What an Auto Progressive Agreement Is

An Auto Progressive Agreement is a staged contract used to authorize and document phased work, inspections, and payments for vehicle sales, repairs, or claim settlements. It sets specific milestones, acceptance criteria, and payment triggers tied to completed work or inspection results, and often includes requirements for documentation, warranties, and dispute resolution. The agreement can be executed on paper or electronically, and when properly completed it clarifies responsibilities for each party, reduces billing disputes, and creates an auditable record of approvals and payments.

Why parties use an Auto Progressive Agreement

A well-drafted Auto Progressive Agreement reduces ambiguity by tying payments to verifiable milestones, protecting payors from premature disbursement and providing suppliers or repair shops with predictable cash flow. It documents acceptance criteria and inspection protocols, which helps resolve disagreements and supports warranty or insurance claims when work is incomplete or defective.

Why parties use an Auto Progressive Agreement

Who typically completes this agreement

Typical parties include vehicle owners, repair shops, dealerships, insurers, lienholders, and fleet managers who need staged authorizations tied to inspections or milestones.

  • Repair shops and dealers managing phased repairs or restorations and needing signed approval at each stage.
  • Insurance adjusters and claims departments coordinating repairs, authorizations, and payment disbursements.
  • Fleet managers and commercial vehicle lessors who require staged acceptance and documented work history.

The document is useful for any transaction where work is delivered in phases, payments are conditional, or multiple stakeholders must approve progress.

Step-by-step: completing the Auto Progressive Agreement

Follow these steps to prepare, review, and finalize the agreement so milestones and payments are enforceable.

  • 01
Draft the scope: Define tasks, parts, and acceptance criteria for each stage.
  • 02
Set payment triggers: Assign amounts or percentages to each milestone with due dates.
  • 03
Add parties and authority: List signers and their roles, plus contact information.
  • 04
Execute and archive: Collect signatures, retain audit trail, and store executed copy.

How to configure an online progressive workflow

Configure the digital workflow to align electronic approvals with milestone triggers and retention policies.

Field Configuration
Signer authentication Email + SMS code or KBA for higher assurance
Conditional fields Show next-stage fields after prior completion
Bulk send Enable for repetitive fleet or dealer agreements
Retention policy Auto-archive completed PDFs to secure storage

Technical considerations for eSubmission and integration

Choose a platform that supports required authentication, audit trails, and integrations with your systems of record.

  • Integrations: Salesforce, NetSuite, Microsoft 365, Google Workspace
  • File formats: PDF/A, DOCX, and exported XML for records
  • Security: TLS 1.2/1.3; AES-256 at rest

Where to send and how submission works

Routes and storage depend on the role of each party and the recipient systems (claims, accounting, fleet management).

  • Upload document: Start with a PDF or DOCX of the agreement.
  • Place fields: Add signature, date, and conditional milestone fields.
  • Assign signers: Enter email addresses and signer roles.
  • Distribute copies: Send signed copies to accounting, claims, and parties.

Common timing expectations and deadlines

Timelines vary by contract terms; define due dates and dispute windows explicitly to avoid ambiguity.

Initial authorization:

Payment or deposit due on signing or prior to work start.

Milestone payments:

Due upon inspector sign-off or documented completion.

Warranty claims:

Report defects within agreed warranty period, typically 30–90 days.

Dispute notice:

Provide written notice within 30 days of alleged defect.

Record retention:

Keep executed agreement per retention policy and regulations.

Key processing milestones for an Auto Progressive Agreement

Track milestone completion from authorization to final acceptance to maintain clear triggers for payment and release.

01

Stage One: Authorization

Customer approves initial scope and deposit is collected.

02

Stage Two: Interim inspection

Work inspected and interim payment requested.

03

Stage Three: Final completion

Final inspection completed and final payment invoiced.

04

Stage Four: Closeout

Warranties documented and records archived.

Common preparation errors to avoid

  • Vague milestone descriptions lead to disputes over whether work is complete, expanding disagreement resolution time and cost.
  • Mismatched party names or titles cause authentication failures and delay payments while parties verify authority and identity.
  • Missing payment details such as split percentages or due dates result in late payments or collection disputes.
  • Failing to specify inspection criteria or who performs acceptance tests creates room for subjective judgments and disagreements.

Consequences of incorrect or incomplete agreements

Contract voiding: Ambiguity may render terms unenforceable
Payment disputes: Leads to delayed or withheld payments
Regulatory exposure: Failure to meet statutory notices increases legal risk
Warranty denial: Improper documentation jeopardizes claims
Notarization gaps: Missing acknowledgements reduce evidentiary weight
Record retention failures: Noncompliance with retention rules risks penalties
