What an Approval Email Template Is

An Approval Email Template is a standardized message used to request formal approval or sign-off on a document, change, purchase, or workflow item. It establishes the approval request, names the approver(s), summarizes the decision required, and includes links or attached files that recipients must review. The template reduces ambiguity by providing consistent subject lines, required actions, deadlines, and a clear record of the request for audit and retention purposes.

Why a Clear Approval Email Template Matters

Using a consistent template speeds decision-making, reduces follow-up, and creates an auditable record that supports compliance and dispute resolution.

Why a Clear Approval Email Template Matters

Who typically sends and receives approval emails

Approval emails are used by project managers, procurement teams, legal reviewers, and HR to secure timely sign-off and document the decision.

  • Project Managers and Team Leads who need recorded sign-off on deliverables or scope changes.
  • Procurement and Finance staff requesting purchase approvals or invoice sign-off.
  • Legal and Compliance reviewers approving contracts or policy changes.

The template reduces miscommunication across these roles and supports consistent archival of approval records.

Typical approver profiles

Approver — Finance

A finance approver reviews amounts, budget alignment, and vendor terms. They typically require invoice numbers, GL codes, and an itemized summary to validate and approve payments.

Approver — Legal

A legal approver checks contract language, risk allocation, and signature authority. They often request redline comparison, effective dates, and a statement of who will execute the contract.

Key data and security elements to include

Approver Email: Work address preferred
Approval Link: Secure, single-use link
Document ID: Unique reference code
Timestamp: UTC date/time
Audit Trail: IP and action log
Encryption: TLS in transit

Risks if approval emails are incorrect

Contract Delay: Execution postponed
Payment Hold: Vendor payment delayed
Compliance Gap: Regulatory breach risk
Record Dispute: No clear audit trail
Unauthorized Approval: Signatory mismatch
Data Exposure: Sensitive info leaked

Common problems to avoid when using approval templates

  • Unclear subject lines that hide the action required, causing recipients to miss or postpone the approval.
  • Missing attachments or broken links that force manual follow-up and extend the approval cycle.
  • Vague decision options (approve/deny without conditions) that lead to misunderstandings and rework.
  • No expiration or reminder schedule, which leaves requests unattended and creates audit gaps.

How to prepare an approval email template

Follow these concise steps to build a reusable approval email that is clear, actionable, and auditable.

  • 01
Compose subject: Include 'Approval Required', project code, and due date
  • 02
Summarize request: One-sentence purpose and decision needed
  • 03
Attach files: Include contract, redlines, or invoice
  • 04
State actions: List 'Approve', 'Request changes', or 'Reject'

Typical approval workflow when you send the template

An approval email should map to a defined workflow so each action and handoff is recorded and auditable.

  • Send request: Originator sends template to approver
  • Approver reviews: Approver opens attachments and evaluates
  • Decision submitted: Approver selects decision and signs
  • System records: Audit trail stores actions and timestamp

Essential sections to include in the template

A professional approval email template balances clarity and brevity while capturing the data needed for the decision and future audits.

Subject line

Start with 'Approval Required' and include reference number, department, and a firm due date to prioritize the request and aid searchability.

One-line summary

Provide a concise purpose and the single decision requested, enabling approvers to triage without opening attachments immediately.

Attachments list

Enumerate attached documents by filename and version so approvers know exactly which files to review and which exhibit to reference.

Action buttons

Offer clear options—Approve, Request Changes, Reject—with links or signed forms so the action is recorded and minimizes free-text responses.

Deadline and reminders

State the response deadline and describe automatic reminders or escalation paths to ensure timely decisions.

Record details

Include approver name, role, decision timestamp, and an audit link so the corporate record is complete and exportable.

Practical tips for accurate and efficient approval emails

Apply these guidelines to keep approval cycles short and records reliable.

Keep the request focused
Limit each email to a single decision or line item when possible; bundling multiple unrelated approvals increases cognitive load and delays responses.
Use machine-readable references
Include document IDs, PO numbers, or contract references in a consistent format to ease search, reconciliation, and integration with downstream systems.
Require minimal but sufficient authentication
Use email plus optional SMS or SSO for higher-risk approvals, balancing signer friction against the need for reliable attribution and non-repudiation.
Archive the signed record
Store the final signed approval and audit trail in a secure, access-controlled repository with a retention label to meet legal and internal policy requirements.

Recommended timelines and follow-up cadence

Establish clear deadlines and automated reminders to prevent stale approval requests and ensure predictable processing.

Initial response window:

3–7 business days

First reminder:

Sent after 48–72 hours

Escalation:

Escalate after 7–10 business days

Final expiration:

Template expires after 30 days

Record retention start:

Retention begins on signature date
