Here goes.The letter should be one page long (absolutely no more than two at the most). They get hundreds, maybe thousands of these letters every year all at the same time and yes they do read them. So make it as a short as possible! but as long necessary. The people reading the letters are well educated. Grammer, spelling, and diction are important as it affects the credibility of what you write.Keep a copy of the final letter for the length of the program plus seven years. You may never know when it will come in handy. You may also want to place a copy on your institution’s file (your are likely writing It because of your professional relationship to the student - therefore the letter is work product and once finished belongs to your school not you). You should also be aware that if you are writing it because of your professional relationship to the applicant and you work for the government or a school than it may be subject to disclosure under access to information. Therefore, the student may see the letter in the future. At lot of organizations that get reference letters prefer that you send the letter directly to them, however (except in matters of criminal investigation and security) few care if you provide a copy of the letter to the applicant yourself.Follow whatever Guinevere a has been provided in the application to the letter. The Dear Sir/Ma’am is alright for businesses, but being appointed and ambassidor or president of a university is a huge achievement that we should acknowledge. More importantly, correspondence addressed to the ambassador will get logged in to his office by his personal staff. If they are really impressed, they will put their personal influence behind it. Also, they will be more likely to track what happens with the letter. Getting the culture right adds credibility and effectiveness to your letter.The letter should be in business format, formal writing style, without abbreviations (except Mr or Ms), left justified, typed in Times New Roman or Courier in either 11 or 12 point font. You may use bold or italics and all caps in accordance with conventions (say the title of a book or name of ship), but not for the whole text. You should bold or capitalize the subject line. Try not to mix tenses within paragraphs, but feel free to use the appropriate tense in different paragraphs (it is one of the few exceptions to the mixing tense rules that I know of).
