What the Business Approval One Pager Is

A Business Approval One Pager is a concise, single-page document that summarizes a project, purchase, vendor engagement, or budget request for executive or committee review. It typically includes the purpose, scope, expected costs, benefits, key risks, timelines, and the specific approvals requested. The format prioritizes decision-quality facts so approvers can evaluate the request quickly without reviewing lengthy attachments. Organizations use this page to standardize internal approvals, reduce back-and-forth, and create an auditable record of who approved what and when for governance and financial controls.

Why a One Pager Matters for Rapid Approvals

A single-page summary reduces reviewer time, clarifies decision points, and supports consistent assessment across requests. By highlighting costs, benefits, dependencies, and signatory authority, it aligns stakeholders and creates a traceable approval event for audit and post-implementation review.

Why a One Pager Matters for Rapid Approvals

Who Typically Prepares and Reviews These One Pagers

The Business Approval One Pager is prepared by project leads, procurement, finance managers, or business unit owners seeking authorization for spending or initiatives.

  • Project managers and product owners who need scope and budget sign-off from leadership.
  • Procurement and vendor managers submitting contract or purchase approvals for legal and finance review.
  • Finance controllers and budget holders who validate costs and alignment with fiscal plans.

Reviewers are often directors, VP-level sponsors, or members of an approvals committee; include only required signers to streamline decisions.

Essential Parts of a Professional One Pager

A strong Business Approval One Pager is structured, focused, and auditable; include these core elements to support fast, defensible decisions.

Executive Summary

Two to three sentences that state the request, expected outcome, and high-level benefit so approvers immediately grasp the purpose without reading detail.

Scope & Deliverables

Clear list of what will be delivered, project boundaries, and excluded items so approvers understand obligations and can assess feasibility and resource impact.

Cost Breakdown

Line-item estimated costs, one-time and recurring expenses, and total requested budget to allow finance to validate funding and forecasting impacts.

Benefits & Metrics

Quantified benefits, KPIs, and expected timelines for realization so decision makers can weigh cost against measurable return or strategic value.

Risks & Mitigations

Top project risks with mitigation plans and residual risk assessment so approvers can judge acceptability and oversight needs.

Approval & Signatures

Designated approvers, required signatory order, and dates; include whether legal or procurement review is required before final authorization.

Step-by-Step: Prepare and Submit the One Pager

Follow these steps to create a complete, review-ready one pager and streamline the approval path.

  • 01
Draft: Complete all required fields and include supporting estimates and vendor quotes.
  • 02
Internal Review: Share with finance and procurement for cost validation and compliance checks.
  • 03
Route for Approval: Send to listed approvers in correct order or generate a single signing link for parallel reviewers.
  • 04
Record Decision: Attach signed one pager to project file and update budget systems with approval metadata.

Configure Digital Workflow for Online Completion

Set up a repeatable workflow to reduce manual routing and preserve an audit trail for every approval.

Field | Configuration Required | Optional | Conditional routing based on amount or department
Template Selection Use a standardized template to ensure consistent fields and required approver roles.
Approval Order Define sequential or parallel signers and add escalation paths for no-response scenarios.
Authentication Level Choose signer verification method: email, SMS code, or enterprise SSO for higher assurance.
Retention Policy Attach a record retention tag that aligns with your legal and financial recordkeeping rules.

Where to Send the Completed One Pager

Use designated delivery channels so approvals are captured and stored in an auditable system of record.

  • Email to Approvers: Send signed PDF copies to approvers and stakeholders for their records and distribution.
  • Upload to Repository: Store final documents in corporate document management or ECM for retention and retrieval.
  • Attach to Ticket: Link the approved one pager to project or purchase request tickets in ITSM or procurement systems.
  • Record in Finance: Update ERP/GL with approval metadata and budget codes for spend authorization.

Technical Options for Signing and Sharing

Choose platforms and authentication that match your organization’s security and compliance needs.

  • Integrations: Salesforce, NetSuite, Microsoft 365 integrations supported
  • Formats: PDF, DOCX, and fillable forms supported
  • Authentication: Email, SMS, SSO, or stronger ID verification

Store signed records in approved repositories and ensure the chosen platform preserves an immutable audit trail and signer attribution.

Typical Timelines and Internal Deadlines

Set realistic SLAs and calendar cutoffs so approvers understand when decisions are needed for fiscal planning.

Approval SLA:

Standard 5 business day review for routine requests

Budget Cutoff:

Submit before monthly or quarterly close to allocate funds

Contract Start:

Effective date aligned with fiscal period and signed approvals

Procurement Lead Time:

Allow 2–4 weeks for vendor onboarding and purchase orders

Record Retention Tagging:

Apply retention policy at approval to trigger archival workflows

Key Processing Milestones

Track these sequential stages from request to closed record to maintain governance and timeline visibility.

01

Request Submission

Requester completes and submits the one pager with attachments for preliminary review.

02

Operational Review

Finance and procurement validate costs, compliance, and vendor terms before routing.

03

Approver Decision

Designated approver signs or rejects; escalation triggers if no response within SLA.

04

Post-Approval Actions

Execute contracts, issue POs, and record approval metadata in enterprise systems.

Common Mistakes to Avoid

  • Incomplete cost detail that omits recurring charges, causing budget overruns and delayed finance approval.
  • Missing approver roles or incorrect routing order, which forces manual re-routing and slows the decision timeline.
  • Vague business justification without measurable KPIs, making it difficult for leadership to compare competing requests.
  • Failing to attach vendor quotes or legal exhibits, which triggers follow-up requests and prolongs procurement cycles.

Risks and Consequences of Errors

Budget Overrun: Unapproved spend exposure
Contractual Risk: Missing terms or approvals
Audit Finding: Noncompliance with recordkeeping
Procurement Delay: Delayed vendor onboarding
Financial Restatement: Incorrect recognition risk
Data Exposure: Improperly shared sensitive details

Data and Security Considerations

Transport Encryption: TLS 1.2/1.3
At-Rest Encryption: AES-256
Access Controls: Role-based permissions
Audit Trail: Signed timestamps and IP logs
Compliance: SOC 2 Type II, ISO 27001
