What a Bulk SMS Purchase Order Is and When It’s Used

A Bulk SMS Purchase Order is a procurement document that authorizes purchase of messaging capacity or services from a communications vendor. It records buyer and seller details, the number of message credits or short codes, pricing, delivery windows, reporting requirements, and acceptance criteria. The PO establishes payment terms, routing and opt-in responsibilities, service-level expectations, and any regulatory obligations the vendor must meet. When e-signed, it becomes an auditable commercial record used for invoicing, supplier management, and dispute resolution.

Why a Clear Purchase Order Matters for Bulk SMS

A well‑structured Bulk SMS Purchase Order reduces billing disputes, clarifies compliance responsibilities, and creates a verifiable record enforceable under U.S. e‑signature law (ESIGN Act, 15 U.S.C. ch. 96) and state UETA frameworks.

Why a Clear Purchase Order Matters for Bulk SMS

Who Typically Prepares and Signs a Bulk SMS Purchase Order

Signatures are usually provided by authorized procurement officers or delegated signatories; IT or security may countersign when integrations or data flows are involved.

  • Marketing teams — specify campaign volumes, short codes, sender IDs, and opt‑in language for compliance.
  • Procurement or purchasing — validate pricing, purchase order numbers, and payment terms with vendors.
  • Legal and compliance — confirm contract terms, data handling, and required vendor certifications.

Stepwise Process to Create and Finalize a Bulk SMS Purchase Order

Follow these four steps to prepare, approve, and issue a PO with minimal friction.

  • 01
Draft PO: Assemble line items, pricing, and opt-in language.
  • 02
Internal Approval: Obtain procurement and legal signoff before sending.
  • 03
Send to Vendor: Transmit the PO via secure channel or eSignature platform.
  • 04
Confirm & Archive: Vendor acknowledges, and you retain signed copy for records.
