started my life as a pillar like many of you who are on the call many many years ago and I have been with dental exchange for now I just celebrated my twelve years so I look forward to presenting and for being here always behind the scenes helping out our customers talk a little bit about yourself Ozzie as you forever been with they'll exchange 14 years since 2007 and starting customer service customer implementations currently vip account managers so managing dental offices from you know I have five ten offices - you know 300 400 groups so pretty much take care of anything and everything count creations trainings you know troubleshooting clean tracing etc been working in hand-in-hand with LeAnn ever since 2009 I believe so got the the to punch knockout team here and ready to take on paid during a downtime covers a very important aspect of claim management in clay management reimbursement which is the claims in dental exchange once the claims electronically submitted from Danny Kahn gets what it goes to dental exchanges portal and that's where dental exchange is going to look at that claim if there's any issues challenges and problems it's going to hold it for you so you don't send a dirty claim so to speak right and it's going to give you the heads up or what the issue is so it's really important to your workflow that you log into dental exchange to review the claims for what they call validation errors in order to ensure that any issues with the claims are fixed and then you can get set you can send them for payment real important right they're not sent while they have a validation error so the dental exchange team is here to show you some tips and tricks on validation errors show you how to increase your insurance collections yay how to maximize the services provided by dental exchange thank you're going to show you some cool stuff there and a dental exchange is your partner in getting claims paid yay so thank you so much for that now before we and getting payment during the downtime and we're suspecting and last webinar we found out that it's true what we suspected that since people might be furloughed are the people that are still working maybe people that have never submitted a claim electronically never followed up on an insurance claim don't really know too much about claim follow-up because it wasn't your primary job so we're going to you know answer some of your questions and make sure this is new to you that you'll be able to help follow up on those claims by the time your team comes back everything will be fine alrighty so would go to the utilities menu you would go to batch claims processing now you might already have claims here and these are claims that you created one at a time from the patient's ledger and if anyone has been trained by me and how long have I been doing this since 2003 what planet DDS I make you solemnly swear I solemnly swear that I will click the Create batch claims button even if I'm creating one claim at a time due to OCD I'm like that's fine you can create one claim at a time but you got to promise me you're going to click on this create batch claims button so this will flush out any claims that represent a patient that had services rendered that had insurance attached to them at the time but a claim didn't get created so it's smart Denny Khan's got your back so when you do that voila voila voila claims will appear here uh-huh that you didn't click and create the claim so it's just a fail-safe method awesomesauce but guess what these are claims created not since so they're doing you no good sitting here so you need to come here and transmit those claims once you click on this button boom will people be blue broke through the power of the internet the mystery of the internet or all these claims will disappear why because you transmitted - dental exchange now as soon as you do that and send all of these claims to dental exchange by clicking here the very next thing you want to do is you want to go to dental exchange you want to take a look at those claims and dental exchange and get the gossip get the Intel get the 401 one so the next thing you would do is go to utilities and you click here equines management now I'm not willing to dental exchange but the theory would be once you do that it will invoke your username your password that logs you into dental exchange and the next thing you know there you are safe and sound in the hands of dental exchange so what do you do once you get there so that's what Leanne is going to go over with us today so lean without further ado and did I share did I share that poll I think I did okay good let me share that poll just in case they didn't give you the results and let me find you Liam there you are and landing page now yeah yes I can excellent well let's get started so first and foremost thank you very much for everybody for joining our webinar today I personally am very impacted with the cove of 19 industry challenges that we have and anything we can do please reach out to us we are all in around say say you know we're all in it together but for the dental industry we are all in it together so practice management systems clearing out payers and all of our staff are here to help you so I want to start with a little bit of some tricks of the trade on what to do if you were in a situation which we all are is to increase cash flow and to get the claims out the door and do the best you can well as possible that your staff have been furloughed laid off you might be a dentist that is possibly supporting some claims tracking and submission there is I believe 30% that normally don't have a normal role in coming this dental exchange so please ask your questions as I'll be shared Ozzy is one part or the most senior Account Manager with dental exchange and we can manage a problem from a single provider to a office group that has 400 locations it doesn't matter if you have 400 locations or if you have one location your problem is still the same it just means that you might have 400 times the same event that occurs but all of the issues and challenges are the same for us so first and foremost anybody that is working with Jenna Khan or with them to exchange needs to assure that you make sure within your practice or process that you come in to central exchange each and every day now when you process claim with pentacon you just don't push the buttons and they magically appear at the payer there is this processes and validations and rules and workflows that are performed that most of you are aware of so what I did is I'm going to show you just some reminders to make sure in this time that everything's addressed then you get your claim in the hands of the player so you can get paid and with that I want to start with right here alerts this is your most important process right now besides pushing the claim to submit to dental exchange you can see I have ten problem claims okay you can click up click on problem claims so you can click on search but we'll go here to problem plays this is the most important again the most important section that we want you to make sure you address we don't want any claim sitting here that can possibly be paid I talked to one of the largest national players in the nation and they said they are ramping up and putting as many staff as they can on adjudicating claims to make sure that the turnaround time for claims processing such as fast as possible so you can get your money now when we talk about all of these different categories for some of you it's repetitive for some of you it's going to be new and some of you you might have been trained a long time ago and it might not be your role but it is now because somebody used to do this is possibly not working until you wrap back up and open up the doors so I'm just going to do a quick overview and that is claims of validation errors and it could click you can open it up and it will give you a list of claims with validation errors and these are claims that have come in the door that are missing pertinent information okay certain information a subscriber ID does not meet the requirements date of birth any information that is required okay now all of you should know how to fix your validation errors this is not basic training its tricks of the trade what I want to talk about is validation is when you go to a validation air and you find that they're not enrolled I'm going to talk about that if the validation error says that they are not enrolled I want you guys to and I'm going to go into it want you to make sure you run eligibility either within data con and I don't have the Benetton application I'm going to show you how to do it within gentle exchange okay the number one reason for claims to be rejected as for this reason you're going to get a lot of fat now because somebody could have been insured months ago and are not insured today because they've been laid up so I want you guys to all start checking eligibility so I'm not I'm going to jump over to eligibility right now okay now this is real data we all know in HIPAA you are not allowed to and I'm going to stop talking for a minute so it then had many more questions on eligibility please create a request to Linda and Auggie and myself will respond but the most important part of getting a claim out the door is making sure you come in here so for the 30 percent of attendees who are not been in claim connector don't do this on a normal basis duplicate claims that is if a claim has been processed in our system within seven days so this is very important for you guys who are running and reviewing your old a are attached to one group practice and she says oh my gosh Leanne we started going through the AR we've done the easy one now we're doing the hard one so what we're going to do is they're going to start refitting claims now if you resubmit a claim within seven days it could reject but you always have to keep ability to manually override that duplication say I have chosen to resubmit a duplicate claim and when that applies is possibly on Monday when the claim went in queue is not eligible but on Wednesday there is eligibility you can resubmit the Clinton rejected claims now this is my dummy account so I don't have any rejected claims because this is real time as you see when I did at eligibility so rejected claims is a very very important place to correct claim in advance before you get a payer yo B so if the payer is going to duck deny a claim they possibly could have gotten the claim in on Monday and process the claim in our or five days later and maybe the enrollment records of the insurance of B excuse me the employer was updated to the insurance carrier and they're no longer receiving benefits or insured that would be a pay or reject so a parent would say I'm sorry no longer insured jump on these claims okay jump on them so you can get them resubmitted you can reach out to the patient immediately and get them rebuilt okay I'm going to go to attachment this is one of our favorites because attachments are not naughty plane they're not problem claims they're perfect process and that is to make sure your claims get in the door exactly how the insurance company wants them okay so know the logic for you for everybody is attachment has a validation scheduled or ruled by plan and the payers change them throughout the year throughout the month and whenever they wish now at this point in time you can say hey how do I find out what the rules are okay now there's multiple ways you can find out the rules but the easy way is to go here to our failure list you can see this is what you call a hamburger and you can search you can tabs just like Amazon or you can come up to the top and you can say I want the A's and you can see Aetna dental plans and you click on the hamburger and it will show you the attachment rules okay now a little trick if you are expecially and you know that a specialist does not require say an attachment for 2543 you managed wolf you want to add a rule and you can also view all the rules and you can hover over them and see when they were created so compliments to Edna's they have just uploaded their current rules of January 29th 2020 okay so I want to add a rule let's say I have talked to Liberty dental or I talked to Sigma or whoever my failure is and I found out that I do not need to do attachments for a certain procedure I want all payers I want a specific provider you add your provider and let's say what your choice is is let's say during this code nineteen issue I want every claim Altidore regardless of attachment that I want it out the door and I'm going to wait for them to ask because you know that the payers have an auto adjudication process that processes claims and then their auditors go into the repository into attachments later on or during the attack during the claims payment processing so you can retire a requirement attachment for all claims so you can bypass we are putting the complete control of your attachment rules in your hands for Bob Jones let's say that you guys are hiring and defenses and credentialing it's not finished yet and you would like to create the claims do you want to hold them in a certain bracket area you can require it claim at an attachment for all claims okay so you need help on creating the rules let us know but you can find how to do the rules online as well as you can edit rules and you can find information okay we're going to go back to the most important right claims needing submissions claims needing attachments claims pending go into attachment now we do have a little helpful process if I may so for the corporate staff what happens if your staff go on maternity leave somebody gets laid off and they forget to go into claims needing attachment and your claims keep building and building and building and somebody forgets to go there well we have a fail-safe measure that says if the claim sit here for longer than 14 days we will release the claim because we know that a high percentage of the claims will process and get approved so we want to support if somebody forgets to do this we will release the claims so that is not the preferred method that is a safety net for us so you can see here again this is real data this is LeAnn Morris and I have three plants that need attachments and I am going to click on the claim so now again this is all dummy data that I have worked on before and I see I've got a crown this morning and man do I hurt but we're going to go in and we're going to manage attachments and we do have the capability to edit the claim or delete the claim cetera on the bottom we're going to go and manage attachments we all have a second capability to view the rules if you want to right here for deco manage attachment okay so now we have this clown I previously added some attachment that's all I did is I launched a capture image most of you should know how to do this and then it allows you to highlight an image for the sake of time I preload it up so we can look at them and let's see here I want to preview my attachment so here is the image and here is our dental x-ray okay we close that the other attachment and you can see here we have a cartoon okay you can double check and we have dental model and then we're load-in floating now and this is my favorite dental model for some of you we have an item in Orange County I live it's outside the city and I am the only person I know that has goats this is hardly Davison and Louis Vuitton so there is our dental models of fennel exchange so now let's say your office is closed and you're only running in for emergencies so let's say how do I communicate to the player let's add a narrative okay being able to add in their shapes gives you 2,000 characters so it's unlimited pretty much say oh sorry on my cellphone okay I'm going to save this narrative this is a perfect place for you to add to say hello I'm working out of my home office I'm available on my cell phone I am remote our office is closed for emergencies only and please know that this narrative will be listed directly above any image that your payer looks at to process your claim okay so now one trip if you want to see what your payer see we're going to quit here to the fifth screen and this button right here is edit another clip and this is actually the payers viewer as they pay off when they you to get your claims so they can zoom in and you can see the quality now I am sure that this x-ray is not the quality that you would deliver and we are on a webcast as well but this is how you can see what they're paying off ok so if you want to look at what kind of x-ray and how its displayed for the payer you can always go quick and you will be able to view that of course you can update information here and I'm going to close it ok for this example I have this is a TLB that was sent out and then had asked me for attachments after the claims had been received and you can see that the claim submit solicited attachment now I'm going to go back to my attachment list and we're going to go into another one you can see here the pH art is required again if your claims do not get in the door to the payer you will never get paid okay now let's say for example you don't have a stereo chart and you don't know the x-ray because the opportunity to mediclaim without an attachment and make sure you get it in the door okay get it for the player you can always correct the claim and do it later it's not a preference that I would suggest six months ago it's the preference and choice that each office has the flexibility to process your claim so what do you wish and we do not control your process okay you also have the capability to proceed without an attachment at this time and then you can move forward okay so now remember capture image narrative archives if there's other a previous x-rays or images for LeAnn Morris and you will be they'll be sitting in archives so now we went through just to review let's go let's go one more step let's say we can't get this done today okay sighs I do not have the x-rays and I don't want it to sit in my to-do stack okay do not mark this as a result marking is resolved means that you are killing the claim in the process of the clearinghouse means that I marked it as results as I prepare with myself okay if you mark this pending and you put a note and you save it we will now move it to a second category which is pending okay so this ending is a workflow that you can move them out of the attachments section it also protects you from the 14-day relief so if you don't want the clean relief move on the pending it's very easy and it will be the same process and it works just like the other category of pending attachments you just simply click your claim you roll down to the bottom sorry to make you dizzy and you manage your attachment you still have the same capabilities the misc claims about attachments you could mark it as a result and you can release it from pending when you release it from sending it is going to revalidate to make sure that everything on the claim is correct okay so we did eligibility we did claims meeting attachment we talked about releasing attachments after 14 days you have to capability to edit those rules if you wish let's do one quick benefit to make sure and this is true that came in just last night I did a central state audit for them and they said oh my gosh Leon I'm getting so many paper claims it takes longer if the claim has to be scanned we have errors and why is this happening so once the situation of seeing is is that Kathleen can talk to you about it every time you have a payer in your den diccon system make sure it is going electronically with declaim central states just went bastard with electronic with us we had been printing their claims for while so many providers will say okay if central state doesn't support electronic neither does say operating engineers you are printing them in your office the problem with that is as soon as Central States goes live with electronics we immediately move all those claims from paper to electronic if you don't update your system you do not have the capability to do so okay it will then unless you're cleaning your insurance ex dictionary all the time you will not know that central space team care is now electronic and currently I have hundreds and hundreds of providers that when I reach out they say oh I didn't know central states supported electronic claims now okay so make sure everybody does DDI under insurance dictionary another benefit of dental exchange was clear I can use operating engineers let's go real climbs attachments and we're going to search and it will tell you everybody that does attachment now difference than any a gentle exchange actually does attachments for prints there so Operating Engineers is a good client of ours located here in Pasadena and Operating Engineers and Welfare they actually have the capability to give it catchment but they didn't do EDI they were very small for a long time so if they were still paper we would actually be able to support it Cashman and the claim would go out the door paper with an attachment so even if you have a claim for a payer again that you think does not support EDI make sure you're setting up the dental change there's also a benefit of validation so to make sure that claim the claim that the claim is clean and then as well as soon as claims go electronic it will convert them over and get them out the door and keep the paper off of your printer we also send our paper claims priority and they will get scanned and processed faster because we are sending fifty a hundred two hundred many claims in a process workflow that has been designed by the payer who has not moved forward with the capability of doing EDI okay so I want to do it for the sake of time I live one more thing and then I'm going to send it back to Kathleen and that is credentialing and credentialing is an area that gentle exchange has launched if you are in the state of billet fees Delta Dental of Colorado Delta Dental of Arizona Delta Dental of Missouri South Carolina health dental of New Jersey Connecticut and soon-to-be Hawaii you are using the dental exchange credentialing application process it is able to be supported all payers as well but right now what I want to kill you is two things one this user profile is free to you and every one of you so where do you currently set your information on coolest credentials and who is not are you credential with Delta Dental of California Colorado etc so this here is Steven Johnson I'm going to just click here and you can actually add a provider but I'm just going to show you a quick quick trick is somebody instead of storing all of the supporting documents that's used for credentialing start using this right here where you could upload a document and keep all of your information for no charge we will actually send you reminders of the user on the account that certain supporting documentation is expiring also where do you put who are you credentialed West is it on a notepad is around bulletin board go here and add status it is simple as player very approved status and then you would save so I believe this would be a benefit to everyone instead of using file folders and if you're in any of the space and we have as well as your first and Marylyn going into implementation and we have a payer in Idaho as well as Virginia this is a great place to put this information so what is trying to do your application it is wizard logic and it will grab all of this information and populate and you will not have to do any data entry for it okay so with that being the case Kathleen I'm going to turn it over to you and if you want to refer to audience see if we missed any of our pertinent information back to you oh so great information especially the paper I think that's really important to mention that if you're printing claims now there really no reason for you to do it you're going to save time and money and you got you got a resource you got dental exchange there they got your back because they will print the claim for you now I'll show you how to define that and I can show you how real-time eligibility works into any comms but we have a lot of questions land that I want to make sure our valued customers get answered that that our dental exchange questions I can't answer myself Linda do you want to take some of them or would you like me to feed them out sure I can read that for you faith has a great question and you may have covered it and I missed it and apologies I did she says for the eligibility search in dental exchange what if the patient was active during the time of service but they're turned now unfortunately eligibility is real time so it is effective as of the time it hits the computer system at that point in time if you have this life to find out if they are el Table two weeks ago three weeks ago you would need to call you would call the payer like I showed you a Delta Dental of California it would show in a skit which means they're not insured today but you would need to call them on half eligibility that's you and that awesome thank you so much we have another question from April and her question is regarding when you are submitting those attachments from the dental exchange site is there an area where you can save your common narratives I will share with you there is a comment actually for the archives for previous x-rays and images to save a common narrative is a great suggestion I was like Ozzie I know that you're listening what I would like to do is they're just possibly having a default narrative so I'm going to take that back I have never been asked that as it right now you will just need to copy and paste copy and paste so if you have a narrative that you use regularly pretty funny that's what you would need to do but thank you very much I believe that from April I am definitely going to see if we can have a default where you can set your own narrative - oh you think so I'm apologies go ahead I was just gonna suggest maybe maybe saving that narrative if it's a commonly used narrative saving it may be like a a notepad on Desktop and then just having it there to easily copy paste just so they don't have to like no comb through then encanta find that narrative just have it there easily available in their desktop as a notepad file just a quick suggestion maybe it's great ideas so just wondering how she can know if the eligibility action is available for all carriers I believe the question is are they available here is the list this is everybody that supports eligibility at Rice's second if I would have added a payer an hour ago this is instant and real-time that will update you also have the capability to go to the payer list and find out if they are supported by a click and a search and it will give you all of the eligibility carriers and you can see here and you can tab over great thank you so much just another question for you and it looks like it's regarding an attachment number she says when she calls an insurance carrier to follow up on claims sometimes they're reporting that they haven't received an attachment and they asked her for the attachment number or information is that information that is within the claim if you want me to go to claims awaiting submission every attachment has completed is gonna have the DXE number there that's the tracking number for the attachment itself if they do ask for the attachment ID that would be the one that they want to provide every single one of them has it so I mean yeah yes it's like Danny a Exe right awesome thank you so much now please note that there's only two players right now that exchange files all of the rest of payers that if an attachment has a DSP member they just go to a repository and access that information so they say they don't have the image it's because they have to log in and view the image that's why they're asking you for the DSP number thank you wonderful thank you so much now it looks like April has one more question for you and she's the one that had the great suggestion for you she says that when they submit the cement crown code they get a validation error until they remove that code from the claim do you have any recommendations regarding why that particular code B could be giving them a validation error if it's specific to and if I may that will need some information is we can make sure we have April's information what we will do is we will go and actually perform a single entry claim and type of claim in real time we will perform it with the code specific if it is directed to a specific payer then we will test it with the payer and determine the event or if it is could be the example has been to look another procedure code that has a conflict
