What Architectural Drawings and Specifications Are

Architectural Drawings and Specifications are the comprehensive documents that describe a building project’s design, materials, dimensions, and construction requirements. They combine scaled drawings, elevations, sections, schedules, and written technical specifications that set performance criteria, material standards, and installation methods. Contractors, trades, and permitting authorities use them to price, build, inspect, and approve work. When complete and coordinated, these documents reduce ambiguity, support code compliance, and form enforceable contract deliverables throughout construction and the record drawing archive.

Why Accurate Drawings and Specs Matter

Clear Architectural Drawings and Specifications reduce change orders, improve bid accuracy, and accelerate permit reviews. They establish measurable standards for materials and workmanship, helping owners, designers, and contractors manage cost, schedule, and risk during construction.

Why Accurate Drawings and Specs Matter

Primary users and stakeholders

Design firms, general contractors, owners, and permitting officials use Architectural Drawings and Specifications to coordinate design, bids, and regulatory review.

  • Architects and designers — prepare drawings, apply building codes, and specify materials for construction and permits.
  • Contractors and subcontractors — use drawings to estimate, fabricate, and install per specifications on schedule.
  • Building departments and reviewers — examine plans for code compliance, accessibility, and site-specific constraints.

Each party relies on different parts of the package: designers for intent, contractors for execution, and authorities for compliance.

Core components to include in every set

A professional set blends graphical and textual content so contractors and reviewers can clearly interpret scope, tolerances, and required products. Each component plays a role in bidding, permitting, construction, and recordkeeping.

Cover Sheet

Project name, location, owner, architect contact, sheet index, code summary, and general notes that identify the entire drawing and specification set.

Floor Plans

Scaled plans showing room layouts, dimensions, partition types, door and window locations, and notes for finishes and key equipment locations for construction teams.

Elevations

Exterior faces showing heights, materials, fenestration, roof slopes, and relations to existing grade and adjacent structures to guide cladding and fenestration work.

Sections & Details

Cutaway sections and enlarged details illustrating assemblies, connections, flashing, insulation, and substrate conditions required for correct construction and inspection.

Schedules

Doors, windows, finishes, and equipment schedules listing sizes, materials, ratings, and manufacturers to ensure consistent procurement and installation.

Technical Specifications

Written performance and product requirements organized by division, including quality standards, testing, installation methods, and required submittals or product data.

Required information and standard fields

Project Name: Full legal project title
Owner Contact: Name, phone, email
Architect License: State license number
Site Address: Street, city, ZIP
Revision Number: Sequential revision ID
Scale & North: Drawn scale and north arrow

Step-by-step: Preparing and issuing the documents

Follow these sequential steps to prepare, review, and submit Architectural Drawings and Specifications for bidding and permitting.

  • 01
Gather information: Compile program, surveys, existing conditions, and code data.
  • 02
Produce drawings: Create scaled plans, elevations, sections, and details.
  • 03
Write specifications: Define products, performance, testing, and submittal requirements.
  • 04
Review and issue: Coordinate disciplines, resolve clashes, stamp and distribute.

Where to send drawings and how submission works

Architectural drawings and specifications move through internal review, external bid distribution, and municipal submission channels depending on project scope and jurisdiction.

  • Internal review: Design team coordinates and issues final set.
  • Bid distribution: Send complete sets to prequalified bidders and contacts.
  • Permit submission: Submit stamped sets to local building department or portal.
  • Record archive: Store signed, stamped record drawings in project records.

Digital workflow settings for e-submission and signing

Recommended field settings and routing preferences reduce signer friction and preserve an audit trail for permits and contracts.

Field Recommended Setting
Signature Field Required, signer must authenticate
Initials Field Optional, ensure sequential placement
Date Field Auto-fill with signer date
Attachment Field Allow PDFs and DWG files

File formats and integration considerations

Use industry-supported formats and integrations to maintain fidelity and traceability across platforms.

  • File Types: PDF, DWG, IFC supported
  • Integrations: Procore, NetSuite, Google Workspace
  • Audit Trail: Timestamps, IP, signer metadata

Typical timelines and critical submission dates

Key dates drive procurement, permitting, and construction. Track issue dates, review windows, and final record delivery for compliance.

Bid Issue Date:

Date on which contractors may request clarifications.

Permit Submission Deadline:

Final date to submit documents for intended start.

Reviewer Comment Period:

Typical 2–6 week review window depending on jurisdiction.

Construction Start:

Planned mobilization after permit approval.

Record Drawings Due:

Submit stamped as-built drawings upon project completion.

Common preparation and coordination pitfalls

  • Uncoordinated drawings between disciplines lead to field conflicts, costly RFIs, and schedule delays during construction.
  • Omitting material performance criteria or product standards often causes substitutions that fail to meet design intent and require rework.
  • Incorrect scales, missing north arrows, or inconsistent dimensioning create ambiguities that slow permit review and contractor pricing.
  • Failing to update revision blocks or distribute revised sheets increases the risk of contractors building from obsolete information.

Consequences of incomplete or noncompliant submissions

Permit denial: Administrative hold
Work stoppage: Contractual schedule impact
Fines: Municipal penalties
Rework costs: Contractor chargebacks
Liability exposure: Professional responsibility
Record disputes: Claims and arbitration

Downloading and archiving deliverables

Use export formats that preserve fidelity and evidentiary value for permitting, construction, and long‑term archival needs.

PDF/A Export

Save final signed sets as PDF/A for long-term archival; ensure embedded fonts and a tamper-evident signature or audit trail are preserved for legal reproducibility.

Source Files

Archive native CAD files (DWG) alongside exported PDFs to support future modifications and as-built verification during renovations or claims.

Signed Package

Include the complete specification book, stamped drawings, submittal logs, and the signing audit trail for a single searchable archive.

Versioning

Maintain clear version history with revision IDs and dates to prevent use of outdated sheets during construction and inspections.

Authorized signers and their roles

Licensed Architect

A licensed architect authorized by the design firm signs and stamps drawings to certify compliance with professional practice and applicable state licensure requirements; the architect assumes professional responsibility for design content and coordination.

Authorized Owner Agent

An owner or designated agent may sign project specifications for contractual acceptance, to authorize bids, or to acknowledge scope; their signature confirms contractual obligations but does not replace the professional seal where required.

Notarization, witness, and authentication steps

Authentication requirements vary by state and document type; follow a procedural checklist when notarization or remote notarization is needed.

01

Determine seal need

Confirm whether an architect or engineer seal is required by state law or municipal practice.

02

Verify signer credentials

Confirm active license numbers and signatory authority before stamping or signing.

03

Choose notarization type

Decide between in-person notarization and remote online notarization (RON) if available.

04

Prepare notarization block

Include a proper notary certificate or acknowledgment formatted per state guidance.

05

Use RON safeguards

If using RON, retain identity proofing and audio‑video record per state RON rules.

06

Attach witness statements

Where witnesses are required, include signed witness attestations on the document.

07

File with authority

Submit stamped and notarized sets to the local building department or permitting portal.

08

Archive notarized copy

Store the notarized record alongside the audit trail for future proof or dispute resolution.
