Best Practices to Avoid Delays and Errors

Follow these best practices to reduce errors, accelerate approvals, and maintain consistent records across locations and vendors.

Use standardized naming and version control
Adopt a file-naming convention including location, document type, and date. Track template versions and record the person who last edited the file to prevent conflicting copies and to speed audit responses.
Confirm regulatory requirements before execution
Check state and local health, zoning, and ABC regulations early. Determine whether notarization, witnesses, or additional disclosures are required and include any special language in the template before signatures are requested.
Keep supporting documents attached and indexed
Scan and attach supplier agreements, certificates, and inspection reports as appendices. Index attachments in the template and reference attachment numbers in contract clauses to minimize confusion during renewals or audits.
Use appropriate eSignature authentication levels
Select signer authentication commensurate with risk: email for low risk, SMS or two-factor for commercial contracts, knowledge-based or ID verification for high-value vendor agreements or for RON notarization prerequisites and record method in audit trail.
