Practical Tips for Accurate and Efficient Completion

These best practices reduce back-and-forth, speed approval, and produce a reusable record suitable for publishing and legal reliance.

Verify identity against ID
Compare the Full Legal Name and Title to a government ID or company records to reduce verification mismatches and avoid rework later.
Standardize biography length
Use a defined word limit (for example 50–150 words) to keep bios consistent across channels and simplify editorial review and layout decisions.
Record consent clearly
Include explicit publication and photo release language with a dated signature so permissions are auditable and revocable per the stated process.
Archive signed copies
Store signed PDFs with an audit trail in secure, access-controlled storage and export to PDF/A for long-term preservation where required.

Frequent Completion Errors to Avoid

  • Submitting abbreviated or informal names that do not match company or legal records, causing verification failures and delays.
  • Uploading low-resolution headshots or incorrect file formats which require resubmission and slow publication timelines.
  • Failing to capture explicit publication consent for quotes or client references, leading to legal disputes or required takedowns.
  • Leaving signature or date fields empty or using initials instead of a full signature, making the record nonbinding for some uses.
