good morning or afternoon everybody and thank you for attending today's webinar today's webinar this topic is on is p.m. web a contract management replacement it's going to be presented today by Don and Jonathan McNally before we get started with the presentation there's a couple of items we'd like to cover in our housekeeping items first alt all end phones are automatically muted in order to started and I'm going to turn the presentation over to Don McNally thank you Dan what a welcome everyone to this month's technique that are we had a little over 50 people registered good morning the people in the West Coast it's actually one o'clock where I am on the East Coast we do have people from all over the country that are logged in to watch this some of you are familiar with the services that we provide that we recently took on ask the power project in p.m. web to provide some additional choices for our clients and we've been we've been at this for well over 25 years since 1989 and the first time that we brought on additional products last month we talked a bit about ask the power project and this month I'm going to talk about p.m. web I put together this tool metrics to get matrix to give you some perspective on where these tools into things that we've always done in our local primavera environment so we support hundreds of member contract management users on a daily basis we host them to our MLM hosted cloud environment so we're very familiar with the kinds of issues that they encounter especially with browser related issues primarily related to Java so that's you know one of the issues that we have because contract management and licenses are perpetual and even though Oracle is is announced the end of support for 13 June of this year and for 14 next year those perpetual licenses you could use it as long as you desire what technology changes and you know Java issues with Java is one of the one of the problems that we need to deal with is browsers and other technology change so to us the writing is on the wall it's going to be increasingly more difficult to use PCM we do have solutions within our hosted environment where we can control browsers and eliminate those problems but we wanted to set out to identify what other options we can provide for our existing and new clients to fill a need for a project management tool that uses the most up-to-date technology and also provides the flexibility that we've been looking for from contract management for for many years so this is not a place of unifier we still feel the Primavera unifier xand is an excellent choice but there are some of our clients who don't want to go down the unifier path for whatever reason and we wanted to be able to provide them with some alternative solutions so I'm going to give you an overview of how we set up to do this the requirements we came up with any selection matrix that shows where p.m. web compares to the other products that we that we took a look at talked about some of the compelling features in Pam web migration issues we've done several test migrations from contract management into p.m. what we'll talk about some of the lessons learned we have there I'm going to show you some screenshots and some of the some of the features that really stood out for me jonathan is going to do a live demonstration with one of our hosted PM web databases and I'm also tuned to a price comparison of all PCM to PM web so we can say from and what we used to in the PC world were does PM web and I think you'd be a bit surprised so PC on 14 dot whatever in April Oracle indicated that that's the poor is going to end into the next year now it might be extended for those of us that want to stick with their perpetual licenses and hopefully see updates beyond 14.1 they're supposed to be a 14-point - coming maybe they'll extend that but you know we just don't know for sure right now Oracle's recommended replacement for PCM is unifier or like to be more than some of our clients need in some environments you know one of the user group sessions Oracle talked about the possibility of Oracle prime being the migration path for PCM but you know prime is down the road and it's also you know focused on a very large enterprise type of implementation or a curable doing an excellent job but we need solutions for today that are going to going to align with the needs of clients that are just doing small projects all the way to very large you know national international programs and so requirements are based with our years of experience with contract management which I first saw a contract management expedition two months before it was introduced to the public when Joel Kopelman to take a look at it and give him an opinion of where I felt it stood in the market and you know we've been very active in the contract management expedition market for thirty years and also our background of our entire team just about everybody has background in construction field management of documents and costs and schedules and so that also played a part in the requirements of what we're going to look at we took a look at just about everything that we could find of there the primary requirements were you know we want a true document management capabilities which means we want version control we want security we want the ability to check documents in and out we'd like to organize documents in a folder structure of our own choice built in workflows so that we can automate automate the business processes and verify comes in and depending on the type of RFI it might get routed differently than another RFI and we wanted to automate that process as much as possible you're free here there's we've asked for like licenses or some sort of a license that someone that just needs to go in and report or maybe needs to just review an RFI and send comments back that didn't really need the full power of the program and therefore might have a light for a guest type of license we want an email interaction especially with it externally users were architect and I need to review and comment on an RFI I'd like to be able to do it through email not actually have to log into the program to do it interactive reporting I pull a report up I want to have some choices right there in front of me so I can filter select sort groups subtotal how I want it for that particular report at that particular time I want full cost management capabilities linked to p6 that allows me to use P 6% completes to help drive my valued calculations it allows me to run a cash flow reports out of my tool based on what my schedule is saying in p6 no problem when we won the zero footprint browser in other words no Java no other plugins so that we could use this with Safari or a wide variety of browsers on handhelds tablets and computers want to integrate with Microsoft applications a lot of times we want to take a report and put it right into a Word file or into Excel for reports of same thing with forms using default line forms number of times over the years with contract manage but we wanted to create something besides an RFI or notice and haven't kept in additional log and so we wanted to be able to do that and do it fairly easily things like calculated columns in my worksheets where I can just set up the basic calculation as a formula and not have to worry about it I want to also want very important because we run it we went across a wide variety of requirements from clients who want to have this set up in their own office if someone like us hopes it or access to through through a cloud environment or an it's a swear you're paying on a subscription model unusually a monthly basis so here's the selection matrix I have suppress the name of the actual product that we looked at and you can see how p.m. web did meet all of our requirements and different tools came close like you know you could do things with schedule but you weren't really pulling it into multiple versions of the schedule it was a different than the way that p.m. what was supporting it so one of the compelling features of pamphlet well it met all of the requirements that I've showed on the previous page so I've got built-in workflows through document management guest licenses for external or even internal managers who just want to be able to look at a dashboard they don't have to have a full license email interaction I'm going to show you some examples of that how easy it is to work with and all the requirements for ad-hoc reports being able to filter groups or as as we pull the report up and run it and create custom forms we can take existing forms and customize them if we want to as well full cost management more problem all with browser plugins PM web is is designed using Microsoft technology and it supports only the Microsoft sequel database it does have direct integration with SharePoint supports multiple scenarios of detail more about what I feel at different scenarios are from an owner to NPM see energy savings perspective on how they deploy it so it meets all of those requirements plus some additional functionality functionality was very happy to see how it handles security right down to the field level including the ability to define conditional security that based on certain criteria me in this project may have different security than me in another project I like the ability to spark and save multiple copies of my piece of schedules so that I have them for archive purposes that can also run a bigger type of report that compares the changes and the differences or variations from schedule go to the schedule version it have a built-in scheduled tool it's very simple it certainly isn't a type of CPM scheduled functionality that that p6 has what it does allow us to do from within PM web cash flow reporting and earned value reporting there's an asset management module that already has work order capability built into it I can copy and paste to and from PM web into excel with many modules there's already some accounting integration built into a tool box that comes with it through multi-language multi-currency support so you know if I'm dealing with an international project I have done a lot of a lot of choices there on how how I send up it again it runs on Microsoft sequel databases and if you know if you need to have an Oracle database if you're in an Oracle environment then this isn't going to be a tool for you and most of all we want something that has a proven track record something has been out there for a while has been deployed by large clients large programs a variety of environments that we know that the tool works and has been successful for many clients so the the security I put a couple of screenshots in here that I'll show you before Jonathan comes online and does the actual software demo but in defining my security I can set up groups as well as you deserves user access conditional security but here in the finding group I've got a group called Pasic I've opened that up and then for each module engineering forms is a module within PM web and here I've taken enough selected RFI's and I've opened it up there's two parts to it a header and the detail very similar to how contract management is built and then I want a list of fields and here in a field here for this particular user you can see that they have the ability to view a question what they can in it multi project access so here I've I've clicked on engineering forms these are the modules within PM web and I've clicked on engineering forms now all of these forms come out of the box ready to go there's the only thing you really have to set up as your pick lists you know whatever however you want your drop-down lists populated but implementing PM web starts up with you know getting all of your companies and your users contacts all set up is probably the biggest part of the implementation but you can see here I've clicked on the RFI log and I've got I can see our Phi's across all of my projects now I can also filter for portfolios certain projects and even just certain projects or maybe I want just workflow that is draft or has been submitted but not approved yet and so using a drop-down I can I can select those so here I can see all my approvement I submitted a draft which means they haven't been submitted RFI's same thing with costs so here I've clicked on the cost management module so in addition of funding we're supporting budgets you set up your cost codes your class ledgers you could have multiple cost worksheets you can make changes to those with journal entries so you've got an audit trail of any changes that are made so here's my contracts I can have master commitments so I can write a Master Agreement the goals across multiple projects here I've clicked just on commitments and very similar to what I saw on the RFI screen so I'm looking across multiple projects and this view can be filtered out PM web supports dashboards so if I log in I go to my home page I could have multiple dashboards set up this might be a dashboard for maybe from each portfolio or maybe just my projects there's different ways I can set it up this is just what's called a project centers there's a drop-down I select a project they see project information including like RFI's if I want to jump right to look at my RFI log for this project and see those for pending RFI's all I have to do is click on this and it takes me right to it another tank on dashboards this one is like a summary monthly report this energy dashboard that's set up in a demo day book database I can see Oh PM webs risk analysis output cash flow burden value reporting and some summary with KPIs there are some migration issues I'm going to show you shortly a couple screens from the dashboard viewer from PM web we're actually taking set up a dashboard that lets me look into a contract management database so if my contract management data database was in something other than Microsoft sequel I would have to convert it to that and then I can look at it to the viewer and I'm really happy with the way that that works Jonathan will show you some more in the live demo so I can view report and export PCM data right from PM web this means that for a lot of my projects especially completed once there's no reason to migrate the data over I can access it from ppm well but and look at it directly I can also do copy and paste so I can pull things up you know I know if we did some migration where we did exports from contract management into Excel and then we brought those into PM web there's also an API Microsoft sequel databases which can be you know accessed by programmers using scripts to transfer data both you know that is all additional additional work trying to you know say bring contract management history into PM web a recommendation for the most part is that you use the PM web viewer for your PCM historical certain new projects in p.m. web and then only my green critical or early stage projects from PCM to p.m. well you know this is this viewer is a big deal because you know a lot of times clients say well what do I do what do I do with all my contract management stuff after I switch to something else because without having contract management deployed I can't look at it well here you can see I can I'm actually looking at the school edition project I've got some graphics here I can actually click takes me right to a little log so we can see my submit a log within this viewer and I can export this to you know PDF Word Excel and Jonathan will show you a little bit more than that in the in the demo no email interaction is very big to me because we it's it's just not a good thing to have casual users someone that might only use a tool once or twice a month so they don't have a chance to really gain any in-depth knowledge about how our software works we don't want them having to login look look for their list of things that they need to take action on we can be proactive so right from a workflow within PM web if I have if I'm an approver in that workflow I can receive an email that lists information about the document now if I wanted to go in the software I could actually just click on that highlighted document and that would take me right to that record within PM web or if I'm improver I can click the green button to approve the red button to reject that makes it makes it very easy for external people to be able to interact with the software so Jonathan is going to go through a live demo I'll be getting out of the slides in just a minute he's going to cover navigation the interface is very similar to Microsoft Outlook he'll review some of the day sports for you engineering forms workflow is that kind of actually going to build a simple workflow for you show how to send that email right from right from within it and cover some of the other capabilities within here so I'm going to get out of here and I'm going to go over here to the browser and I'm just going to refresh the screen and then bingo Jonathan I'm going to head up to you thank you John ah good afternoon or good morning wherever you're located I've been spending some time in the PM web having been a longtime user of contract manager going back even to the expedition days I sat through some training and have you know really taught myself the software and like a lot of what we see I agree with a lot of Dimes opinions but what I'll do is kind of walk through and just show you some of the software the first thing kind of navigating on the left-hand side you have similar to CM or outlook it's a project tree and you can use the scroll button to see different parts down along the bottom you have these home buttons so you have different parts of the software planning engineering forms cost management schedule asset management and workflow in portfolio and so you can click on any of these buttons such as like cost management that project tree on the left hand side will then change then you have different parts of the software that you can use that are already set up and ready to go engineering forms has a lot of your basic documents that we're used to seeing in CM RFI's submittals drawings part with transmittals and correspondents the on the right hand side nice thing is you have these dashboards these dashboards can be very customizable and we can see here that we've click on any of these tabs there's you know here's a custom executive portfolio dashboard done with some graphical information there's a project center tab this tab is pretty nice it's got all your project information on the left you can attach photos down along the bottom with a description here's a list of all your different documents you can actually see the number of documents pending were approved I'm actually going to drill down into a document later but these under engineering forms these different documents that I have such as RFI's which I'll throw the island a little bit is interactive my schedule and budget information I can see graphically gives me a nice summary there's a portfolio view which shows a kind of in an Excel format the all by different projects gives me some different columns and things that I can look at across the project couple nice tabs that I'm going to go through here is one called Harvard map this gets into some obviously some customization but here I can have a tab related to a project for Harvard Business School I can see my corporate overview summary information here on the right and then if that had that project has multiple is broken down into multiple projects I can see all of them here there's obviously a hyperlink to each of these then I have some basic information with some you know checkmark screen for good exclamation read for bad and that report can be broken down into different ways I want to view it the also nice thing is is that it's actually interacted with the map so if I want to click on the Aldrich project I can actually left click and it drills down and that actually goes into that specific project the Aldrich Hall editions and again here it's a customizable report but it's pulling information obviously right from p.m. web another one is MIT so here this another example is a portfolio summary from an MIT project and again you can have all your different projects here interactive to drill down into them and then same here you can have a map and actually left click here's another sample report you can see some of the things that you can do with the customization here you know the project health obviously using the stoplight analogy project objective updates cost information so very customizable then I'm going to go back to the project Center and right from here I can actually drill down and go into a document I'm going to click on RFI's and here I can see that it shows me any of the projects that I'm highlighted on or I can see all so here I've got a list of all my RFI's so it's multi it's a multi project view these columns also can be moved this is one of the things I liked if I want to move a column right here I can just drag and drop it and move it I can have actually stretch those so there's some nice flexibility you can also drag and drop to sort by certain columns you also have layouts that can be customized so anytime you move the columns around like we did in CM and then you can actually come up here do a save as and then save that as a specific layout so I'm going to go into an actual RFI and here's kind of what an RFI looks like you've got your basic information up top down below on the details tab you have your question your answer proposed solution I'm sure this looks familiar to a lot of people and then you have different tabs here that you can click on one of the ones over here though is workflow and workflow is obviously something that's very important here I can see by clicking on the workflow tab in an RFI I can actually see the actual people that have are assigned to the document I can see the workflow log what's nice about this is I can actually see who had it the date it's actually time and date stamped with an action and then at the bottom I can actually see the template and it gives me a graphical representation and I can see it by role or by actual specific names based on who's associated with that document the other thing we talked about the email capability right from within an RFI I can click on this icon for email this allows me to then create an email I have some different options here for status notification I tax parts of that RF ID document by just checking these boxes here then down below I've actually got the email section where I can put information and type it into there and then click send obviously we were just going to learn a demo database but so right from there I can do that next we talked about the workflow so how did we get this workflow in an RFI so what I wanted to do next is going on go to workflow and go up into the tree and click workflow and if I go to my business processes tab here I can actually what I'll do is actually create a quick workflow and we'll just call this RFI and save that and what I can actually do and they'd have to be unique I'll just say RFI approval and save that and what I like is that the visual workflow designer right here on the Left which I'll click on one second first actually I do have to have roles I need to make sure that this is set up and with PM web implementation roles and users or something that's set up and obviously in the beginning but I'm just going to kind of just for demonstrations sake here do a quick workflow so I can come in here and drag and drop and drop in and submit and then I can actually put a step in here put another step and then a finish now what's nice is that I can actually come here on the left hand side and actually take a role and drag and drop that and put it right in into the part of the work fold and I want that person there then I can come in here drop the project engineer and then save and close and then if I scroll down to the bottom here I can actually see here's my workflow so very easily I just created within a couple minutes a pretty easy quick workflow there is a lot customization that can be done such as branch rules where you can really customize workflows an example that I would use is you can have a workflow say for a contract or a change order that you don't want it to exceed a certain dollar value and as the workflow proceeds you can actually have an email certain people so I can actually click on one of these boxes down here in the workflow and it brings up the approver here I can assign their options within that workflow and I can see that the event type that they can be emailed if it needs to be returned so would love to spend a little more time in this but have to move on but I wanted to show you that it's pretty easy to set up workflow and it's a really nice feature so what I'm going to do next is I'm going to go to portfolio and talk about some more customization that can be done in PM web word so you can use the Microsoft Word to actually create customized documents so I click on one here for meeting minutes you can see it brings up on the right-hand side and it's you know I've got merge fields right here on the left hand side okay and then here I can actually build within Microsoft Word a custom document so it's obviously something we've wanted for a long time in cm and that found very easy to customize and create your own documents right within here so I'll click back on PM word there was also a purchase order so you can see here that you can actually have you know bill to ship to that can that be very customized and it's obviously going to just use those merge fields to bring in that content next I'm going to go to cost management and here it's got the project tree it's got all oh you know your budgets your commitments your contracts purchase orders change orders I'm gonna click on cost codes one of the things I did when I set up the database for ourselves was I came in and I want to see how easy it was to copy and paste and one of the things you can do is is I wanted to bring in a cost code structure and I can use this button right here export to excel it's going to give me an Excel document then I'll open up here and right here on the left hand side it takes the existing structure and I was able to actually copy and paste right here cost codes okay and then save that document and then close it and then not what I can do is I can actually say paste from Excel it'll ask does it want to access it click OK and then it'll actually start to bring in I can see it's got a little circle down here it tells me that it's thinking but what I was able to do was actually copy cost codes into a new database within about 10 15 minutes and I actually mirrored contracts and cost codes from a cm project that we use Nach took me a couple hours but the the copy/paste feature is pretty nice okay within the cost management we have cost worksheet obviously where all of our information is posted for the costs and just like in cm you can drill down into any of these numbers one of the things I like though was right up here I can see which project I want to choose so very easily I can choose a different project but what I liked was the worksheet one of the things you have to do is you have to define a new worksheet to use the cost worksheet part of the software but here what I can do is I can actually set up custom worksheets and swift's right between them right here on screen so I can see a worksheet that I customized for just pending here's approved and I can see that information and custom eyes on these columns and found that fairly easy to do so I like the fact I could have custom worksheets and sorry Don's got a tricky Mouse here so you know a lot of what we're similar to see in cm but I think you know there's a lot more customization here and the ability to have multiple worksheets from a drop-down I thought was really nice close to wrapping it up here I'm going to go down to where it says toolbox you know obviously one of the things we have with projects is where do we put all our documents and under toolbox there's a document manager part of the software where I can actually have a I can I can see here it says configure tree so I can actually configure how I want my documents to be filed and here if I have you know like my drawings I can then actually have a folder for drawings on the right-hand side I can see those different drawings and if I on that actually brings up you know an attached CAD drawing so I thought this was nice to be able to break this down I could mirror my project structure I could have you know a breakdown of different folders and it's all customizable what I'm gonna do next is turn it back over to Don by clicking on the PM web logo up here in the left hand corner I just left-click that that takes me back to my kind of home screen and it's an easy way to find your way back to where you started so thank you very much for your time hope you enjoyed that demo before I get out of this I'm going to just add live a little bit here where I showed you some screenshots of that PCM viewer and so here I can say this is the school Edition project and if I go like this I can select the different projects that I have in my database okay and then from there I can go right into a log so I guess Smit a log for instance and very easy to take and save that into Excel so I just want to show that real quick I'm going to get down here and go back to our slides now there's an awful lot more that can be covered here including the you know the way the scheduling works and cash flow and if anybody's interested we can do something that really focuses on specifically how you use contract management and the things that you might want to see now the other thing I wanted to do is I wanted to put this into perspective because when we were reviewing products out there we found pricing just all over the map you know some things priced on the size of the project some things number of users and it was all over the place and some things were you know seen ridiculously cheap and other things were quite expensive and so what I've got here is a price comparison of PM web with from verb contract management we have three different types of deployments now one of the things that we always wanted to do with PCM is to have some light licenses and so in this case I've got 25 users but only 8 of them are full full-blown users I've got a couple executives that want to look at dashboards and I have 15 external people that might want to fill out a form or interact through email now I'm going to do both an apples to apples and oranges to apples comparison because apples to apples would be that we would not include modules that are not available in contract management such as document manager visual workflows and scheduling and whereas the oranges to apples is I want to look at I want all the functionality I've been asking for for years and then compare that and so what I did here and setting this up I actually get include document manager because the it's kind of surprising when you take the basic modules and then you add your full user licenses your guest user licenses your maintenance and in this you know we're putting in the the hosting cost for deploying it the 25 years or p.m. Web actually came out to be less money than contract management where I had to buy you know 25 full licenses the hosting is virtually the same and you can see with contract management it actually comes out a little bit more than p.m. web and the pricing gets better as it goes up because you pay for these modules once now I or just apples where I want to have my scheduling in my visual workflow you know I can add some of the portfolio modules automatically included but there are some other other modules and I would probably add especially if I was in the 5200 user type of its climate but even then you know for twenty thousand more than a contract management deployment I got visual war clothes and true document management capabilities I think that's I think that's very well worth it and as you get into larger deployments like it 50 users virtually the same and it starts to go down or it's less money as we go forward okay now I have not compared this to unifier because we look at unifier as another solution for another segment of the market the unifier on the sass basis is going to be very similar to this price except that then you would have that price every year what you're looking at here would be your first year price and a Pam what deployment over a five year period might run a couple of hundred thousand whereas with you know you know firewood it would be this much every year you know a lot of that depends because a large especially in the large projects people migrating from contract management there certainly are some pretty good deals out there that Oracle's are all fate offering for people to go - unifier from PC yeah but we're just doing the comparison here of PM web and PC I know anybody that's considering a move like this we would do that kind of a cost comparison specifically for you based on your requirements so the conclusion and recommendation I come out of with this is is basically we're making one of three recommendations declines if it's a very large project Oracle based enterprise deployment unifier is certainly a very viable tool for people that for whatever reason don't want to go down the unifier Road PM web will handle pretty much any size program including in the enterprise type deployments and give us all of the functionality that we need of course the third option is continue to use from very contract management they are perpetual licenses and we may eventually see a migration path you know I did mention that Orville talked about a possible migration down the line to Primavera price so you've got a couple of different options here I would only migrate critical contract management data to PM Webb I would use that viewer the viewer is actually a sequel report services or bi report and we can do more with it including being able to access attachments there's a lot of functionality that is possible there pmy by found to be flexible enough to handle multiple scenarios so if I'm an owner and I have a large program or multiple portfolios where I have an internal team and a lot of external users you know I can deploy it that way if I'm a programmer or construction manager who works with multiple owners that has programs and portfolios I could set those up with separate databases for each deployment much of the way that we do with contract management with having multiple databases and if I'm a general contractor you know I can do the same thing with multiple client databases or one large enterprise wide deployment depending on what your particular needs are so really from a subcontractor all the way up to a major owner the tools got the flexibility to meet those needs the couple before we get into questions there's a couple of upcoming events I just wanted to bring to your attention Friday August 28th in a nine is California's mobility 21 summit so anybody involved in transportation projects in California you may want to take a look at that Pam Webb's annual user conference is in Boston the 15th and 16th of
