good afternoon everybody welcome um i'm glad we have a large crowd with us today i look through the attendees i see some familiar names out there so um welcome everybody welcome to the folks i've spoken to um individually i'm glad you all could make it uh we are going to be spending a lot of time on billing but we're going to talk through a a couple of other things we're going to look at some frequently asked questions and those kinds of things i'm going to start off with this disclaimer so if you've been to our webinars before you know that we always put this disclaimer up so i'll give you a minute to read that basically what it is saying is that what we're doing is going over the functionality of thera uh specifically billing and of course evv [Music] if you have specific um service questions that are better answered by the state um in the aging division you will want to contact them we try not to get into too much detail with uh service specific and you may have heard us tell um some of you we've been doing this long enough you've seen that care choice at indeed.gov email so um so we're just here to talk about some functionality what it can do what it can't do so we're going to start off with some faqs but before we get there just to give everybody a reminder again i think all of you have probably set in one or more of these but on the right side you've got your control panel for the go to webinar uh please ask us questions i got a couple of staff here with me tony ann is a billing specialist she's going to um spend a lot of time going through the the building with you uh she is certainly better at that than i am i'm just an old clinician so billing's like another language to me sometimes although i can get my way through it but she will give you all the details uh stephanie norton is also with us she's our in-house evv guru so we're fortunate to have her with us answering questions so use that question box over there uh type in some questions we have muted everybody it tends to get kind of loud if we open everybody's mind so we're gonna go through some frequently asked questions that we've come across again if there are others you can certainly put them in the questions and we'll we'll answer them on our side by either answering them through the question box or if we see something everybody might want to see either one of us might just chime in and let everybody know so the first thing is if um um if you're not able to log into your therap account um so a couple of things um you all are agency providers so just know that um and this would be maybe a frequently asked question from staff and i have gotten this a couple of times from from some of your staff um you all can change passwords and you all will change passwords for your staff so if they've tried a few times and they can't get into their account they are going to notify you and you will go to your admin tab change password find that staff uh click on their login name and you're going to recreate a generic password so generally whatever you use when you set up the accounts use that again um and you can tell them to use that to log back in and they're going to have to create a new password make sure you let those folks know because i got this question recently um if they try to use the same one they used before if they actually get it right they're not going to be able to log in they have to actually physically change it if there is by chance an individual qsp on on the call today um you'll have to uh send an email to carechoices.gov um so um and that login information down at the bottom again if we had a um individual qsp that's how you log in i'm sorry tony and i keep sending you back to the first one all right we can go on to the next one uh no service found so i'm sure my colleagues have gotten this one fairly often got coupled today if there is no service found generally what that means is service uh service authorization has not been acknowledged so hopefully everybody on the call has gone through that process but if you haven't um you'll log into your account you'll go to your to do tab you'll see pre-off service authorization's pending acknowledgement you'll click on pending acknowledgement you'll see the list of those that need your acknowledgement you'll click on each you'll look through it make sure it's correct and then you'll go down to the bottom and you will click acknowledge you will not see uh the service if your staff are trying to check in especially with the self-check-in no service this is probably the issue the other thing that comes up a lot i don't know if it's the next screen or not is that there's nothing in the program line in that service authorization so um you got to make sure that you you enroll your individuals your clients into that one program that you all created and that's in the admin tab care section third one down is enrollment you can go to the buy program link click that and then if there's anybody in that top box within roll in the last column you're just going to click that enroll you can click enroll with that date which will default to today's date or whatever date you're doing it and that's fine and then you'll do that for all of them and go down and it's then you'll have it there all right sorry about that rich i kept going a little ahead of you and i was uh okay thank you before we start um stephanie was kind enough to get a poll for us i'm gonna go ahead and launch that to kind of see uh where everybody is with uh which services you provide and who's on this call so i'm gonna leave this up for about a minute so if you can all vote that would be um helpful for us to know to on where to go with this webinar um if you provide that adult daycare go ahead and select that or if you provide that foster care go ahead and select that um whichever services you are providing go ahead and select those services this will show us which method to that you're using um these are mainly attendance so we're going to briefly cover the attendance how to enter attendance and how to um bill for that attendance and then how to build for evv i know ebv is not on here right now um but you know we're going to cover those services as well so i'm going to uh close the poll looks about looks like half of you all voted um and it looks like community support services is the most common uh one that everybody is using so i'm going to cover how to build through therap in um you know you could start billing through therap in january 2021 which is this month um we're gonna have a brief overview we'll be here to help with any additional questions you may have or need help with i'm gonna put up an email address at the end of the webinar um the most important thing to do like rich said is to acknowledge those service authorizations because in order to bill you need to acknowledge that service authorization for those services that you will be providing for so you'll see that on your to-do list that pending acknowledgement and acknowledging that service authorization um the second thing to do is to create claim templates for billing so if you're going to build through their app after you acknowledge that service authorization you should create a claim template for each of your individuals this is a one-time setup this is not something that needs to be managed every time you acknowledge a service authorization you would create this claim template one time and it will be saved in the system for you and we will go through how to create that claim template for your individuals i also do have a handout attached in this webinar um that has that guide on how to do it step by step but here is a quick screenshot uh you would just select used for billing integration yes you would select your individual's name you would select the place of service and then below in these service links this is where that service authorization those approved services that you're providing for your individual will appear and you simply select those boxes and at the very bottom there's a submit button so we're going to talk about those non-ebvv services and the ebv services and the way to differentiate that is um going by a service authorization search i'm going to show you that real fast before i jump into there just so i can show you on the difference between a evv service and a non-ebb service so if you were to do a service authorization search and i'm going to pull up my friend earl just to show you because i have edv services for him and non-ebv just for demonstration purposes i'm going to pull up his service authorization and show you here that this residential habilitation service is attendance so that's non-evv you have to uh document through attendance and then you would build through attendance um and you can see for this personal care that is an edv service so the personal care service that i'm providing that is evb so that's what stephanie and rich have been doing those trainings for where you're clocking in and clocking out through the schedule you're checking and checking out through the schedule that's where you would do that documentation for that service for the attendance i'm going to show you in this powerpoint real fast where that would be so if it's a non-ebv service and you're using attendance you would simply go to your billing tab you would go to attendance and you can select new or search new is for that one day and searches for a range of dates and again i'm going to show you this um in the therap application what it looks like but you would select that start date that's the date that you're providing the service for that attendance type that's already pre-selected in your service authorization for you that service code is that that code that that you're providing services for and then where that is being provided at that's your program then you would click search and here is that attendance grid and again we're going to go into this in a little bit more detail and show you how to take attendance for your individual there is a key at the top that tells you the different stages of attendance and we also have user guides for them as well and so like you can see here you have the input that's where you're inputting the attendance the approve this is the approve where it's turning green and then that final step is orange when it's becoming that billing information that billing data when you're billing for non-evv services um after you do that attendance you're doing this professional claim new using template again like i said everybody needs that template that i showed in the beginning um this step will be done after everything's orange in attendance so this will put your billing information along with your agency's information to create a claim and then you send that claim the claim submission this step will take your billing information and your agency's information and put this on a professional claim to send to north dakota medicaid so here we're going to jump into ebv services just to show you the screenshots and the first step for ebb billing would always be to make sure that that documentation is complete on the schedule so you want to make sure that those check-in and checkouts are complete so you have that smooth transition to the ebv billing and when you come to this section on the evv billing it's um a lot easier once that check-in and checkout is completed this calculates also how much to bill based on that time and time out from the schedule and this is that first step when you go to billing and then ebv billing conversion now this looks similar to the attendance after you have that first step in attendance and the first step in ebv billing the second steps the new using claim template is the same so it doesn't matter if it's attendance or ebv but this professional claim new using template is the same exact way to bill um but for this example this evv billing information is going to be used with your agency information to create a claim and then that last step would be sending that electronic claim with your again ebv billing information and your agency's information on that professional claim to north dakota medicaid we also have a couple of reports within therap system to do um billing or to show your billing information the first report that i will show you today is the agency based utilization report so this report will show you the units generated per day from billing as well as that total dollar amount the billing summary report will show you the units generated per day your total remaining units and if there's a claim attached and that unclaimed report is a report that will show you if billing data has been created but not attached to a claim or if you did not create that claim template that you need for billing so we're going to go ahead and take a look i'm going to start all the way back from the beginning um starting from the beginning that pre-authorization you don't want to have any pending acknowledgements on your list right you want this to say zero or nothing to be on your to-do list if you do have any pending acknowledgements you would want to go ahead and make sure that you acknowledge that individuals service authorization so let's say for roger i didn't acknowledge this authorization i'm just going to go ahead down to the very bottom and acknowledge that service authorization that's what i am yes can you show um go back to that service authorization because i want to point out one thing that might be happening to people if you go to acknowledge an authorization and you go down to the bottom to click acknowledge but you get an error message that program site field has to have something in it so if you're going to acknowledge something and it's giving you an error about the program site being empty if there's nothing there that's that program enrollment that rich was talking about it's something that is typically a one-time setup step and you may have gotten a new individual or you may have missed someone or forgotten to do that enrollment step so in order to get that program in your drop-down you do have to go do that enrollment step and i don't know if you can go show that really quickly um tony in um sure where do you want me to go to the admin section admin tab under care you may not have it it doesn't look like you do um i think in this account it's not there i have another account open let me see if i have it on this one yeah you'll have it there okay under care and that enrollment enrollment by program so you should just have one program there so you could click to open um yeah i know that case management would be good and that top box there are the individuals that are not enrolled so you would need to come through and click enroll it's going to put in today's date and that's fine for you to keep so once you click that enroll button it's going to move that person from the top box to the bottom box and you can keep doing those enrollments until you've got everybody enrolled and then be sure to click save thank you tony ann thank you so that is your service authorization acknowledging it so you just want to make sure that that is acknowledged those programs are enrolled everything is good for that um we're going to go touch base on that claim template now because claim templates again are used whether it's ebv or attendance so we're gonna jump into how to create a claim template so to do that you're gonna go on your billing tab you are going to go to claim template and new you are going to select your individual's name and again this is defaulted to yes you don't have to change this so just leave that alone but that used for billing integration does need to be yes but it is defaulted so you go ahead and select your individual's name i'm going to select roger select your place of service so i'm just for example today going to use home and at the very bottom there's that service link for those uh service authorizations that you acknowledged if you select this box and click submit that claim template will then be completed for that individual if you have multiple individuals and you want to do it again for a different person you can use that copy feature or you can just use the new feature and do brand new from the start again um like i said that handout is in t is webinar so if you want joe i thought somebody was saying something um if you wanted to follow along with that handout you can do that as well so that is clean templates i'm going to now show you the attendance and i saw from our um pull that the most common one was community support service i don't have a service authorization for that readily available but i can show you um from my account one that is very similar to that that's a daily attendance that's billed the same way so again you're gonna go to your billing tab and you have that pre-authorization acknowledged and you have that clean template set up so the next step would be to collect attendance for your individual you have two options you can do the new or search new is for one day and search is for multiple days so i'm gonna go ahead and do new and i'm gonna do my attendance for today um and i would select my attendance type so for here i'm going to do my daily service for my service description code that's the code that's the um the services that you're providing so i'm going to select residential habilitation and then the program site is where those services are being provided at once i click search that will display any individuals that have this similar um description code and the program and that same attendance type so if you have maybe two or three people at this location for those same services they would appear here for earl i'm going to say that he was present today so you have this drop down and you will select what what is actually what is actually um he what's happening with the services so if he's not there and he's actually in a hospital then you can select hospital but today i'm going to say that he's present if you have um a different attendance that has time and time out which i don't think we had many individuals on this call that had that you would just put those time and timeouts here but this is just a daily service so that's not required the time and time out and then you simply select the check box either for the date or next to earl's name of what you want to um have that time to have that option that attendance option applied to so if i select here and scroll down to the bottom to submit new that present option will appear here at the top there's also that key that i was talking about in my powerpoint that these different colors indicate different levels of the attendance or different um options so the in prep means that it's completed it's you started that attendance you want it to get to this orange that's submitted for billing so the next step would be to approve the attendant so when i go to this approval i can again select the seven or i can select the box next to earl's name or i can select all on the current page so if you have multiple individuals here it will grab all of them then you go ahead and approve the attendance and then that last step in the attendance is to submit for billing so you want to generate that billing you can go ahead again choose this box here or choose the box next to earl's name and generate this for billing you get this message that says it's successfully submitted for billing and it gives you a link to the billing data you do not have to click on it but you always want to see this message that says successfully submitted for billing once you're done with that you go back to your dashboard go to professional claim a new using template you can type in that service description code so we did residential habilitation you type in those service dates and can do it from the first of the month but this is only going to pick up what was generated so even if i do from the first of the month until today it's only going to get today's date because that was the only day that i took attendance for and generated it that was the only day that was orange click next here and it will show my individual's name sorry my internet is a little bit slow okay oh i know why i'm sorry i'm in the wrong year i forgot 2021. here we go and here's earl's name and it shows me that here's his program here's that service description that residential habilitation and that i can get that fifty dollars per day because this is that daily rate so i can select all or select this box select all will grab everybody if there's multiple people on this page and then i click generate claims again you want to see that green check mark that will indicate that that claim has been successfully generated that's taking your billing information and your agency's information you're getting ready to send that electronically you just have to hit that send button so you would finally go to that claim submission and send select that payer and you can select that service date and then you can scroll down to the bottom and search and is earl's name and you can select this claim here and send this claim once you click send this claim it will electronically place it and it's electronically sending but it's getting placed in a queue first and therap sweeps the claims um but that's that electronic send for attendance was there any questions that you wanted me to pause before i show evv we've got a lot of questions with people still struggling with some of the um like services not showing up and things for ev so i think you should maybe take a step back and look at um and maybe you can demo this in this account if you'll go in and do that service authorization search again sure i would recommend that people are not that are not able to um see a service and you know you've already acknowledged it come in and do your service authorization search so scroll down and when you run this search even just on this screen you can see that service description displayed so it's going to show you what codes and descriptions you have authorizations for and if you look a little bit further over to the right you'll also see that method of data collection so you'll know which services are going to be evv check-in versus which ones are going to be attendance so for those evv check-in services you want to make sure that that code that t1019 and that description that you have those set up for scheduling so we're going to go look at this t1019 code let's go back to your dashboard and let's go to your admin tab so if you scroll all the way down to the very bottom you'll see a scheduling section we do have a video on this specifically these evv setup steps it's like a short video that we clipped out for you to watch that's on the support page that we'll put in the chat for you but this step is necessary to make sure your staff can check in so the first thing we want to look at is that provider manage under scheduling this is where you define which services can self check in for so if when you click on that drop down you'll see the service codes you want to make sure the codes that you provide that you have authorizations for have been selected here and if that looks correct then we'll just scroll down and click save that's determining which services they can check in without schedules planned in advance and then back to your dashboard we're going back down to that scheduling section and you'll see staff manage so you would want to go to that staff person who's not able to see a service and you'll click to open that line and same thing here they have a drop down where you define which services they have access to check in for so you want to make sure that those codes match the things that you have authorized for ebv services that may be some of the issues that you're experiencing if your staff are not able to check in so try those steps and let us know if you continue to have issues okay do you want me to show the ebv because i saw that there were some there was some confusion about not seeing the ebv billing um do you want me to show how to do ebv billing stephanie yes but if you don't mind starting with how to review those check-ins and how to make sure it's correct before you bill and do you show just out of curiosity do they use the slot report or are they just looking at the schedule i would first go to the scheduling grid where you see the color codes and then um how to edit from there okay so i'm going to look for my individual's um schedule so i'm going to do the like family and we're going to stick with that same person so that's earl and i'm just going to select all these staff now for um this individual i have some stuff ready for november so what i'm going to check is that his schedule is complete so again just like attendance you have that color-coded grid on the top so you want to ensure before billing that everything is complete everything is green and complete for earl before billing so you can see for the first that he has that check in check out because it's green and if i uh i'll show you real fast on the actual schedule at the very bottom here's that check-in for 11 1 at 7 a.m and here's a check out for 11 1 at 12 p.m if i go to uh the next time that there was services there's this um red box outlining the green red line outlining the green box that's indicating that this slot was scheduled from 7 to 12 however they checked out at 1 instead of 12 o'clock so maybe earl needed additional services or whatever the case may be um that they had to stay late maybe there was an emergency but the check out is later than what was than what was scheduled however it is green so that means that it is ready for billing um so you just want to ensure that that schedule is green again there was another date that i'm going to bill for for the 16th that's green and this one does have a difference um where they checked out maybe a little bit earlier maybe staff was sick so they left earlier instead of 12 o'clock they left at 11. and i believe there's one more and again this one's green so this one's for the 24th from 7 a.m until 12 p.m and this is uh the correct time now if you wanted to see some that weren't um completed and this is for a different individual this blue one means that it's approved and that there is nothing done for the check-in or check-out so that one will not be considered for billing because there is not a check in and there is not a checkout so you want to make sure that your scheduled plots are green prior to billing anything else you wanted to touch on on the scheduling piece stephanie or rich um those blue ones are only going to show up if you're scheduling ahead of time so if you're just having your staff self-check in and self check out then you would really just be seeing either green to let you know they've completed it or you may see some that are that orange incomplete color that that's letting you know they forgot to check out um yeah i don't think you have any incomplete on yours but up at the top left that orange color is displayed so if you see any of that color that means someone checked in but forgot to check out or hasn't checked out so you would need to manually enter that out time for them if it's something that was in the past that they can no longer check out for so doing this visual review you may want to do this on a daily weekly basis multiple times throughout the month definitely before you ever bill there is a report version of this if you would rather look at it in excel that you can use to review that data as well but you want to review all of that before you ever do any of your billing thank you and and like stephanie said more the more um complete this is then the billing will be easier as well um so let's say that we're ready to bill for earl we're gonna go back to our dashboard and again um we're gonna stay on that billing tab so we have that service authorization acknowledged you have those claim templates completed and you checked that scheduling grid so everything is green and ready to go so here you're going to do that billing conversion ebv billing you're going to do that service description that you're going to build for so this is that service code that you are the services that you're providing and we're going to do that for personal care you can enter in the date by typing it in or you can go on this calendar and choose that date from there you do not have to type in that program site so you can leave that blank and then you can go ahead and click search now here this will only display completed check-in checkouts so only those green pieces on that scheduling grid will only have those individuals that have that completed check-in checkout so i'm going to select earl's name and i'm going to click generate billing data on the bottom right this is going to calculate uh those units from the check in checkout and this page gives you that brief summary so this billing data is saying that it was successfully generated just like in attendance how we had the everything orange this is that similar situation for ebv um that service date is saying that for 11 1 i have 20 billable units at five dollars per each unit for the amount billed for 100 for that day for all those total units then on 11 9 if you remember we stayed an hour later so we have 24 units and we were able to bill for 120 for that day again 11 16 we have 80 because we left that hour early um that you saw on the schedule so it's a little bit less than the other dates and then you can see for 11 24 and 11 29 how much you're able to bill for i'm going to go back to my dashboard and i did tell you that there was something called that utilization report i'm going to show you um how that looks for that individual that we were billing for and it's going to show you what you intended to bill for so i'm going to do this for november and this i would recommend doing um you could do this either for your attendance services or ebv services i would recommend doing this prior to doing those claims because once you create those claims you cannot edit them so you can see here for um earl on the first just like we saw in that previous page there's 20 units generated then on the ninth there's 24 units that were generated then there's 16 units on the 16th on the 24th there was 20 units and on the 29th there was 20 units again this is coming directly from that time and timeout on that schedule and it's converting that into units this column here tells you the total amount of units used and then this total amount here is that total dollar amount so this is 500 for the whole entire month that you would be able to bill for so this is the agency based utilization report again this is an optional um report that you can run but it's it's helpful to some providers or most providers rather so once you've done that ebv billing that same step that you did for attendance that professional claim new using template you'll do here here you would put that service code in for that personal care you can type it you can look for it on your list maybe you only have one on the list on here you would put those service dates and these are the dates that you provided service for and that you intend to bill for click this next button find your individual's name or if it's all these individuals like i said you can use this select all if you're providing um services for multiple individuals but for now i'm just going to do earl go ahead and click generate claims and you can see that i have five claims here generated for earl i'm gonna go back to my dashboard and i'm going to go to that claim submission and send i'm going to select my payer and this is going to electronically send my claims with my agent with that billing information with the individual's information um and it's going to electronically send it not technically in here because this is a demo account so it doesn't get sent but this is where you would send that electronically so i'm going to select earl's names here and you can see i can unselect jackson's names maybe i don't want to send jackson right now but i want to send all of earls and then you can see there's a quick summary of each of those claims on how much each of those claims are going to be billed for and then i can go ahead and send that claim any questions i think we've got them answered so far okay yeah no specific questions about billing i think people are probably still trying to make sure that their staff are checking in and checking out for evv but just know these weekly support calls we're going to continue to review his material so you may be at different steps along the way you know at the beginning trying to get evv going but all of that evv data collection and attendance data that you are going to use that's all going to be available to bill from once you've got it in the system and those um webinars that stephanie was talking about i'll just leave them up here for a second um so if anybody
