What an Annual Letter Is and when organizations use it

An Annual Letter is a formal, recurring communication from an organization to stakeholders that summarizes the prior year’s performance, key events, strategy, and governance matters. It typically combines an executive summary, financial highlights or metrics, strategic objectives for the coming year, and required disclosures. Annual Letters can be circulated to shareholders, members, donors, customers, regulators, or employees and may be stored with corporate records. When executed by authorized signatories and retained appropriately, they evidence governance actions and decisions for audits and legal review.

Why an Annual Letter matters for governance and communication

A clear Annual Letter documents performance and priorities, supports regulatory transparency, and creates a single, auditable record of leadership communications for investors and regulators.

Why an Annual Letter matters for governance and communication

Who prepares and who receives an Annual Letter

Tailor content and signature authority to the audience and applicable regulatory or contractual obligations.

  • Corporate leadership teams and boards: CEOs, CFOs, and board chairs draft and approve language for shareholders and regulators.
  • Nonprofit executives and development directors: Issue annual reports and donor letters summarizing mission outcomes and financial stewardship.
  • Membership organizations and cooperatives: Distribute to members with governance updates and voting information.
