What the Alternative Drywood Proposal Is

An Alternative Drywood Proposal is a written service agreement provided by a pest control contractor that documents recommended options for treating drywood termites at a specific property. It summarizes inspection findings, compares treatment methods (localized vs. whole-structure), lists estimated costs, schedules, exclusion clauses, and any warranty or monitoring terms. The proposal creates a record of the contractor’s recommendation and the property owner’s consent when signed, and it often serves as the operative contract once accepted.

Why a Clear Proposal Benefits Both Parties

A well-prepared Alternative Drywood Proposal reduces misunderstandings by setting expectations for scope, price, timing, and warranties. It documents material facts that protect both the service provider and the property owner, supports permitting or insurance claims, and creates a concise basis for any future dispute resolution under contract law or state consumer-protection statutes.

Why a Clear Proposal Benefits Both Parties

Who Typically Prepares and Reviews These Proposals

Contractors, property managers, and homeowners commonly exchange the Alternative Drywood Proposal as part of the inspection and remediation workflow.

  • Licensed pest control contractors who conduct inspections and offer treatment alternatives.
  • Property managers and landlords evaluating repair and budget approvals.
  • Homeowners considering treatment options, warranties, and scheduling.

Each party uses the document differently: contractors for scope and billing, property owners for informed consent and recordkeeping.

Core Elements to Include in a Professional Proposal

A complete Alternative Drywood Proposal combines technical findings with commercial terms so the recipient can compare options and make an informed decision.

Inspection Summary

Concise description of observed infestation, affected areas, and evidence such as frass, galleries, or satellite activity, including date and inspector name.

Treatment Options

Clear description of each recommended method (localized spot treatment, whole-structure fumigation, heat treatment, or injection), with pros and cons and conditions for effectiveness.

Scope of Work

Step-by-step list of tasks the contractor will perform, materials to be used, access requirements, and any preparatory actions required of the owner.

Price & Payment

Itemized costs for labor and materials, payment schedule, deposits, accepted payment methods, and conditions for refunds or adjustments.

Schedule & Duration

Estimated start date, projected duration, occupant access limitations, and contingency plans for weather or site-specific delays.

Warranty & Exclusions

Warranty scope, duration, required monitoring, and explicit exclusions such as pre-existing damage or adjacent untreated structures.

Step-by-Step: Preparing and Issuing the Proposal

Follow these steps to create a clear, enforceable Alternative Drywood Proposal that can be executed electronically or on paper.

  • 01
Inspect Property: Document evidence, take photos, and note affected areas.
  • 02
Draft Options: List treatment alternatives, timelines, and costs.
  • 03
Review Terms: Confirm warranty, exclusions, and payment terms with legal counsel if needed.
  • 04
Send for Signature: Deliver proposal to signer via secure channel and obtain signature.

How to Configure an Online Proposal Workflow

Set up a repeatable online workflow so proposals are consistent, traceable, and easy to sign remotely.

Field Configuration
Client Info Auto-fill from CRM using property ID mapping
Inspection Photos Attach as image fields with captions
Signature Placeholder Add signer fields with required date stamp
Routing Set signer order and notification rules

Where to Send and How to Store the Completed Proposal

After signing, distribute the proposal copies to the right stakeholders and save a retained copy for compliance and warranty purposes.

  • To the Client: Email signed PDF and certificate of completion
  • Internal File: Store in company records or CRM with inspection ID
  • Insurance or Lender: Provide copy if required for claims or escrow
  • Compliance Archive: Retain a tamper-evident version for retention period

Digital Signing and Integration Considerations

Use a secure eSignature platform that supports audit trails, secure storage, and common integrations to reduce administrative friction.

  • Integrations: Salesforce, NetSuite, Google Workspace, and Procore are commonly used
  • File Types: PDF and DOCX formats supported by most platforms
  • Authentication: Email link, SMS code, or advanced verification

Confirm the selected platform meets your compliance needs (encryption at rest/in transit, BAA if handling PHI) and that signed records are exportable for audits.

Typical Timelines and Deadlines to Note

Proposals and associated tasks have common timeframes; document them clearly to avoid scheduling disputes or warranty lapses.

30 days is common for quoted pricing

Scheduling Window:

Start within 14–60 days depending on availability

Warranty Start:

Begins on treatment completion date

Payment Due:

Deposit at acceptance; balance on completion

Follow-up Inspection:

Typically scheduled 30–90 days post-treatment

Key Project Milestones

Common Mistakes to Avoid When Preparing the Proposal

  • Using vague scope language that omits access requirements or treatment limits, which creates billing and liability disputes later.
  • Failing to itemize costs and payment terms, leaving room for disagreement about what is included in the price.
  • Not documenting exclusions or conditions that void warranties, which often leads to contested service calls.
  • Delivering proposals without an audit trail or signature evidence when acceptance is electronic, complicating enforcement.

Short Risks and Potential Consequences

Contract Dispute: May lead to refund or repair obligations
Warranty Void: Incorrect procedure or missing prep may void warranty
Licensing Penalty: Unlicensed work can trigger fines
Liability Exposure: Property damage claims for improper treatment
Insurance Denial: Incomplete documentation can invalidate claims
Scheduling Delays: Missing availability windows increase cost
