Even before the series of embarrassing incidents that have since come to light in the news, the morale in the U.S. Secret Service agent corps was very low. The management rarely led by example; Supervisors were authorized to stand post, to assist with protection assignments and conduct investigations... They never would. In addition, the bureaucratic paperwork was overwhelming; form after form after form was expected to be filled out for the most mundane things.... I had a fellow agent who printed up the "TPS Cover Sheet" PDF Form that he found online (the one popularized in the film "Office Space") and would turn it in with every document that was required. That's what it felt like... Documents that were sent in were required to have three, sometimes four, copies. If you had receipts for something, those were required to be taped down onto a clean piece of paper individually, and then have additional copies made.... You can imagine how long this would take when an agent who was out on the road for two or three weeks during the campaign (which was a very normal rotation) had returned with three straight weeks of hours worked..... Keep in mind, agents weren't billing by the hour; they were already paid. This was just monotonous documentation to see how many hours were being used in an agents life. Ultimately, that information would go to management and they would use it to squeeze more work time out of an already-exhausted employee. After Colombia, the agency started to "crack down". More paperwork, more documentation. Agents I know have told me that the agency has since started an "Office of Integrity" to police employees who are staying out too late on a road trip or filling out their paperwork improperly.... So you can add "paranoia" to the other issues, I suppose.

Getting my medical license.The process is so painful that sometimes I feel like stabbing myself in the heart and gouging my eye out, and jumping off a bridge at the same time. And the most frustrating part of it is that there’s not a single thing I can do to speed things up.The website isn’t very user friendly.They request way too many documents. Like, you need to submit 6 different things to prove your citizenship. Can’t it be assumed that if the Federal Government gave me a passport, they know that it’s because I’m a citizen? Can’t it also safely be assumed that if I graduated from a residency program, I must have graduated from a medical school at some point?The website doesn’t tell you everything you need to send. After you’ve filled out the application online, there is a PDF you’re supposed to find somewhere. The PDF was the old application form. You’d fill it out by hand or by editing the PDF. If you did that, you’d see an number of appendices that told you what other documentation you were supposed to supply. But if you apply online, there’s nothing to let you know what you’re missing. So, you have to call them. When you do, they tell you that you need a bunch of stuff you’d never have guessed: a background check, forms you’re supposed to submit to your residency programs, etc. Why not put that in the online application?Then, after you do all that, you might wonder if your file is complete. So, you call. They’ll tell you that your application hasn’t been processed yet. How long till it gets processed? 3 to 4 weeks! So, they won’t even look at your file for 3 to 4 weeks. And, 3 to 4, of course, means 4. Then, when they look at your file, it might even be week 5 by the time they respond to you. At that point, they’ll tell your that your file is missing some stuff.You ask for clarification about the missing stuff, because you’re pretty sure you’ve already sent it. You hear nothing back for a week. You call them, only to hear that they thought they’d emailed you what you were supposed to fill out… You submit what they’re asking for, having wasted another week waiting. Then, they tell you that your file has been submitted for final approval. YAY!Then you’re told that, since you used to be a nurse, you should also submit a nursing license verification. Okay, no biggie, you think. You did a similar thing for Iowa a few years back. You’ll just go online and have the state of Michigan send the state of Tennessee some information about the nursing license that expired 6 years ago.You get on the Michigan website, and things are so disorganized that you can’t for the life of you figure out how to submit the verification request. Oh, and the process has changed. In 2015, you could use the Nursys verification site. But Michigan has pulled out of this process, because… just because. Now, you have to call during business hours, realize that you’re supposed to download and fill out a form, attach a money order (you can’t pay online anymore), and mail it to a P.O. Box.You do that, sending it by express mail. You call the next day to see if it’s been received. Now you’re told that if you want to send things by express mail, there’s another address you should have sent it to, an address that was never communicated to you when you talked to the Michigan people on the phone. You learn that sending mail to the P.O. Box means that it will sit there for a week, after which it will be processed by the Cashier’s office/Finance office/Treasury office, then slowly make its way to the Bureau of Licensing… this process might take 2 weeks. At this point, you’ve sent your initial application 8 weeks before. You wonder why it is that the process couldn’t be more streamlined. Why couldn’t they be a uniform process for all states? Why couldn’t they at least be a central database where healthcare providers could send their documentation, so that whenever they apply for licensing in a new state, that state can immediately receive all the relevant documentation. You’re powerless. You try to think of other things you might do.You remember that Iowa must have a copy of your nursing verification license. You wonder if you could talk to them and see if they’d share it with you. You’re told that they will emphatically not release the document to you. Why? Who knows. Anyway, they might consider releasing it to the Tennessee people if they are contacted directly by their Medical Board. You sheepishly ask the people in Tennessee if they’d be willing to contact Iowa, giving them a phone number, email, and fax number, knowing full well that it will be to no avail.You decide that maybe, if you were to track down the cashier’s office in Michigan, you could fly there and make the payment in person, in a bid to speed up the processing of your license verification request. It’s after hours now, so you can’t be sure. There’s a plane early in the morning. You could fly to Detroit, rent a car, drive to Lansing, and give it a shot. But… what if it doesn’t work? You decide to wait until the morning and call the office to see if getting there in person would make a difference. You are told that it is impossible to make a payment in person, because… rules. There’s literally not a damn thing you can do.And that, my friends, is the story of my life right now. The most frustrating part of this saga is that not only can I not work, but I’m sort of homeless right now. Let me explain. A while back, I bid on a house. I used what is called a physician loan. What my lender did not tell me is that you need an active medical license. So, we were a week from the closing date before I learned this. At this point, I had three options:Walk away from the home purchase and rent. This wouldn’t have been a terrible idea.Prolong my temporary lease at the place I was renting. I would not do this because I hated, hated, hated them with their nickle-and-diming tactics.Wait for my license.I opted for number 3, because I thought it couldn’t take much longer until I’d get my license. My belongings are currently in storage. I’m staying with my sister in Florida. It’s not the worst thing that’s ever happened to anyone in human life, but it’s still really frustrating. The only bright spot is that I get to spend time with my family. I have a nephew and two nieces here that I hadn’t seen in 9 months. They’re growing so very fast. I am constantly peppering them with mental math questions, but they seem to love me for some reason. So, all in all, things could be worse.

They really go to bat for you.But before we begin, make sure what you're asking for your congressperson can actually help with. Trouble with the payment of Medicare premiums? They would love to help.Boyfriend in prison? Members of congress are strictly prohibited from interfering in the judicial process in anyway. You've had it up to here trying to obtain a visa for a relative? Sure thing. Your neighbor won't shut his dogs up? No .Can't navigate the bureaucracy of a state agency? No, but they'd be more than happy to put you in touch with your state representatives you will in turn be more than happy to help you with that. It's an emergency you need help, like, 10 minutes ago? They will do the best they can to help, but they can't work miracles. Please try to give at least two weeks, at the very, very minimum, if the case is at all time sensitive. Basically, help with a federal agency? Yes.Anything else? Probably not. But still call to check just in case. There are exceptions. For example, they can help with the banks during foreclosures. Now how to contact your congressperson in the way that is the easiest for both you and them.Keep in mind that senators have two different offices- legislative and district. The legislative office is in Washington DC and the office most people think to contact. But you're going to want to contact the district office. The district office has on staff professional whose sole purpose is to assist constituents with federal agencies.The most efficient way to request help is to:Go onto his or her official (not campaign) website (it will end in .gov). On it there should be a, hopefully, easy to locate a tab.Or just right on the page It should say something along the lines of "Get Help with a Federal Agency" or "Serving Wisconsinites"or "Constituent Services" There it will give you instructions on how to contact the office. Most likely it will give you several options (online, call, letter) Call them. You'll get a lovely intern or staff assistant who will listen to your story and pass it along to the people who will actually handle your case. Don't demand to talk to that person right away, because there is nobody actually handling your case yet. It will get passed along and assigned to the appropriate staff member, who will then get back in touch with you. Make sure they get your contact information. Figure out if you need to fill out a release. When you call, ask if the type of case you're requesting help with requires you to fill out a Personal Authorization Form. It’s harder to focus on one thing when you have thoughts, ideas, or tasks swirling in your head. Whenever I have an idea, I drop it the Notes app on my phone and forget about it.Automate anything you repeat. If you think you need to repeat something, write it down. We use the project management app Trello to document everything. We create step-by-step processes to automate tasks like setting up passwords to booking flights to marketing a new feature. Don’t waste brain power repeating things. Write it down once. Forget it forever.Use fewer tools. Figuring out a new tool or switching tools takes time. You don’t need ten tools. Pick a few good tools that could be used for many things. Our company picks flexible tools we expect to stick around. If you bet on a ‘hot’ tool just because it’s hot and you have to switch later, that’ll cost you. 90% of my day happens in 4 places: Google Chrome, TextEdit, Trello, Google Docs.2. Focus.Chunk your tasks. As a CEO you need to do and give input on a lot of things. To reduce the inefficiency of constantly switching between tasks, I set aside blocks of time to do similar tasks. Put everything away except the one thing you’re focused on. Sometimes I even work from my phone because it forces me to only see one screen at a time.Remove the chance for interruption. It was hard when I first started working with extreme focus. I’d put my headphones on and ignore people if they spoke to me. I felt like I was being rude. Because I was thinking about my rudeness, my mind didn’t focus on my work. I realized one of the mistakes I made was not telling people how I was working. Taking the time to tell people how you’re working is much better than snapping or ignoring people if they ask you for something while you’re in focus mode. Both of these only lead to more stress which ultimately hurts your focus. If you have kids and it’s hard to remove interruptions, try adding a work session when they’re asleep early in the morning or late at night. Here’s an example of what I send my wife before I go into a focused work session:Start your day with quick wins. Sometimes you wake up and don’t want to work. That first task on your list looks hard or you feel tired. One way to overcome this is to start your day with a couple easier tasks to get your momentum going. By simply opening my computer and doing something easy like cleaning off screenshots from my desktop switches my brain into work mode.Win your morning. Our biological clock makes most of us feel most alert in the morning. Even if you don’t wake up early, it feels good to start the day with the most important task. To find your most important task, think about yourself at the end of the day. If you only got one thing done, what task would make you feel most accomplished at the end of the day? Start your day with that.Constrain the time you work. I work in 1–1.5 hours sessions with untimed breaks in between. When researchers at Florida State University looked at elite performers, they found the best performers practiced in uninterrupted, 90-minute sessions and rarely worked more than four and a half hours in a day. I can feel my energy level and focus dip as I get to the end of an hour of focused work. Constraining the time you work helps you stay focused. I used to set aside full days for focused work. The problem was because I had all day, I would relax. This often led to procrastination. Now I use a timer to clock my 1–1.5 hour work sessions. If you feel like you have lots of time to do something, you’ll find ways to fill that time. Often by doing easier, less important things. By shortening the time frame, you’re forced to focus.3. Maintain good health.You don’t have to workout every day. Just move. Though our bodies crave movement, you don’t need a huge workout to get the level of exercise you need to be healthy. National Geographic researcher Dan Buettner studied areas of the world where people are living the longest. One thing he consistently found was the impact of constant, low intensity exercise, either from walking, standing up and sitting down, or tending to a garden. Staying in any one position for too long causes our blood circulation to drop. Moving gives you a moment to refresh. Whether it’s walking to your office, taking the time to stretch while you’re microwaving your lunch, or playing a sport, any type of blood flow acts as a release. It’s an opportunity to refresh your brain.Hang out with someone who makes you happy every day. People who make us happy make us feel good. If we feel good, we do better work. No matter how much I have going on, I prioritize my family. It makes me happy. When I get back to work, I feel fresher.Make it easy to eat healthy. Eating well can help you work more efficiently. The challenge is preparing and eating well can take up 2–3 hours a day. That’s a big chunk of time. The trick is to figure out how to eat well without all the prep. Most meals I make take less than 15 minutes to make. I usually make 2 eggs in the morning with an avocado and salads for lunch and dinner along with a protein source like fish. I order the same things from the grocery store so I don’t think about what I should cook. This is my list of zero-prep snacks: Dry Roasted Edamame, Nonfat Greek Yogurt, carrots, and easy open cans of tuna. If you enjoy taking the time to cook, go for it. I do it sometimes. The feel-good release can be a good break to fuel your work later. But if you don’t have time, make it easy to eat well.Use music to boost energy. Spotify conducted research on the benefits of certain types of music. Researchers found that musical tempo in the range of 50-80 beats per minute can help induce the alpha state in your brain, where your mind becomes calm, alert, and concentration is heightened. If I’m about to do a repetitive task, like answering email, I listen to my favorite songs to get my energy up. If I need to do a complex task that requires focus, I listen to songs without lyrics to help me get and stay in a state of flow. Music can have a signNow impact on your mood and thus, impact your work efficiency.This list of tips might make it seem like becoming productive means turning yourself into a boring robot. But that’s the trick.If you see the day-to-day of most top performers - athletes, authors, CEOs, etc. - it looks boring. But that’s the ultimate productivity hack.Remove the unnecessary. Automate decisions. Maintain good health.It may seem boring but boring is how you clear space to do your best work.
