How electronic completion and routing typically works

A standard eSigning workflow minimizes friction while preserving an audit trail for enforceability.

  • Upload document: Place fields and configure signer roles.
  • Add signers: Enter emails or generate links for recipients.
  • Signer authentication: Choose email, SMS code, or stronger ID checks.
  • Execution & audit: Signed PDF and audit trail are generated automatically.

Typical workflow settings for e-submission

Configure these common settings to align the online process with legal and internal policy needs.

Signature Type Email link, SMS OTP, or ID verification
Authentication Email + SMS code; optional KBA where required
Routing Order Sequential or parallel signer order
Retention Setting Export signed PDF/A and retain per policy

Technical and integration considerations for eSubmission

Confirm the platform supports required authentication, file formats, and integrations before collecting signatures.

  • File formats: PDF, DOCX, and fillable forms are commonly supported
  • Integrations: Salesforce, NetSuite, Google Workspace, and Box integrations streamline routing
  • Security: TLS in transit and AES-256 at rest are recommended

Ensure IT approves integrations and data-handling policies for storage, access control, and auditability.
