so if there were any additio al requirements we are going to ask for instance did you receive your degree your diploma we want full clarity on what we are verifying and if they do click yes the degree received is going to be a pull down and the pull down options will be based on the country of attendance so if this were submitted as an international order for instance in the attended outside of the country it is going to provide degree received options that are appropriate to that location making sure that they provide the date the degree or diploma was issued as well so that it's easy for that source to locate the record for things such as employment we will start by asking about current employment whether or not the employer that they're listing is the employer that issued their paycheck and if not what is the name of the company that pays them we also want to make sure that for current employment uh whether or not we have permission to contact the current employer and if they say yes they need to acknowledge they understand hire right will make contact and if they do click no the screen is going to prompt them to upload documents so whether completing the form or at a later time we determine something is needed they can directly upload it through the form and you do not have drug screenings so you can go right past that once you really have that finalized screen that your applicant will have giving them transparency to not only the estimated processing time frame but also letting them know that they can come back in here as a resource to access things upload documents or contact hire rate now going back to the requester experience we want to address what happens next once your applicant completes the form we have email notifications that will alert you that the order has been received by hire right as and is in progress you can view the specific process details or the current status or percentage of completion and we're just going to show you some of those sample results that you specifically will be looking for going back into the screening manager if you select invitations a reminder that you can right click and resend this will also allow you to see the initial email that it was sent to in the event the candidate did not receive their invitation going to the in progress tab will allow you to view applicants that are in progress higher right is working to conduct the verification and of course the percentage of completion based on the number of services ordered in the event there's anything that is necessary from the candidate we will alert you by email those who have visibility to the report summary would also see it noted in there so if there is information needed that would be noted in that report area in addition to sending you emails if there's anything we need to alert you of or that we've requested action for those will also be seen below the screening manager dashboard in the alerts area either advising that there is a delay in the estimated completion date that we previously provided you or action is needed both of these may be fairly uncommon and that's why we do email you if there is something that must be done i see that we have a question do we need to know if we need to do an international background check before we submit great question if you have um if you are familiar with the candidate's information and no you can go directly to that international account to place the order if you do not know you can go over to the higher right account here we have some live orders that are almost complete and if you happen to view information that's provided by the candidate or come to learn that there is a specific component maybe we alert you via email and ask for something specific and i don't see any good examples but maybe we've asked for a copy of the foreign degree or diploma that may also be something that would signal you that that check may need to be initiated specifically in the international background account so you can use the international account to do a just order the piece that you need specifically so you wouldn't necessarily have to initiate a whole new background check you could choose the piece of the package that that you would need to help cover this using the address or information that the candidate has already provided the other check exactly and to go back to that screen um while there are full packages if you just need to order one specific component you will make that no package selection and select the service that's needed so again if it happens to just be education for instance you would click no package scroll through here and you'll find and add an all cart service for education [Music] the account is fairly user friendly in the way that you can control which columns are visible columns can be used to sort or group information together and therefore we give you the ability to uncheck or check off any items that you would like to view [Music] again those filters can be adjusted accordingly to make sure that you're viewing orders that you wish to monitor or there's that you have access to view and a reminder you can right click on any search result for any full menu options and it's going to show you the specific um status that it's in so if it's an invitation you'll have resend option or cancel if it's in progress you'll have ability to view report and it's easy as a double click you can also access information if needed if you did order a standard package and find that you need to add additional services like maybe you should have ordered the standard plus mvr you can go to an order that's in progress and use extend this is going to pre-fill all that candidates information and allow you to add the motor vehicle record check and really once the process is complete higher right is conducting an adjudication process that adjudication process is going to let the requester know if the report was found to immediately meet company standards or if it's going to be reviewed and then adjudicated so uh there will be visibility to completed adjudicated reports by going to the completed tab if you see something in pending adjudication that means that those results are first being reviewed by your team and a final adjudication status notification will be sent to you once a final status has been assigned if review is required uh let's see another one if we enter an incorrect email for a candidate is there a way to correct it after submission so really not correcting it after submission but are you referring to even an invitation oh let's go back here like if you send an invitation to someone so here's my test one and i click resend sorry again those pop-ups are giving me something i could get i don't know why my my pop-ups are not working but generally resend is going to give you that accessibility to resend the invitation and show that email address that you sent once the order is in progress if the candidate has provided misinformation they can contact hire right customer service and advise us of preferred contact information so again once an order is in progress is really where higher right would need to be contacted all we can do is make a note of it we are not able to change anything that the candidate had provided great questions thanks okay while we're in here i do want to let you know that you have access to some help and training resources whether to get in touch with our customer service team by email or more immediate via live help uh training and documentation when clicked on will show you our reference materials
