What an Appraisal Transfer Form Is and When It’s Used

An Appraisal Transfer Form documents the reassignment or transfer of a real estate appraisal engagement, recording the parties, property details, reason for transfer, effective date, and any fee adjustments or responsibilities. Lenders, appraisal management companies (AMCs), brokers, and appraisers use it to create an auditable chain of custody when an appraisal order moves from one appraiser or vendor to another. The form preserves consent, clarifies project scope, and identifies who will deliver the written appraisal report and retain the file for regulatory or audit purposes.

Why a Clear Transfer Form Matters

A formal Appraisal Transfer Form reduces disputes by documenting scope, liability, and delivery obligations, supports regulatory compliance, and creates a reproducible record for audits and closings.

Why a Clear Transfer Form Matters

Typical Users and Stakeholders

The Appraisal Transfer Form is used by lenders, appraisal management companies, appraisers, brokers, and title professionals during reassignment, vendor changes, or quality reviews.

  • Lenders and loan processors: document transfer reason and maintain underwriting evidence.
  • Appraisal management companies: record vendor change, fees, and assignment terms.
  • Appraisers and reviewers: accept scope, confirm delivery timelines, and note file retention duties.

Each stakeholder needs specific sections completed: parties confirm consent, appraisers acknowledge assignment, and lenders record chain-of-custody details for underwriting files.

Core Sections of a Professional Appraisal Transfer Form

A complete form groups administrative, property, and legal details so reviewers can verify authority and file continuity without returning to multiple sources.

Transfer header

Includes form ID, effective date, and a brief transfer reason to anchor the record and link to the original order.

Parties

Full legal names and roles for assignor, assignee, lender, AMC, and contact details to establish authority and routing instructions.

Property details

Street address, legal description, assignment ID, and loan number to ensure the appraisal file is associated with the correct collateral.

Scope and deliverables

Defines report type, required addenda, due date, and whether review or reinspection is required to avoid scope creep.

Fees and payment

Documents fee adjustments, payer, and payment timing so accounting and vendor management can reconcile charges.

Signatures and attestations

Signature blocks for all parties, any attestations about conflicts of interest, and optional notary acknowledgement when required.

Required Data Elements at a Glance

Form ID: Unique transfer identifier

Step-by-Step: How to Complete and Record a Transfer

Follow these steps to record the transfer, confirm acceptance, and preserve an audit trail for underwriting and compliance.

  • 01
Prepare form: Populate header, parties, and property details accurately.
  • 02
State scope: Define deliverables, deadlines, and any additional requirements.
  • 03
Obtain signatures: Send to assignor and assignee for signature and date.
  • 04
File and distribute: Save signed copy, notify lender and chain parties.

How to Configure an Online Transfer Workflow

Set up fields, routing, and signer authentication to streamline online reassignment and maintain a searchable audit trail.

Field Configuration
Assignee signature Required; date-stamped with identity cue
Assignor signature Required; signer role locked
Attachment field Require original appraisal file upload
Routing order Assignor → Assignee → Lender

Where to Send and How to Route Completed Forms

A consistent routing path preserves file continuity and ensures all underwriting and vendor-management records reflect the transfer.

  • Primary file: Store signed form with the appraisal report.
  • Lender copy: Send to loan processor for underwriting.
  • AMC record: Archive in vendor management system.
  • Title / closing: Include when required by closing checklist.

Digital Signing and Platform Requirements

Use platforms that provide audit trails, tamper-evident signed PDFs, and signer authentication to meet ESIGN and UETA standards.

  • Audit trail: Timestamps, IP, action log
  • Document formats: PDF, DOCX supported
  • Integrations: CRM and cloud storage

Where HIPAA, 21 CFR Part 11, or lender-specific controls apply, confirm the platform supports required compliance features and a Business Associate Agreement when appropriate.

Timelines, Deadlines, and Processing Expectations

Define clear deadlines for acceptance, delivery of revised reports, and notifications so underwriting and closing schedules remain predictable.

Effective date entry:

Use the signed effective date to trigger responsibilities and deadlines.

Acknowledgement window:

Request assignee acknowledgement within business days.

Revised report delivery:

Specify due date for any amended appraisal.

Notification to lender:

Notify lender immediately after signatures.

Record retention start:

Retention periods begin on effective or delivery date.

Common Mistakes to Avoid

  • Leaving party names inconsistent with vendor or payroll records causes payment and tax issues.
  • Failing to attach the original appraisal or review file breaks the audit trail for underwriting.
  • Using vague ‘reason for transfer’ language can invite disputes about scope and liability.
  • Skipping signer authentication increases the risk of non-repudiation challenges during audits.

Risks and Consequences of an Incorrect Transfer

Delayed closing: Loss of closing deadlines
Regulatory exposure: Undermined underwriting evidence
Payment disputes: Unclear payer or fee terms
File rejection: Underwriting may return incomplete files
Reputational harm: Vendor reliability concerns
Audit gaps: Missing chain-of-custody records
