What a Billing Time Record Is and why it matters

A Billing Time Record is a structured log used to document work performed, dates, and time spent for billing clients or reconciling internal charges. It typically records the timekeeper's name, client or matter identifier, task code, a concise description of work, start and end times or total hours, billing rate, and calculated amount. Firms and individual professionals use this record to prepare invoices, support fee allocations, and establish audit trails. Accurate Billing Time Records are essential for client billing transparency, internal controls, fee disputes, and regulatory compliance in finance and healthcare contexts.

Step-by-step: create and submit a billing time entry

Follow these steps to create accurate Billing Time Records that support invoicing, approvals, and audit trails across internal and client-facing workflows.

  • 01
Create Template: Build a reusable form with required fields and validation rules.
  • 02
Log Time: Enter date, start/end times, task code, and description.
  • 03
Apply Rates: Confirm rate, apply discounts, and calculate line totals.
  • 04
Review & Approve: Supervisor verifies entries, signs, and sends to billing.

Who typically completes Billing Time Records

Billing Time Records are used by professionals who bill by time, finance teams that reconcile client accounts, and administrators tracking project costs and budgets.

  • Attorneys and law firms: Track billable hours per client matter, support fee petitions, and manage retainers.
  • Consultants and professional services: Record time against projects, allocate costs, and report utilization metrics.
  • Accountants and corporate finance: Reconcile client invoices, apply write-offs, and produce audit-ready records.

Users vary by industry and organization size; internal policies dictate rounding, approval layers, and retention schedules for billing records.

Core elements of a professional Billing Time Record

A professional Billing Time Record combines structured fields, clear task codes, accurate time capture, rate application, approval workflow, and an auditable trail for billing verification.

Matter Identification

Include client name, matter number, and project code to link entries to invoices and trust accounting. Consistent matter IDs enable reporting, client billing segmentation, and compliance with retainer requirements.

Detailed Descriptions

Provide concise, task-focused descriptions for each entry, avoiding vague terms. Descriptions support client review, justify billed activities, and are critical when defending invoices during audits or fee disputes.

Accurate Time Capture

Record start and stop times or decimal hours per firm policy. Use consistent rounding and clearly mark nonbillable or administrative tasks to prevent inadvertent client billing and ensure accurate utilization metrics.

Rate Management

Apply the agreed hourly rate or fee schedule tied to the matter. Include alternative rates for discounts, adjustments, contingency work, or agreed write-downs to reflect client arrangements.

Approval Workflow

Establish supervisory review and electronic sign-off before invoices are issued. Chain-of-approval records demonstrate oversight and can be required for retainer reconciliation or internal controls audits.

Audit Trail

Capture timestamps, user IDs, IP addresses, and version history for every change. A comprehensive audit trail strengthens evidentiary value and supports compliance with ESIGN/UETA record-retention expectations.

How to configure an online Billing Time Record template

Configure online Billing Time Record templates to automate calculations, require fields, and route entries for approval to streamline billing cycles.

Field Configuration
Required Fields Enforce client, matter, date, hours
Validation Rules Numeric hours, MM/DD/YYYY dates, code lookup
Auto-Calculation Compute line totals and taxes automatically
Approval Routing Route to supervisor for review before billing

Where Billing Time Records go after entry

Billing Time Records follow a submission path from timekeeper entry through supervisory approval to the billing department and client invoicing systems.

  • Timekeeper Entry: Saved to matter record and queued for review.
  • Supervisor Review: Verify hours, adjust rates, and approve entries.
  • Billing Upload: Export to invoicing software or accounting system.
  • Client Delivery: Send invoice with detailed time entries attached.

How to distribute records securely and integrate with systems

Billing Time Records can be shared via secure eSignature platforms, accounting integrations, or secure file transfers depending on data sensitivity and firm workflow.

  • File Formats: PDF, DOCX, and spreadsheet exports.
  • Integrations: Connectors include NetSuite, Salesforce, and Google Workspace.
  • Authentication Options: Email, SMS code, or SSO for signer verification.

Timing considerations and billing deadlines

Timelines depend on billing cycles and client terms; prompt entries accelerate invoice issuance and reduce late payment disputes.

Daily Entry Encouraged:

Record time daily to preserve accuracy.

Monthly Billing Cutoff:

Close time entries by month-end for consistent invoicing.

Client-Specified Deadlines:

Follow client billing schedules to avoid disputes and penalties.

Late Adjustment Window:

Allow set period for corrections before final invoice.

Tax Reporting Timeline:

Retain records for tax substantiation per IRS rules.

Common mistakes to avoid when preparing records

  • Rounding inconsistently across timekeepers creates billing discrepancies and client complaints; implement and enforce a single rounding policy and document exceptions.
  • Vague task descriptions like 'work performed' do not justify billed hours during client reviews or audits; require task-specific descriptions tied to the matter.
  • Failing to record nonbillable administrative time can skew utilization metrics and overstate billing productivity; mark and report nonbillable entries separately.
  • Not reconciling time entries with client agreements and rate schedules leads to billing disputes and may require refunds or fee adjustments.
