What the Academic Finals Agreement Covers

An Academic Finals Agreement is a written contract between a student and an educational institution that documents expectations and procedures related to end-of-term examinations, grading timelines, accommodations, make-up exams, and academic integrity. It typically records the exam schedule, permitted materials, approved accommodations under disability services, procedures for missed exams or disputes, and signatures from authorized institutional representatives. The agreement creates a clear record of rights and obligations for both parties and can be used to resolve grading disputes or verify accommodations when recordkeeping is required.

Why an Academic Finals Agreement Matters

A clear agreement reduces misunderstandings about exam conditions, accommodation logistics, and grade resolution steps. It provides a timestamped record that supports FERPA privacy obligations and institutional due process.

Why an Academic Finals Agreement Matters

Who Typically Completes an Academic Finals Agreement

Each signatory role carries different responsibilities; the agreement should list who is authorized to approve changes to exam conditions.

  • Students with accommodations — Requests documented by disability services and agreed exam modifications recorded in writing.
  • Course instructors and department chairs — Confirm schedule changes, exam format, and grading implications when exceptions apply.
  • Registrar or academic affairs staff — Record final exam exceptions, deadlines, and signatory confirmations for institutional records.

Core Components to Include in a Professional Agreement

A complete Academic Finals Agreement organizes the obligations, timelines, and signatures to make enforcement and recordkeeping straightforward for both the student and institution.

Parties

Identify full legal name of the student, student ID, affiliated institution, department, and names and titles of institutional signatories.

Exam Schedule

List course code, exam date(s), start and end times, location or online proctoring platform, and permitted materials or devices.

Accommodations

Describe approved disability accommodations (extended time, separate room, assistive technology), referencing the institution's disability services authorization.

Missed Exam Process

Define acceptable reasons for absence, documentation required, makeup exam scheduling, and any grade penalties or notation.

Academic Integrity

State the academic integrity expectations, prohibited behaviors, and how alleged violations will be investigated and adjudicated.

Signatures and Dates

Provide signature blocks for student, instructor, and an authorized institutional official, with signature dates and printed names for validation.

Stepwise Process to Complete and Record the Agreement

Follow these steps in order to ensure the agreement is valid, distributed, and retained in the student record.

  • 01
Draft: Populate all fields with accurate course and student data.
  • 02
Review: Have the instructor and disability services review the terms for accuracy.
  • 03
Sign: Collect signatures from student and authorized institutional representatives.
  • 04
Store: Save the final executed agreement in the student information system and the disability services file.

Amendments and Revision Steps

Use this grid when modifications are needed after initial execution to keep a clear amendment trail.

01

Identify Change:

Specify the exact clause or date that requires modification.
02

Approve:

Obtain written consent from student and institutional approver before applying changes.
03

Document:

Record the amendment with a new effective date and reason for change.
04

Sign Amendment:

Have all original signers sign the amendment to preserve enforceability.
05

Attach to Original:

Keep the amendment attached to the original agreement in the record system.
06

Notify Stakeholders:

Send updated copies to instructor, registrar, and disability services as applicable.

Where to File, Send, and Store Executed Agreements

After execution, route the agreement to institutional systems that maintain audit trails and FERPA protections.

  • Registrar: Store final executed agreement in the official student file.
  • Disability Services: Keep a copy in the accommodations case file for compliance verification.
  • Instructor: Provide a signed copy to the course instructor for exam administration.
  • Student: Give the student a dated copy for their records.

Digital Signing, Formats, and Integration Considerations

Ensure the platform supports retention, export, and access controls appropriate for student records.

  • File Formats: PDF or DOCX recommended
  • Integrations: Connects with SIS or cloud storage
  • Authentication: Email or SMS verification

How to Configure an Online Agreement Workflow

Typical online configuration steps for a consistent, auditable signing process.

Field Configuration
Upload Document Start with a final PDF template
Add Signers Assign student and institutional signers
Authentication Enable email or SMS codes

Typical Deadlines and Timing Expectations

Institutions set internal deadlines; list common targets so parties know time-sensitive actions and appeal windows.

Accommodation Request Deadline:

Submit documentation per campus disability services timetable, typically weeks before finals.

Exam Date:

Scheduled by registrar; changes require written agreement promptly.

Make-up Exam Window:

Institutional policy usually defines a fixed makeup period after the missed exam.

Grade Posting:

Final grades posted per registrar schedule, often within 1–3 weeks post-exam.

Appeal Deadline:

Grade dispute appeals generally begin within 10–30 days of posting, per campus policy.

Common Preparation Mistakes to Avoid

  • Incomplete identification fields leading to difficulty matching agreement to student records.

FERPA Breach: Unauthorized record access risk
Accommodation Denial: Services may not be provided
Audit Findings: Noncompliance in reviews
Legal Exposure: Potential litigation or claims

Real-World Examples of Use

Representative scenarios show how the agreement functions in practice across common cases.

Student Accommodation Case

A student with approved extended-time accommodations signs a finals agreement with disability services and the instructor to formalize exam timing.

  • The department schedules a private room and test proctor.
  • The executed agreement is attached to the student’s accommodation file and used to verify compliance during any grading review or appeal.

Missed Exam and Makeup Case

A documented illness prevents exam attendance and a makeup is authorized under the agreement.

  • The instructor sets a makeup window.
  • The signed agreement records the reason, makeup date, and grading policy so the registrar can update the course record without dispute.

Practical Tips for Accurate and Efficient Completion

These best practices reduce processing errors and preserve enforceability for student and institutional records.

Use Full Institutional Names
Always enter the institution’s official name and department. Inaccurate or abbreviated institutional names can lead to retrieval errors, confusion during audits, or challenges in proving authority when enforcement or appeals arise.
Standardize Accommodation Language
Adopt a campus-standard phrasing for common accommodations. Standard wording reduces interpretation disputes and makes it easier for proctors and instructors to implement approved modifications consistently.
Keep an Audit Trail
Retain a versioned record showing drafts, submission timestamps, signer authentication data, and modifications. An audit trail supports FERPA compliance and provides evidence if policy or grade disputes occur.
Coordinate with Registrar
Ensure any schedule or grade impacts are reported to the registrar immediately. Prompt updates prevent grading delays and ensure official records reflect agreed accommodations or make-up results.
