What a BCBA Supervision Agreement Is and Why It Matters

A BCBA Supervision Agreement is a written contract that documents the professional supervision relationship between a Board Certified Behavior Analyst (BCBA) and a supervisee (BCaBA candidate, RBT candidate, or other trainee). The agreement sets the scope and frequency of supervision, measurable goals, documentation and verification of supervised hours, confidentiality and HIPAA considerations, duties and boundaries, and procedures for modification or termination. It serves as both a practical roadmap for clinical training and a record for credentialing bodies, employers, and regulatory compliance.

Why a Formal Agreement Improves Compliance and Clarity

A written supervision agreement clarifies expectations, documents required supervision hours, supports credentialing and licensing reviews, and reduces disputes about responsibilities and boundaries.

Why a Formal Agreement Improves Compliance and Clarity

Who Typically Uses a BCBA Supervision Agreement

Common users include individual supervisors, agencies, and trainee clinicians who need a formal plan for supervised practice.

  • BCBA Supervisors managing trainee portfolios and documenting hours for board or licensure review.
  • Supervisees (BCaBA or RBT candidates) who require written confirmation of scheduled hours and objectives.
  • Employers, clinics, and school districts that must maintain records and demonstrate oversight for compliance.

The agreement aligns the supervisor, supervisee, and organization around measurable goals and recordkeeping responsibilities.

Essential Sections to Include in a Professional Agreement

A robust BCBA Supervision Agreement should be explicit about roles, scope, procedures, and measurable deliverables so both parties understand obligations and reporting.

  • Integrations: Connectors for Google Workspace, Salesforce, NetSuite
  • Security: TLS and AES-256 encryption

Ensure the selected service can produce a complete certificate of completion, export signed PDFs, and meet any HIPAA or state authentication requirements.

Where to Send or File the Completed Agreement

A signed supervision agreement should be distributed to all parties and stored in employer or clinical records according to policy.

  • Supervisor Copy: Retain signed PDF in supervisor personnel file
  • Supervisee Copy: Provide signed copy to supervisee for personal records
  • Employer Records: Store in secure HR or clinical records system
  • Credentialing: Use a certified copy for board or licensure audits

Typical Timelines and Milestones to Track

Track dates that affect supervision, credentialing, and record retention to avoid noncompliance or lost hours.

Agreement Effective Date:

Periodic Reviews:

Monthly or quarterly performance and hours review

Documentation Submission:

When to provide verifications for credentialing bodies

Amendment Notices:

Timeframe required to modify or terminate the agreement

Retention Deadline:

Common Mistakes to Avoid When Preparing the Agreement

  • Vague supervision terms that omit frequency or duration, creating disputes about whether minimum supervised hours were provided.
  • Failing to document the mode of supervision (telehealth vs in-person), which can affect eligibility for board or state reporting.
  • Mismatched names, missing credentials, or unsigned pages that prevent credentialing bodies from accepting supervised-hour documentation.
  • Not addressing confidentiality and HIPAA safeguards when client information will be used for training or case review.

Risks and Consequences of an Incomplete or Incorrect Agreement

Certification Delays: Missing or unverifiable hours may delay board certification
Licensure Action: State licensure investigations or sanctions possible
HIPAA Exposure: Improper PHI handling may trigger HIPAA penalties
Contract Disputes: Unclear obligations increase legal dispute risk
Record Deficiencies: Insufficient documentation can fail audits
Reputational Harm: Noncompliance may damage professional standing
