What the Aircraft Specification Sheet Is

An Aircraft Specification Sheet is a concise, standardized document that summarizes a specific aircraft's technical details, configuration, and equipment. It typically lists manufacturer and model, serial and registration numbers, engine and avionics data, weight and balance limits, performance metrics, and optional equipment. The sheet supports sales, lease, maintenance, regulatory review, and pre-purchase inspections by providing a single reference that teams and third parties can review and verify before agreements are finalized.

Why a Clear Specification Sheet Matters

A well-completed Aircraft Specification Sheet reduces miscommunication, speeds inspections and approvals, and documents the exact configuration tied to pricing, warranty, and regulatory compliance.

Why a Clear Specification Sheet Matters

Who Typically Prepares and Uses This Sheet

Teams that prepare or rely on an Aircraft Specification Sheet include sales, maintenance, leasing, and regulatory compliance staff.

  • Aviation Sales and Brokers — prepare to document equipment and configuration for buyers and lessors.
  • Maintenance and CAMOs — use the sheet for parts planning, AD checks, and maintenance scheduling.
  • Finance and Insurance — review configuration when underwriting loans or policies.

The sheet is also shared with financiers, inspectors, buyers, and government agencies as part of transaction or certification workflows.

How to Complete an Aircraft Specification Sheet — Stepwise

Follow these steps to collect validated data, confirm identity of sources, and produce a signed, distribution-ready sheet.

  • 01
Gather Documents: Collect airframe, engine, and logbook records.
  • 02
Populate Fields: Enter data exactly as on original certificates.
  • 03
Verify with Records: Cross-check against FAA registry and logbooks.
  • 04
Sign and Distribute: Obtain authorized signatures and share copies.

Essential Sections to Include on a Professional Sheet

A complete sheet combines technical, legal, and administrative data so stakeholders can rely on a single source of truth.

Identification

Manufacturer, model, serial number, registration (N‑number), and year of manufacture so stakeholders can unambiguously identify the airframe.

Engines & Propellers

Engine and propeller model/serial numbers, hours since new/overhaul, TBO, and last overhaul dates to support maintenance and valuation decisions.

Avionics Package

List of installed avionics, SW versions, and STCs to verify airworthiness for intended operations and required upgrades.

Weights & Limits

Empty weight, maximum takeoff/landing weights, and center of gravity envelope for performance planning and regulatory compliance.

Airworthiness Data

Type certificates, registration status, airworthiness directives compliance notes, and required inspections so buyers can assess airworthiness.

Remarks & Exclusions

Notes on damage history, excluded items, or pending modifications that materially affect value or operability.

Required Data Elements at a Glance

Make / Model: Manufacturer and variant
Serial Number: Exact airframe S/N
Registration: FAA N-number
Engine Details: Engine model and S/N
Weights: Empty and MTOW
Signatures: Authorized signers and dates

Configuring an Online Template for Reuse

Set up a reusable template to ensure consistency across aircraft listings and reduce manual entry errors.

Where to Send or File the Completed Sheet

Distribute the signed sheet to transaction parties and, where relevant, attach it to regulatory filings or maintenance records.

  • Buyer and Seller: Provide final PDF copies to both parties.
  • Maintenance Records: Attach to logbooks or CAMO files.
  • Financing Parties: Send to lenders for asset collateral records.
  • Regulatory Filings: Include when submitting documentation to authorities.

Digital Signing and Distribution Considerations

Choose a platform that supports secure eSignatures, audit trails, and common aviation file formats.

  • File Formats: PDF, DOCX, and image files
  • Integrations: Salesforce, NetSuite, Google Workspace
  • Authentication: Email, SMS, or advanced methods

Ensure the chosen system records timestamps, signer attribution, and document history so the sheet is admissible and auditable.

Typical Timelines and Processing Expectations

Timelines vary by workflow stage; plan for verification, signoff, and distribution steps when scheduling transactions.

Data Collection Window:

1–5 business days depending on access

Internal Review:

1–3 business days for compliance review

Inspector Confirmation:

2–7 business days for on-site checks

Final Signatures:

Same day with eSign; longer for notarization

Distribution:

Immediate after completion

Common Preparation Mistakes to Avoid

  • Entering abbreviated or inconsistent serial/registration numbers that prevent FAA or maintenance cross-checks.
  • Omitting STC or avionics version details, which leads to compatibility disputes during inspection.
  • Failing to record last overhaul dates or time‑in‑service incorrectly, affecting valuation and airworthiness assessments.
  • Not securing authorized signatures or relying on informal approval that lacks audit trail evidence.

Risks from Incomplete or Incorrect Sheets

Transaction Delay: Delayed closings and inspections
Value Dispute: Appraisal and pricing disagreements
Warranty Issues: Warranty claims may be denied
Financing Problems: Lenders may reject collateral details
Regulatory Noncompliance: Possible enforcement or corrective action
Liability Exposure: Contractual disputes with buyers
