What an Appraisal Proposal Template Is

An Appraisal Proposal Template is a written offer that outlines the scope, timeline, fees, and terms for a professional property appraisal engagement. It frames the assignment purpose, services to be delivered, data sources, deliverable format, and any special conditions such as on-site access or third-party coordination. The template helps standardize proposals across clients and projects, reduces back-and-forth on basic terms, and creates a clear record of what the appraiser will deliver before work begins. Use the template to document responsibilities and expedite client acceptance.

Why Use a Standardized Appraisal Proposal

A standard template reduces ambiguity, documents scope and fees, and supports consistent client communication. It protects both parties by clarifying deliverables, timelines, and payment terms while simplifying review and approval.

Why Use a Standardized Appraisal Proposal

Who Typically Prepares and Receives This Proposal

Appraisal firms, independent appraisers, and valuation teams prepare proposals to set client expectations and obtain formal acceptance before beginning work.

  • Lenders and mortgage brokers requesting appraisal services for lending decisions and underwriting.
  • Property owners or sellers seeking a formal valuation for listing, estate, or tax purposes.
  • Attorneys, accountants, or financial advisors coordinating valuations for litigation, tax, or transaction support.

Recipients use the proposal to compare scope and cost, and sign or countersign to authorize work under the stated terms.

Step-by-Step: Preparing and Sending the Proposal

Follow these sequential steps to create a clear, enforceable appraisal proposal and minimize approval delays.

  • 01
Draft: Populate template with property, scope, fees, and deadlines.
  • 02
Attach Documents: Include site photos, plat maps, title info, and any client instructions.
  • 03
Review: Verify legal names, address, and fee amounts; confirm deliverable format.
  • 04
Send: Deliver via email or eSignature platform and request signature and date.

Core Sections Every Professional Proposal Should Include

A complete template organizes contractual items into clear sections so clients can review scope and accept quickly.

Engagement Summary

One-paragraph description of the assignment purpose and the intended use of the appraisal, clarifying who requested the work.

Scope of Work

Detailed list of methods, property types covered, approaches to value, and any assumptions or limiting conditions.

Deliverables

State the report type, number of copies, electronic file format, and whether a restricted-use or general-use report is provided.

Timing

Set expected delivery date or turnaround window and any milestones for inspections, drafts, or client reviews.

Fees

Clear fee schedule, payment terms, retainer requirements, and billing milestones to prevent disputes.

Terms

Include governing law, cancellation policy, liability limits, confidentiality, and signature blocks for parties.

Security and Compliance Information to Include

Encryption: TLS 1.2/1.3 in transit; AES-256 at rest
Audit Trail: Captures timestamps, IP, and action history

Typical Digital Proposal and Signature Flow

This sequence shows common steps when issuing a proposal electronically and collecting signatures.

  • Upload Document: Import proposal PDF or DOCX and apply signature fields.
  • Assign Signers: Enter signer emails and role order for approvals.
  • Authentication: Choose signer verification: email link, SMS code, or KBA.
  • Complete: Signer applies signature; platform issues signed copy and audit trail.

Recommended Workflow Settings for Appraisal Proposals

Configure these settings to reduce signer friction and preserve an auditable record of acceptance.

Field Configuration
Template Name Use descriptive name by property and client
Signature Fields Require typed name, signature, and date
Conditional Fields Show additional terms when fees exceed thresholds

File Formats and Integration Needs

Appraisal proposals should be maintained in editable and final formats to support revisions and audits.

Ensure the chosen platform supports your required integrations and retains a tamper-evident audit trail for every signed proposal.

Common Mistakes to Avoid When Preparing a Proposal

  • Using vague scope language that omits approaches to value, producing client disputes and scope-creep claims.
  • Mismatching client or property names which can delay contracting, invoicing, or underwriting acceptance.
  • Failing to specify deliverable format or use restrictions, resulting in rework or rejected reports.
  • Not including clear payment terms and retainer requirements, causing late payment and collection issues.

Principal Risks When a Proposal Is Incorrect or Incomplete

Contract Disputes: Delayed closings or litigation risk
Closing Delays: Finance or escrow interruptions
Regulatory Fines: Enforcement actions in regulated matters
Tax Exposure: Possible IRC §6501 or §6721 consequences
Professional Liability: Malpractice or indemnity claims
Invalid Authorization: Unsigned or improper signature invalidates work order
