What a Business Account Letter of Intent Is and when it's used

A Business Account Letter of Intent is a written statement used to notify a financial institution, vendor, or partner that a business intends to open, modify, or close a commercial account or establish account-related terms. It typically sets out the parties, proposed account type, intended effective date, and any initial funding or authorization limits. The letter documents intent while parties complete onboarding steps such as identity verification, KYC, agreements, or credit checks and can be used to reserve account names, request specific processing capabilities, or confirm preliminary payment arrangements.

Why a clear Letter of Intent matters for account setup

A concise Business Account Letter of Intent creates a written record of expectations, clarifies required onboarding steps, and helps speed review with banks or vendors while reducing misunderstandings during the account setup process.

Why a clear Letter of Intent matters for account setup

Who commonly prepares and receives this type of letter

The letter establishes a neutral, auditable record that supports onboarding, approvals, and any subsequent account activation steps.

  • Small business owners notifying a bank about new merchant services or deposit accounts
  • Finance or treasury teams requesting account features for payroll or ACH processing
  • Legal or procurement departments initiating vendor account setup for corporate purchasing

Step-by-step: completing and sending the letter

Follow these steps to create a letter that supports fast verification and reduces follow-up requests.

  • 01
Draft the letter: Describe purpose and requested services clearly.
  • 02
Attach verifying documents: Include formation documents, EIN verification, and ID.
  • 03
Obtain internal approval: Have authorized signer and finance approve content.
  • 04
Send and log delivery: Use trackable delivery and retain proof of submission.

Typical processing flow after submission

  • Identity & KYC: Verifier checks IDs, EIN, and beneficial ownership.
  • Account configuration: Requested services and limits are set up.
