maybe a Fitbit for work now of course it can be deployed on multiple different computing devices you know could be the network servers like Citrix or VDI or the physical and computing device like a laptop desktop tablet you name it and it works purely in the background so users don't have to interact with it and then of course from a capture perspective we don't capture anything that cringes privacy so sapience is not a Big Brother tool it's not an employee monitoring tool it's all about what applications people are using and what those work patterns look like so leaders in the organization can take that data and align it with their project management tools and so forth and the data captured is highly secure so every client has the option to deploy on premise behind their own firewall or we can host it on one of our secure servers and the beauty of sapience is because it's fully automatic it becomes easy to use employers do not have to train employees for weeks to understand what the product can do in fact we stand it up within three days and within a month leadership has actionable data that they can act upon now to address the concern of leadership of not having data or visibility into this new distributed work environment we'll look at the sapiens server now I'm logged in as Nick Martin now next part of the application development function within the organization and here are the four teams that report into Nick now these teams they can be working on different projects different processes different locations it does not matter what I see is Nick overall is how much time are my teams putting in while working now not only I'm able to see total time here five point eight seven point eight nine hours but I see that time divided into activities what we call online which is time actively working on their machines and then time spent in meetings which is the hashed blue area so that's the first break up that we give you now from here we drill a bit further into what we call activity data so today you might have access to that black box of time you know self-reported through timesheets or maybe updated into a project management tool sapiens effort is collected in an automated manner then we tagged all the active application utilization with different activities to make it meaningful for leadership who's viewing the data so to give an example communication time here when the team works eight hours an hour and a half to spends in communication and another 14 minutes and meetings so cumulatively nearly two hours in between meeting and communication in an eight-hour day so when the team's using applications like Skype or email or slack or jabber we assume that's communication when they're using dot minute or visual studio we'll say that that's development and documentation could be excel word pad and so forth so now leadership now has visibility into what the team is doing and if things can be done better now from here we take it one step further and of the activities that we identify for your particular team or your particular function within a team we now start tagging these activities with core and non-core so let's assume the development is core work for this development team and everything the team does as non-core work will now start giving leadership that visibility as well so you can see here when the team puts in six hours of work only three point three hours it's been doing development or core work and now leadership can make some changes and see well with this effort pattern I get today's output so how can we change this how can we increase time on core work to achieve to an overall gain and output so this is just one example of reporting is giving actual granular visibility into where the team is spending time now from here we drill a bit further and we start looking at output effort matrix so of these activities that are done we now import data from your output tracking tool or integrate either way and start getting visibility into true productivity so on the vertical access here you've got number of output that we ingest into sapience and then on the horizontal axis here you've got effort collected by sapiens and then of course your employees charted on this nine cell grid so if we switch the KPI to tickets you can now see that this individual here has closed 56 tickets of l1 complexity in a period of three and a half hours however when I come over here to my bottom 20% team I see this individual same level of complexity is only close 42 and it's taken a more than double the effort so now using sapiens data you can look into the processes and the work patterns and the steps taken to complete each piece of work and determine how it is that this individual can do so much more than the remainder of the team and replicate their work patterns across the remainder of that scheme who may be struggling so that's kind of the process angle of sapiens then from here we take it a step further and give organizations the ability to slice and dice the data across 15 different attributes so ideally we ask our clients to create an ideal workday what is it that you expect your team to work you expect them to work six hours eight hours nine hour days you tell us and we map it accordingly then all we do is cumulatively across the teams we report the actuals back against the expectation so what you're seeing here across the entire organization teams putting in five hours of work when the expectation is clearly a two hour death and then you can see by each business unit how's the salesman marketing stack against that development as opposed to delivery now with in application development can I look at my several teams side-by-side if I've got one team asking for additional headcount looking at the data I can see they're underutilized so it really isn't needed or if one team is over utilized now can I shift some resources to make up that deficit and avoid adding cost to the project the idea here is having actual data and not flying blindly through self reporting or gut feel decisions now with an application development I can take it a step further and look at the purpose type within that function so with an application development can I look at my testing team can I look at my maintenance team can I look at my development team can I look by grade can I look at my senior resources compared to my junior resources can I look by location you know am I getting more productivity for my team in Sunnyvale or am I getting a better effort level for my team in Bangalore my work from home employees you know can I compare those to some that might still be working in office and given the current situation and then some that might even be working from remote locations all of that data is available through sapience dashboard now imagine having this data but at the individual level as a user and that's the missing link today his tools can be put into place to give leaders visibility into what their team is doing subjective for the most part but they'd is still available but users do not get the the benefit of seeing where they're spending time and that's what sapiens but he does so in the background sapience is always sitting in my system tray and I can hover over it and see exactly how much time I've spent working during the day now if I go to my details tab I can see exactly what it is that I've done today so I can see my first time stamp was a 750 in the morning my last activity was at 3:25 so estimated 7 and a half hour day but I only worked for seven hours and here's that break up 6 hours and 43 minutes was spent online in that online activity on my machine here's all the different applications I use both desktop and SAS and what activities they attributed to now being part of a sales team of course when I use applications that might be considered development for a developer it's considered lead generation for me so that's the idea behind it this is highly customizable and organizations can map application usage to whatever they prefer so to give an example of course when I'm using teens it's always going to be considered communication now if I'm chatting with somebody sending messages having meetings and so forth within teams it's not going to capture the content only time stands down to 15-second intervals of times I was active within that application now when I'm using word it reads file names as well so we can even tie it particular activities against a certain file or folder location and really get down to the granular level even SAS applications for applications like Salesforce or zoom things of that nature we can tie that back to a particular project and in integrate with those type of reporting mechanisms now from here I can also look at my summary tab so as a salesperson obviously I want to look at my top three activities being lead generation doing demos and of course having meetings but what I see is a user is something that's really entering my productivity and that's the dreaded communication and I can see over the past five days from my work time it's been about six hours a day on average of 28 minutes doing private browsing things like Facebook or maybe YouTube but communication is eating up a majority of my time so as a user I can see this now so I go to my work yoga tab and I'm gonna select communication as an activity and I'm gonna set a personal goal the sapience is gonna constantly remind me about as I approach it so selecting this activity I'm gonna find communication here and I'm going to tell sapiens that I want a notification as I approach using almost an hour of communication in a day it's not productive for me it's considered non core work does it lead to the overall output in my position so let me manage that time so I'm gonna set a goal to say I want to spend less than an hour a day in communication and every day I hit it I get a thumbs up it's a little bit of a motivator now also with work time you know I can look and see that the top 20% users in my organization are putting in seven and a half hours a day hour and 15 minutes and meetings so I want to set my work time to seven hours I haven't hit it this week that I hit six hours and thirty minutes possibly so and if I did then great but if not then now I can start edging it up 15 minutes here or 15 minutes there to increase my own work time daily then I can also take a predefined challenge which is built-in with sapiens so two challenges that exist today one is off PC intervals so can I take less than 10 breaks a day now every day that I hit that I'll get a thumbs up and consistently receiving thumbs up for three days I'll now receive a badge individual with the most badges at the end of the month within my organization gets a monetary gain or monetary bonus just by completing this so basing gamification off of productivity and not just output in the zone this is another challenge that one can accept and this is can I go at least an hour and a half a day without being interrupted by breaks or personal time or email or chats so can I stay focused for at least twenty to forty minutes two to three times throughout the workday and achieve an hour and a half in the zone again every day that I hit it I'll get a thumbs up more thumbs up I did it more badges I did and then of course on a monthly basis individual with the most badges they can be rewarded so again bringing a bit of self self-improvement namma fication into the mix basing it off of productivity and not just output which is about the only way we can measure success of an employee today and to match the demand of most customers in today's rapidly changing business environment
