welcome to our quick tutorial about policy tech policy tech is a document repository for all of arkansas state university's policies and procedures first question we'll have is um how in the world do we get to policy tech so i'm going to try to show you real quick how i get there if you're used to dealing with um the portal you can go to my.astate.edu and log into the portal and you'll see a screen similar to this if you want to search for policy tech i just go up here to the search field and do policy and it will pull it up pretty quickly i just click on the policy tech link and here i am another way to get there is if you know the url for policy tech you can just paste it in or type it in here and enter and there you are so it's just two ways to get to the same place so once you're in policy tech what can we do how can we view the documents that are in there so the first thing you're gonna do is you're gonna go down to the documents folder and click on the down arrow and it will give you what's underneath documents so you can search browse blah blah blah so what i'm going to do is i'm going to click on browse because there's multiple ways when you click browse that you can search documents first thing i want to show you is that over here you have arkansas state university procedures then you have asu system all of our procedures will be held here but any of our policies that we have you'll find out here so these are called categories and underneath these are subcategories so to get to the subcategories if you click on the plus sign you'll see that we have a subcategory of academic affairs and research dean of students finance and administration university advancement if you'll notice also there's a little number right now this is a brand new system this is how we're going to be using it so we only have five documents in the system currently and they're all under finance and administration so it'll show you as we go along it'll show you how many documents are in each one of these subcategories so what's underneath asu's system our subcategories are policies and procedures so let's get to finding documents so we know that there are five documents here since it's not that many i can certainly browse them quickly and easily i'll just click here and it will show me those five documents over here on the right so i see the document names these are all in pdf format currently so if i wanted to bring that up on my computer i can like if i wanted to see chart of accounts i just click on chart of accounts it will pull this up in a pdf format so that i can read it on the screen or if i need to download it i can click on the download button i'm using a mac it would look a little different on um windows but you should have the same options so i can name it and i can pick what folder i want to download it to or if i just wanted to print this out excuse me i can click on the printer and i can select which printer i want to print it to so that's kind of how to get the documents onto your machine so let's talk about how to find specific documents let's say that i have questions about travel what our policies on travel are another quick way to do this let's say we had 500 different policies over here i can go up to find and i can type in travel and what this does the way it's set up by default is it's going to search all of the titles you'll see that you have titles here it'll search all of the titles in any title that has the word travel should show up so we have a travel here and a travel here so those two should show up when i do this search there they are so that kind of minimized the number of of uh documents that you're having a look through when you search for travel but what if there was something let's say that travel was not in the title but it was somewhere in the body of the procedure how in the world would i find that so notice we have two things that have travel in the title let's go over here to where it has these three dots click on those and you see where it says search field and it says title let's change that to say full text so if i click full text and okay now when i do a search now we have four not only did we have two that had travel in the title now we have two that have travel in the body of the document somewhere so it's another way that you can search through these documents and there's yet another way let's say that i have a specific uh issue that i want to search about let's say i'm trying to figure out if we have any policies that talk about operating a vehicle so if i type in operating a vehicle but i put it in quotes operating a vehicle and then do a search it will search through the entire document list and if it has the words operating a vehicle together somewhere instead of just a one word search if you have a phrase put it in quotes and if it has those together it'll find it and we do have one under slow moving vehicles it talks about operating a vehicle so those are just some ways that you can go through and find the documents that you need as i said before we're just getting started with this so keep checking it and as it's going to be a living application because we're going to be in this thing constantly updating policies and procedures and and adding and adding and adding so keep checking it constantly and thank you for
