What an Aupair Work Schedule Is and why it matters

The Aupair Work Schedule is a written itinerary that records an au pair's agreed hours, duties, and daily or weekly childcare responsibilities while placed with a host family. It clarifies start and end times, meal and break periods, transportation duties, overnight expectations, and any additional household tasks. Employers and au pairs use it to align expectations, document hours for stipend calculations, and support visa compliance where applicable. A clear schedule reduces disputes, helps track time off and training, and provides a reference for performance reviews or contract amendments.

Why a formal schedule improves clarity and compliance

Using a formal Aupair Work Schedule clarifies responsibilities, minimizes misunderstandings, and creates a verifiable record for stipend calculations and compliance with program rules. It aids consistent childcare coverage, simplifies conflict resolution, and documents agreed changes for both host families and au pairs.

Why a formal schedule improves clarity and compliance

Who typically completes and keeps the schedule

Typical users range from host families and au pairs to placement agencies and program coordinators who manage placements and schedules.

  • Host families: primary schedulers for daily childcare, transportation, and household task coordination.
  • Au pairs: confirm availability, record hours, request time off, and note training dates.
  • Placement agencies and program coordinators: verify compliance, mediate disputes, and archive schedules for records.

Keeping a signed schedule on file supports dispute resolution, stipend reconciliation, and evidence for program reviews or visa compliance checks.

Core sections that make a professional Aupair Work Schedule

A professional Aupair Work Schedule combines clear time blocks, task lists, and agreement metadata so both parties can reference obligations, exceptions, and amendment procedures.

Schedule Grid

Daily and weekly rows that list start and end times, breaks, overnight duties, and optional split shifts; structured grid reduces ambiguity when calculating weekly hours and stipends.

Duties

Clear enumeration of childcare responsibilities (feeding, school drop-off/pick-up, homework help, bath/bedtime) and any light household tasks to prevent scope creep and misaligned expectations and later consequences.

Time Off

Designated fields for vacation days, sick leave, and public holidays; specify notice periods and approval steps so coverage can be arranged without interrupting childcare responsibilities.

Amendments

Procedure for schedule changes: who may propose amendments, required notice, and whether written consent or signatures are needed to make modifications legally binding and documented.

Signatures

Signature blocks for host parents, au pair, and agency representative; include printed name, role, signature, and date to establish attribution and intent to sign explicitly.

Notes & Exceptions

A free-text area to record one-off arrangements, medical accommodations, transport limitations, or temporary schedule shifts and to reference related supporting documents with effective dates noted.

Step-by-step: complete and finalize the schedule

Follow these steps to complete an Aupair Work Schedule accurately and create a signed record both parties can rely on.

  • 01
Gather details: Collect names, contact info, and visa or program IDs.
  • 02
Draft timetable: Enter daily start/end times, breaks, and overnight duties.
  • 03
Specify duties: List childcare tasks and any household responsibilities.
  • 04
Sign and store: Have all signatories date and retain copies in file.

How routing and submission options affect records

Standard routing and submission choices affect how the schedule is acknowledged, stored, and reviewed by agencies or placement programs.

  • In-person: Printed schedule signed by parties and optionally notarized
  • Email PDF: Attach signed PDF and save sender timestamp for audit
  • Secure portal: Upload to agency portal with role-based access and audit trail
  • eSignature: Use compliant e-signature with intent evidence and retention

Technical requirements for digital completion and sharing

Confirm platform requirements before collecting signatures to ensure legal acceptance, authentication level, and secure storage meet program or agency standards.

  • Document formats: PDF, DOCX, or scanned images
  • Auth methods: Email link, SMS code, or KBA
  • Integrations: Google Drive, Microsoft 365, NetSuite

Security and compliance checklist for schedule records

Encryption: TLS 1.2/1.3 in transit; AES-256 at rest
Certifications: SOC 2 Type II, ISO 27001, PCI DSS
HIPAA: HIPAA compliant with BAA available
ESIGN/UETA: Compliant with federal and state rules
Access Controls: Role-based access and SSO support
Audit Trail: Immutable timestamps, IP, and action log

Common preparation mistakes to avoid

  • Unclear hours: vague start/end times or unpaid overtime expectations create disputes over stipend calculations and breach host family or program guidelines.
  • Missing signatures: unsigned or dated schedules hinder enforcement and make it harder to resolve disagreements during program reviews or visa audits.
  • Inconsistent records: multiple informal notes or emails instead of one authoritative schedule lead to confusion about approved changes and time-off approvals.
  • Failure to record exceptions, medical accommodations, or temporary rearrangements can expose hosts to legal claims or agency penalties if disputed later.

Potential consequences of incorrect or missing schedules

Stipend Errors: Underpayment disputes
Tax Consequences: Backup withholding risks
Program Noncompliance: Placement sanction risk
Documentation Gaps: Inaccurate evidence
I-9 Audit: Potential fines
Intentional Misreporting: Severe penalties
