What the Broker Information Record Change Is

Broker Information Record Change is a formal document used to update or correct a broker's registration details with a brokerage, clearing firm, exchange, or regulatory record. It typically records changes to business name, primary broker of record, contact information, licensing numbers, designated errors, supervisory assignments, and receiving branch offices. The form provides an auditable trail showing when and why a broker's official record was altered, who authorized the change, and any supporting documentation. Organizations use it to maintain compliance with internal policies and regulatory recordkeeping requirements across transactions and client accounts.

Why a Clear Record Change Matters

A Broker Information Record Change ensures accurate licensing and contact data, reduces operational errors, and preserves audit trails required by regulators. Maintaining current records helps prevent transaction delays, enables correct supervisory oversight, and supports compliance with broker-dealer and licensing authority obligations.

Why a Clear Record Change Matters

Who Typically Prepares and Uses This Form

Common users include broker-dealers, compliance officers, branch managers, and licensed brokers who manage and authorize record updates.

  • Broker-dealer compliance teams maintaining registration and supervisory records across branches.
  • Individual registered representatives submitting changes to contact details, licenses, or brokerage assignments.
  • Clearing firms and exchanges updating beneficiary or routing records tied to trade settlement.

The document is also used by clearing firms, exchanges, and human resources when updating broker employment or supervisory status.

Core Elements Every Professional Change Form Should Include

A complete Broker Information Record Change includes verified identity data, clear authorization, dates, rationale, supporting documentation, and audit metadata to ensure legal and operational traceability.

Broker Details

Full legal name, license/registration numbers, FINRA CRD or state license identifiers, primary branch, contact phone and email, and mailing address. Exact matches to regulator records prevent processing delays.

Authorization

Name and title of approving official, delegation of signing authority, corporate resolution or power of attorney references, and date of authorization. Include signature and printed name.

Change Details

Concise statement of what changed (e.g., address, supervisory assignment), effective date, previous value, and reason for change. Attach redline or marked-up record where applicable for audit.

Supporting Docs

Copies of license renewals, transfer approvals, employer change letters, proof of address, identity documents, or regulator-issued notices. Clearly label attachments and reference them in the change summary.

Timing Considerations and Typical Deadlines

Key timing for processing and regulatory deadlines depends on employer requirements and regulator notice periods; act promptly to avoid penalties and service disruptions.

Immediate Update Recommended:

Submit changes within 5 business days to internal compliance.

Regulatory Reporting Windows:

Follow exchange or state broker reporting timelines.

License Renewals:

Ensure changes before renewal to keep records current.

Payroll and Commission:

Effective date affects commission allocations and payroll runs.

Record Retention:

Retain supporting documents per firm policy and law.

Common Pitfalls to Avoid

  • Incomplete identification fields, mismatched legal names, or omitted license numbers that prevent automated matching to CRD or state regulator systems, causing rejection or manual review delays.
  • Submitting unsigned forms, missing authorizing signatures, or failing to include a corporate resolution when required; regulators and clearing firms commonly reject unsigned submissions.
  • Using nonstandard file names or embedded images that exceed size limits leads to upload failures; failing to reference attachments within the change summary complicates audits.
  • Applying changes without confirming the broker's consent, authority, or updated licenses risks disciplinary action, incorrect supervisory assignments, and potential customer notification obligations.

Risks and Potential Consequences of Incorrect Changes

Regulatory Fines: Civil penalties and sanctions.
License Actions: Suspension or revocation risk.
Commission Errors: Incorrect payouts and reconciliations.
Operational Delays: Transaction holds and settlement delays.
Audit Findings: Adverse compliance reports.
Client Notices: Mandatory notifications and disclosures.
