today we're going to talk about using contract fields as document properties within your contract workspace this feature allows you to use your header or overview fields from the contract workspace is content in your word documents it allows dynamic content such as effective date expiration date supplier name and some custom fields that you may have added to your system to be pulled automatically into the word document avoiding any labor cost or forgetfulness of people to fill out those or complete those fields an example below are some of the fields that are available within the system automatically out of the box that you can add to your word document as well we'll go through this demo and feature setup in the system now we're going to jump over to our sap arriba instance and go manage our templates you can actually do this on the individual contract workspaces it's the same set of tasks but doing it on the template allows it to automatically be enabled for all the contract workspaces that you'll create in the system so i'm going to navigate over to my contract template here open it and then create a new version this allows us to make changes and modify this i'm going to navigate over to the documents tab look at our word document in this case i'm using this main agreement in the services contract example here i'm going to actually click on it select view details from there i can navigate to um setting up the document properties this is where i can actually add and remove different fields that are available for use in word so if you have custom fields that are available and things like that you can um add those so contract id buyer name supplier name addresses document type etc you can add all of those into your word document as well when we're done with that we're going to open the word document um as you would expect save it and then open it so that we can add these attributes in this particular case we don't want to update the reference fields you'll notice that in word i have um selected mine so that it highlights these attribute fields that are going to pull in and so all these have already been added to this document but if i wanted to add another one i will simply select my arrow where i want it to be inserted i will go to insert we'll set over go over here to our quick part go to field we'll navigate down to document property or doc property in this case and these are my sap arriba fields that are available and so at this point if i decided that i want to add you know say a title i can select that hit ok and it will add the title of this agreement you can also um always select this and toggle the code field so that you actually have the code that's being inserted as well so if you needed to add this or modify the code technically you can go back to the help document here and just type this in manually if you wanted to i find it pretty easy to insert that quick part but you also have the option of inserting the code and changing these field names as well so once i've made those changes to the document i'm going to now replace this document with the one that we modified if you have desktop file sync enabled it will automatically update this navigate to the file select replace continue with the original file name and continue uploading the file hit ok and then once that's uploaded we'll go back to our header view and publish this for use so that all new fields will all new contracts will be available now i'm on a contract workspace where i've created a contract i've put in the base level information on the header such as supplier contract amount effective date expiration date i'm going to show you how to insert a field if it was forgotten or if you loaded supplier paper you can also add these fields through the same process so we're simply going to open our word document again if this was supplier paper you could also load the supplier do the same process it's going to ask us if we want to update the fields this is replacing that code with the actual field attribute such as expiration date effective date etc you'll notice that it's replaced supplier name here with the actual supplier name from the contract workspace along with the other fields but it looks like i forgot to update the expiration date and so i'm going to go do that now same series of steps that i showed earlier you're going to go to insert quick part select field navigate down to doc property and then select the expiration date and select ok and that's going to again because i highlighted this text replace that with the actual expiration date that's been pulled out of the contract header so in conclusion this is a quick and easy way to further automate your standard legal agreement so that less keying is required and your document is created right out of the box you
