What the Automatic Door Installation Agreement Is

An Automatic Door Installation Agreement is a written contract that sets out the parties, work scope, pricing, schedule, payment terms, warranties, permits, and acceptance criteria for installing an automatic door system at a specified location. It documents responsibilities for site preparation, electrical or structural modifications, third-party approvals, and code compliance. The agreement also allocates risk through insurance and indemnity clauses, addresses change orders and delays, and specifies how disputes will be handled, including governing law and venue provisions.

Why a Clear Installation Agreement Matters

A clear Automatic Door Installation Agreement reduces disputes, aligns expectations, and clarifies who is responsible for permits, code compliance, and post-installation support. It protects both installers and owners by documenting costs, timelines, warranty coverage, and remedies for late or defective work.

Why a Clear Installation Agreement Matters

Who Typically Prepares and Signs This Agreement

The agreement is used by parties involved in procurement, installation, and building operations to define responsibilities and protect interests.

  • Facility managers and building owners who approve scope, schedule, and budget and who coordinate internal stakeholders.
  • General contractors and subcontractors who integrate automatic door work with broader construction schedules and inspections.
  • Security and accessibility coordinators who verify ADA compliance, access control integrations, and commissioning requirements.

Tailor the form so signatories, technical contacts, and maintenance providers are clearly identified and their obligations are explicit.

Common Signatory Roles

General Contractor

A contractor signs when responsible for site coordination, sequencing, and subcontractor oversight. Their signature confirms acceptance of scope, means of access, and responsibility for interfacing work and schedule management between trades.

Building Owner

The owner or authorized representative signs to accept pricing, grant site access, and confirm payment terms. Their signature creates payment obligations and confirms acceptance criteria for final commissioning and warranty start date.

Common Preparation Mistakes to Avoid

  • Vague scope descriptions that omit electrical or structural work cause disputes about responsibility and add unforeseen costs during installation.
  • Failing to list required permits, inspections, and timeline dependencies delays start dates and can trigger penalty or rework obligations.
  • Using ambiguous payment triggers instead of tying payments to measurable milestones impedes cash flow and slows project progress.
  • Neglecting acceptance tests and commissioning criteria makes it difficult to determine when the system is complete and warranty start dates.

Step-by-Step: Completing the Agreement

Follow a consistent sequence when preparing and executing the agreement to reduce omissions and prevent misunderstandings.

  • 01
Gather Site Data: Record door dimensions, power availability, and mounting conditions.
  • 02
Define Scope: List equipment, controls, testing, and training details.
  • 03
Set Schedule: Specify start, milestones, and completion windows.
  • 04
Execute Signatures: Collect signatory names, dates, and verification method.

Typical Contract Routing and Approvals

A clear routing plan ensures responsible parties review technical, financial, and legal terms before final signatures and scheduling.

  • Internal Review: Technical and procurement teams verify scope and budget.
  • Permitting: Submit plans to authority having jurisdiction as required.
  • Signoff: Authorized representatives sign and date the agreement.
  • Scheduling: Installer coordinates start date and site access.

Four Critical Clauses to Include

Add clauses that address work scope, cost, timing, and post-installation support so obligations and remedies are explicit and enforceable.

Scope of Work

Detail door type, model numbers, mounting method, opening speed, sensors, control interface, and any required electrical or structural modifications to avoid scope creep and clarify deliverables.

Payment Terms

Specify the total price, deposit, milestone payments, retainage, acceptable payment methods, and late payment interest to align contractor cash flow with project progress.

Permits and Approvals

Assign permit responsibilities, inspection scheduling, code compliance obligations, and the party responsible for rework caused by noncompliant conditions.

Warranty & Support

Define warranty period, coverage limits, response times for warranty service, and whether preventative maintenance contracts are offered or required.

Practical Tips for Accurate Agreements

Use precise language and measurable acceptance criteria to reduce interpretation disputes and simplify enforcement.

Use Measurable Acceptance
Include commissioning checklists, sensor calibration tolerances, and performance tests that the installer must complete and the owner must sign off to accept work.
Clarify Site Prep
State who provides power, core drilling, wall reinforcement, or temporary barriers and document readiness cutoffs so installers can schedule appropriately.
Attach Technical Specs
Append manufacturer cut sheets, electrical diagrams, and integration requirements as exhibits to avoid future confusion about supplied components.
Define Change Orders
Use a standardized change order form, require written approvals, and tie changes to cost and schedule adjustments to reduce unauthorized scope growth.

Milestones from Contract to Closeout

Map key stages with clear deliverables and dates so project control and responsibility are visible to all parties.
