What the ALTA Final Document Is

The ALTA Final Document is the standardized closing and settlement statement used by title companies and lenders to record final financial terms for a real estate transaction. Developed around American Land Title Association form conventions, it itemizes purchase price, loan payoffs, prorations, escrows, closing charges, and funds due to each party. The ALTA final serves as the formal financial record for the closing, supports lender underwriting and investor delivery, and is retained by title agents and lenders as part of the closing file.

Why the ALTA Final Document Matters

A complete ALTA Final Document ensures transparent allocation of closing costs, supports accurate lender funding and recording, and provides a retained legal record for title insurance and post-closing reconciliation.

Why the ALTA Final Document Matters

Who typically prepares and receives the ALTA Final Document

The document supports post-closing tasks such as policy issuance, payoff processing, recording validation, and any post-closing reconciliation.

  • Title and escrow officers responsible for settlement and recording tasks.
  • Lenders and mortgage investors who require exact payoff and escrow accounting.
  • Buyers, sellers, and closing attorneys who need the final accounting details.

Core elements contained in a professional ALTA Final Document

A properly prepared ALTA final groups account lines into recognizable sections that make verification and lender delivery straightforward.

Settlement Totals

Summarizes gross sales proceeds, total debits, total credits, and net funds due to each party; used to verify the cash to close and reconcile the escrow account for issuance of the title policy.

Prorations

Allocates taxes, HOA fees, utilities, and other recurring items between buyer and seller through the closing date, with clear start and end dates and per-diem calculations when required.

Loan Details

Lists loan amounts, mortgage recording tax, lender fees, broker fees, and payoff instructions so the lender can confirm funding and document delivery requirements before recording.

Payoffs

Itemizes payoff figures for existing mortgages, judgments, or liens, including conditional payoff expirations and wire or check instructions for each payoff recipient.

Closing Charges

Breaks out buyer- and seller-paid closing costs, title insurance premiums, recording fees, and escrow fees so each party can see charges and retained receipts.

Execution Details

Contains signature blocks, notary acknowledgements, dates, and any witness or RON-related metadata required for recording and for title company retention.

Step-by-step: preparing and finalizing an ALTA Final Document

Follow a consistent sequence to reduce errors and funding delays at closing.

  • 01
Prepare Draft: Populate fields from contract and title report.
  • 02
Clear Exceptions: Resolve title issues and confirm payoffs.
  • 03
Execute Signatures: Collect signatures, notarizations, or RON as required.
  • 04
Distribute Record: Provide final copies to lender, recorder, and parties.

Configuring an online ALTA final workflow

An online workflow reduces manual entry and centralizes signature, notary, and delivery steps.

Field Configuration
Document Template Lock required fields and use conditional visibility for optional line items.
Signer Order Define lender, seller, buyer sequence to prevent out-of-order signing.
Authentication Choose email, SMS code, or KBA per lender requirements.
Attachments & Retention Include title report and escrow instructions; set retention policies for audit.

Where the completed ALTA final is sent and why

Final routing ensures recording accuracy, lender funding, and that all parties receive a retained record.

  • County Recorder: Record deeds and mortgages to establish public record.
  • Lender/Investor: Deliver the ALTA final for funding and investor delivery requirements.
  • Title Company File: Retain a certified copy for title policy issuance and audits.
  • Parties and Agents: Provide final accounting copies to buyer, seller, and closing counsel.

Platform and technical considerations for e-filling and e-signing

When choosing a platform, verify HIPAA/21 CFR Part 11 needs for specific workflows and ensure retention policies meet lender and regulator demands.

  • File formats: PDF and Word DOCX are commonly accepted.
  • Integrations: Connectors to LOS, NetSuite, and cloud storage reduce manual uploads.
  • Security: Use TLS/AES encryption and audit logs for compliance.

Timing expectations and common deadlines around the ALTA final

Timely completion avoids funding delays; local recorder practices and lender cutoff times affect when settlements close.

Recording turnaround:

Recording often occurs same day or within 1–3 business days depending on county.

Funding cutoff:

Lender funding may require final ALTA receipt by a specific bank cutoff on closing day.

Title insurance issuance:

Policy typically issued after recording and receipt of paid-in-full documentation.

Proration calculations:

Prorations are computed through the closing date entered on the ALTA final.

Document retention:

Keep the executed ALTA final in the title file per lender and regulatory rules.

Key milestones from draft to recorded ALTA final

A short milestone list helps teams coordinate signatures, funding, and recording.

01

Draft and Review

Create the draft ALTA final and obtain internal approvals before sharing with parties.

02

Clearing Requirements

Confirm payoffs, release of liens, and title exceptions are addressed.

03

Execution and Funding

Collect signatures and process lender funding or wire transfers per instructions.

04

Recording and Delivery

Record documents and distribute the recorded copies to lender and parties.

Common preparation errors to avoid

  • Using an incorrect legal description copied from an outdated source leads to recording rejections and rework at the county recorder.
  • Entering mismatched party names or incorrect corporate suffixes delays acceptance by title underwriters and can block funding.
  • Failing to include accurate payoff expiration dates causes residual lien amounts or funding holdbacks.
  • Not accounting for prorations through the exact closing date results in post-closing adjustments and potential disputes.

Consequences of errors or noncompliance

Recording Delay: Funding or title policy issuance delayed.
Funding Rejection: Lender may refuse wire release.
Additional Costs: Extra notary, courier, or re-recording fees.
Title Exposure: Unresolved exceptions may affect coverage.
Regulatory Risk: Consumer disclosures must meet ESIGN/UETA rules.
Contract Dispute: Post-closing adjustments or claims may arise.

Practical tips to prepare accurate ALTA final documents

Use a standardized checklist and review process to reduce rework and ensure lender and recorder acceptance.

Verify legal description early
Confirm the legal description against the preliminary title report and prior deeds; discrepancies cause recording rejections and can require corrected instruments.
Confirm exact payoff figures
Obtain written payoff statements with expiration dates from lienholders and include wire instructions to prevent payment errors or stale payoffs.
Match party names and signatory authority
Ensure entity suffixes and authorized signer names match corporate resolutions or recorded documents to avoid acceptance issues and title underwriting exceptions.
Document authentication strategy
Decide whether to use traditional notarization, in-person signing, or RON and ensure the chosen method meets county and lender acceptance criteria.
