Verify signer identity and authority
Require identification matching, email or SMS verification, and title confirmation for signers representing teams or sponsors. For higher-risk commitments, require government ID verification or notarization to reduce impersonation and fraud risk.
Attach required supporting documents
Include waivers, payment receipts, team rosters with player IDs, and any sanctioning approvals when submitting the LOI. Missing attachments commonly delay acceptance; list required files clearly and validate formats before sending.
Secure storage and access controls
Store executed LOIs in encrypted repositories with role-based access, retain audit trails, and implement backups. Document retention schedules and retrieval procedures to support dispute resolution and regulatory requests.

  • Providing abbreviated or inconsistent names between IDs and LOI creates verification problems and can lead to disqualification or refund denial.
  • Failing to state governing law and the dispute process leaves parties uncertain about venue and remedies in case of breach.

Sponsorship Commitment

A regional sponsor signals intent to fund prizes and branding in exchange for exclusive category naming rights at the event.

  • Reserves preferred marketing placement early.
