and support site and we're going to go to the nebraska page and about halfway down the plate page there's this new section here for employment we're going to go through five steps together today to set up the module and those first steps are outlined here these first five guides these other guides are going to walk through how you can view update search delete if needed for specific modules we're going to cover some of that as well and then there are some specific definitions from the state as far as job categories and skills needed for the job I'll reference these sections in just a little bit when we start building out the different jobs that individuals have at the current time employment it has not been turned on within your accounts so you will not see an option for it within your super role and you won't see an option for it on your individual tab or your agency tab as we're going through this state we'll be sending out a bulletin to communicate that information to you on the date that they're looking to go live and then any specific instruction about that go live date will be included on that bulletin so we've got these specific steps I'm going to go ahead and open up this first one for add or save employer because I'm gonna reference this in just a second and from here I'm gonna hop back to my dashboard so the first thing to start all this off is you're going to have to build in the employers of the individuals that you support that currently have jobs so again this first section is just for people who currently are employed we need to say where they are working at this time so that first thing we're going to do is be under the employer section I'm going to pause for a second and open up this import that's available now if you guys have been doing employment services for a while or even if you're new to it you probably have some sort of a spreadsheet that you're collecting information on you could combine the data on your spreadsheets and put it into our import file here and I will move that over from my other screen and so we have this import file in which you can put in multiple employers at one time and so you don't have to do it manually I'm gonna walk through manually in just a second but when you're inputting an employer you're able to do one employer location and so this would mean if you have multiple Walmart's throughout the area that you service each Walmart would have have its own respective row okay so for each location you can enter in one employer one contact person at each employer and one job category at our in job detail at each employer we're going to go through the contact person and the job templates here in just a second also on this import we have our help tab in specific fields it's looking for very specific values because these are what are in the dropdowns within the application so in the section for benefits these are the benefits that you could choose to use in that import and job requirement those are some of the job requirements that you could use and the import as well out of that and we're gonna walk through how to do this manually so if you were not going to use the import this would be the process that you would do would do so I'm starting over here on my agency tab and first I'm going to go to this section here for employer once I go to employer I'm going to come out to the right and click on new because we're going to add a new employer so the first things first what's the name of the organization that I am working with um what's it going to be today I feel like I've run out of my creativity here let's do Oh looks like I've already added that then I would add in the address so the contact information the phone number for the organization and if there was an email address or a web address I have sections that I can put in that information there but they are looking for the name of the organization the address where it's located and then contacted for other contact information as you may have it so there are going to be places or times where it's not an employer perhaps maybe they are part of an enclave or they attend a workshop if that's the case on this first guide step one on how to add our save an employer at the top of page two it actually tells you how you're going to type that out so in this case if this was a workshop behind the title of that employer so behind schnooks I would just add workshop if this was an enclave I would put Enclave here instead of workshop so be sure to look through these guides when you're entering this in because it will have some specific specific information for things within those types of examples I'm going to take this out workshop and just leave it as Schmucks and this is a grocery store within the st. Louis area all right so I have finished that information so I can go down to the bottom and click on safe and now we've gotten our successfully safe screen we've added the employer I've got Quick Links here where I can go and just add additional employers one after one just using the Quick Links I'm gonna hop back to my dashboard and we're gonna down do the second thing so that's gonna be adding in the contact person if we look back on your help and support page where'd that go we see step two is save the contact person so I'm gonna come to my contact person section and select Neil from here I have to designate which employer I'm adding this contact person for so this is going to be for Chinooks making sure that I have the right location here because that's a pretty similar name and now enter the information for the contact person there so this is going to be for Sarah Smith her title is the shift supervisor the address is pre-populating from the address of that employer but I can change it if for whatever reason they happen to operate off of like a stub office or something like that and then I can enter in their contact information so whatever their phone may be their office phone if they have an extension what email address maybe in the comments you can use this to define you know when does this person work in order for you to get in touch with them so if this person works typically evening shifts or if they respond bus to emails instead of phone calls that's all valuable information that you can put in this section eventually you guys will use this section to have as like your job bank and places that you can call to have discussions with the organization's so it's really helpful to have next to each contact person you know when they may be available for you to get in touch with them what openings do you have or maybe to talk about an individual that is employed there you so we've got that information in I will go ahead and click Save and like the other screen I can just add continual contact people from the successfully submitted screen by using the click link otherwise I will hop back to the dashboard and then we'll talk about step 3 that's outlined on this page so step 3 save the job template so the job template is the job that the individual currently holds so I'm going to go to where it says job template and go to new and I'll select my employer so here it is for Snooks and now I'm on the section where I'm going to enter and the type of job that the individual has so in job category I would select the industry essentially got the individual is working within so this is a grocery store so it is retail this title this is somebody working in the deli assistant what benefits do they have there is an option for none so if they don't have any benefits be sure to check that and but I'll say they get paid time off what's the average hourly wage for that position I'm still working back in the daily they'll make 11:25 the average weekly work hours for this position they 25 whatever that work schedule may be I will say 24 so the work schedule for this individual is typically three days a week eight and a half hour shifts if they happen to work set specific things like if they always work Monday Wednesday Friday you can put that in if they work you know every other weekend or something like that you can put that in in this case this person kind of just works sporadically but they know that they're going to get an 8 and a half hour shift on whichever day that they're scheduled and they get scheduled for 3 days a week I'll put that in as the work schedule and then for the work shift I can put on the next section so in this case I'll put it to day shift it's not going to be an evening or a night the deli counter is closed then skills needed for the job so I can make some selections as to what skills may be needed there maybe they're gonna need some math skills they're gonna have to weigh some things out self management on the job some communication skills just to name a few what are requirements for this position so I can put maybe they need to stand for a long period of time they need to be able to pass a drug screening and in this description I can put what are the basic tasks or what are the tasks that we know that this job will have to carry out so this is going to be their task there you can use this attachment section if you'd like but it's not a requirement and now I can come down to the bottom and I can save so if I go back to my dashboard we've done the employer we've done the contact person and we've done the job template I'm going to come back to contacts and interactions here in just a second I'll pause really quickly does anybody have any questions at this time you all right if you are typing away typing your question continue to do so I'll come back to it in just a little bit from here I'm going to switch over and go to my individual tab and now we see this section here for employment history the only thing that you're going to be concerned about on this tab is going to be the section for job detail that's it these other things you do not have to enter any information here it is available if you wanted to use you could I personally would hold off this is eventually going to be part of the implementation plan with employment in history and so it could come a time where the state's going to give you some specific guidance on how things should be entered within that module so you may just consider skipping the other parts and only working with the job detail you can actually do something about that that those spots Donal are those sections don't show up for other people and that's available over on your admin tab it's under the general section and the last thing here so employment history if I go out to the right and select on preference I can see that all of those sections here have checkboxes so if I want to deselect here to have only job details show up I'll just make sure that that's the only box that's checked and then I'll go ahead and save at the bottom so now when I got back to my individual tab it looks remarkably different all I've got is the job detail the employment history show and the job in player search are those are standard within the module so I'm gonna go back to job detail and I will select new and then I'll select the individual that I'm going to work with let's see how am I gonna work with today we'll do Nate Jones here Nate is going to have a job at schnooks so I'm selecting Nate I'm then selecting my employer here now I'm going to see a list of jobs so if you had several individuals with different positions of the same employer you would see a list of all of the different positions so it's just selecting the right one for that individual so he's going to be a deli assistant this information is coming over from the template so I don't have to change anything unless it differs from the template so if they actually selected you know a life insurance or if they selected another benefit at another time you could add that or initiate or indicate what that other benefit is over here if their wage is different or their work hours are different you can change that the hours of support per week so how many hours of support on the job are they getting I will say that they're getting four then what the description of the support that they are receiving so we provide transportation and help him with setting up his work area the work schedule is populating from that template for the job type where I'm going to select from this drop-down if it is that work crew are an enclave that is the option there but this is a paid job so I'm going to select that for job status this is a current job so the state is only concerned with the jobs that individuals hold right now you don't have to enter in previous jobs but if you'd like to you to start building some sort of resume you could but that's not the requirement the requirement is just the current jobs and then I'll select the start date so we'll say he started last summer 27th at this time I'll come to the bottom and safe so I have just completed depths one through four we've added the employer the contact person the job template and wood then we've applied that template to the individual which is then called the job detail the next section is to save our and turn any contacts or interactions so I'm going to go back to the dashboard and if I go back to my agency tab there's that last line on there for context and interaction and that's going to be where I can record those contacts and interactions that I have so I'll go to that line and select new I will search for Chinooks here so I'm selecting that I will say who did I talk to so we talked to the shift supervisor through the contact date when did we have this conversation I'll say we did today who contacted them and then what was the topic of the conversation you okay so they anticipate they're going to add another shift during the summer months okay so check back in early May okay so that's my final piece on there is the contacts and the interactions I'm a couple other things that I'm going to go through it with you guys but those were the five things that you need for the state okay um so what I'm gonna do next is I'm gonna talk about the roles because I realized I did not do that yet the first one I'm going to talk about is how do you get the role here for this agency tab this is actually concerned are it related to a user privilege and not a super role so if I go to my admin tab here and I go to my user privileges and I look up myself I currently have the user privilege of employer management that allows me to enter employers modify their information contact people job details etc if I take away employer management and just select job development what that then changes is my ability to add new employers so if you have those tasks separated out within your employment services maybe it's one central person or location that enters in the jobs are employers that people are working at you can separate those out within the user privileges section the next thing I will jump into is the roles that go with employment history here so adding that job detail to the individual if I go to my admin tab into my super roles and go to employment here our employment roles just grow by yeah our employment rules follow the same logic as the rest of the rules in our system so employment submit is the ability to add a job detail for an individual update is because maybe they got a raise or they lost their job you can update that job detail form delete means that you would be hiding it from view we know that nothing is truly deleted but you're just removing it from the view of other people and then employment view is just being able to look at that so perhaps you give your residential folks the ability to view the employment history of the individuals that they support too now that we've got those rolls out of the way what do you do if the individual gets a raise and increase in hours decrease in support etc so for that you'll go to the section for a job detailing your search and I'm going to search for that individual so I was working with Nate Jones I'll go to the bottom here and search so here's Nate's position as the deli assistant if at any point like I mentioned previously if they got more benefits you could select those new benefits that they signed on for but down here at the bottom we have something called the job outcome data list and that's where you're going to record changes in hours wages hours of support or support descriptions so he started back in May let's add something to his job description here so the hours per week he was getting 25 let's see that he's now up to 35 he's been there almost a year his wage per hour he started at 11:25 so he's up to 11:50 and the hours of support per week he previously was getting four now he just needs three or actually we'll say two now he just needs to and that new support description is just transportation now when I continue we can see this table has formed and we can see those changes on the other hand if they perhaps lost their job the section that you would update would be this job end date so you would indicate the date that they lost their job and then select the reason of why they lost their job all right I'm going to go back to the dashboard I'm going to talk next about two different reports so in the agency reports tab we have searched for our contact one we have our report here for all contacts and interactions and that are being recorded within the system so these are all contacts and interactions that have been recorded one of the easiest ways that you can look at this is just applying filters so if I come up here to the AZ section and select filter that's gonna give me filters across this top row and let's say I want to see all everything that's happened with Calvin's grocery store here click OK just the one thing looks like I was on Tuesday so the only thing that's been done is that one contact done on Tuesday let's do KC's pizza instead see if that's got anymore nope we'll leave it like that if you happen to see these three rows are a great example if you're looking at this report and you see that these columns are blank that's because you have contact people that are listed but you don't have any recorded contacts or interactions for that contact person you we have one other report that you'll be able to utilize right now that's gonna be under job detail so if I go here under job detail we've got two one with program one without program but if I go to job details here and select only admitted individuals you this will give me for all individuals that are currently admitted their current job details this is also something I could export to excel and look through the filters to Honan per individual per employer how many individuals work at specific employers and so on if I go back to the dashboard and to my individual tab and I go to the job details section you can also search specifically in here so if you want to look for all jobs that are retail we can go do that any within a specific employer specific type um see anything like that so I'll see everyone who's working a retail position and who started their job in the last since Jim so here's everybody who has a retail position listed as their job and so we can see the different employers that they're working at to you um what if you have two individuals that work at the same employer at the same position but they make different wages so if that's the case when you come to the section four job detail and you select new you'll select your individual who also works there from the list and then you'll select that employer the position and then you just change what you need to so if they have just started maybe they're starting flat at $11 an hour and they're just in training so they're getting about 15 hours a week and they're getting five hour shifts okay the hours of support per week vague at three hours so that's what we're providing here I can say it's a paid job it's their current job and they started that back on the third so that's all you would do is just change the information when you're applying it to the individual and then save if you have individuals that work at the same employer but they all do different jobs you would just add a job template for each job that is held there so if you have one that's a cashier one that works in the back of the store one that maybe works on loading or something like that each of those would be separate job templates under the same employer you all right if the individual is unsupported at work then this service coordinator will enter in that information does anyone have any questions that's all I really had for you today well anyone might be typing I just want to hone in on that help and support page so that one that's specifically out there for you guys going to States clicking on Nebraska you've got your state page and about halfway down you've got all of these different sections and steps for employers or for working with the employment history module rather you all right well I don't see any
