What the Additional Service Gravel document is

The Additional Service Gravel is a written addendum or standalone service agreement that documents extra gravel supply, delivery, or placement beyond an existing scope of work. It typically specifies quantity, material specifications (size, gradation), unit pricing, delivery schedule, site access instructions, payment terms, and any permit or inspection responsibilities. This document creates a clear record of the additional work and payment obligations, reduces disputes about expectations on-site, and serves as the contractual basis for invoicing, lien waivers, and project records when signed by the parties.

Why a formal Additional Service Gravel document matters

A clear written agreement reduces scope disputes, documents costs, and protects both supplier and customer. When executed electronically, it is enforceable under the federal ESIGN Act (15 U.S.C. §7001) and applicable state UETA statutes, provided intent, consent, attribution, and reliable record retention are satisfied.

Why a formal Additional Service Gravel document matters

Who typically completes or signs this agreement

Several project stakeholders commonly prepare or sign Additional Service Gravel agreements depending on the work context.

  • General contractors and site superintendents who order additional material and coordinate deliveries on active projects.
  • Subcontractors and material suppliers documenting quantities delivered and requesting timely payment or change order approval.
  • Property owners or facility managers who authorize extra work and must track budgets and permit compliance.

Use clear roles and contact information in the document so authorization, invoicing, and acceptance steps are unambiguous.

Typical signers and their responsibilities

Licensed Contractor

A contractor or site supervisor signs to confirm authorization of additional gravel work, verifies delivered quantities, and accepts responsibility for site preparation. This signature often triggers invoicing and may start lien waiver or retention clock obligations.

Property Owner

The owner or owner's representative signs to authorize extra services, confirm payment terms, and acknowledge inspection or permit requirements. Owner sign-off documents consent and prevents later disputes about unauthorized scope.

Essential information to include in the document

Full party names: Legal business or individual name
Service description: Precise gravel specs and scope
Quantity and units: Tons, cubic yards, or linear feet
Price and payment: Unit price, totals, due date
Delivery terms: Site access and scheduling
Acceptance criteria: Inspection, testing, or approval

Core sections a professional Additional Service Gravel should include

A complete document separates technical details, commercial terms, and administrative requirements so each party can quickly find obligations. Include these six components for clarity and enforceability.

Scope summary

Describe the additional work in plain language: what is added to the original contract, including limits and exclusions so there is no ambiguity about what the supplier will deliver and what the client is authorizing.

Material specifications

Specify gravel type, gradation, quality standards, moisture tolerance, and testing requirements to prevent on-site rejection and ensure the material meets project needs and local code or engineer specifications.

Quantity and pricing

State unit measures (tons or cubic yards), quantity estimates or minimums, unit price, applicable taxes, and total price calculation including any mobilization or fuel surcharges.

Delivery and schedule

Define delivery windows, staging areas, required equipment access, traffic controls, and who is responsible for unloading, to coordinate logistics and avoid delays.

Approvals and acceptance

List required approvals, inspection points, acceptance criteria, and final sign-off process so invoicing and payment are triggered appropriately after acceptance.

Payment and remedies

Include payment terms, late fees, lien waiver conditions, termination rights, and dispute resolution to reduce collection risk and clarify remedies if issues arise.

Step-by-step: filling out an Additional Service Gravel form

Follow these steps in order to complete the form, confirm authorization, and create a clear record for delivery and payment reconciliation.

  • 01
    1. Identify parties: Enter the legal names and contact details for supplier and client.
  • 02
    2. Specify materials: Record gravel type, gradation, and any testing standards required.
  • 03
    3. Confirm quantities and price: Enter quantity, unit price, and calculate totals with taxes.
  • 04
    4. Sign and date: Obtain signatures from authorized representatives and record the effective date.

Where to send or file the completed document

After completion, distribute the signed agreement to parties responsible for scheduling, permits, billing, and site records to ensure coordinated execution.

  • Supplier: Retain a signed copy for delivery scheduling and invoicing.
  • Project owner: Owner receives an executed copy for budget and acceptance tracking.
  • Permitting authority: File with local permitting office only if the change affects approved plans.
  • Accounting: Send final signed agreement to accounts payable for payment processing.

Digital distribution options and platform integrations

Use digital document platforms that support PDF, DOCX, and secure e-signature delivery to streamline execution.

  • Cloud storage: PDF copies stored in Box or Google Drive
  • Project systems: Integrate with Procore or NetSuite for records
  • Collaboration: Share drafts via Microsoft Teams or Slack

Ensure the chosen platform preserves an audit trail, captures signer identity, and produces a tamper-evident final PDF for project records and possible audits.

How to configure an online workflow for this document

Set up a repeatable online workflow so requests, approvals, and signed copies route automatically to project and accounting teams.

Field Configuration
