What the Business BOR ACORD document is and when it’s used

The Business BOR ACORD is a standardized broker-of-record (BOR) authorization used in commercial insurance to designate or transfer a broker’s authority to represent an insured with one or more carriers. It records insurer, policy, and broker details in ACORD format and includes explicit authorization language and a signature block so carriers can process broker assignment, commission routing, and policy servicing requests.

Why a clear BOR ACORD matters for business insurance relationships

A properly completed BOR ACORD creates an auditable authorization that prevents coverage gaps, clarifies who may request changes, and reduces commission or billing disputes between brokers and carriers while providing a consistent industry-standard record.

Why a clear BOR ACORD matters for business insurance relationships

Who typically prepares and receives a Business BOR ACORD

The BOR ACORD is completed by insured organizations and their incoming brokers to notify carriers and transfer authority.

  • Commercial insureds and risk managers who need to change broker representation or centralize policy servicing.
  • Insurance brokers and agencies acting as incoming or outgoing broker-of-record to document authority and commissions.
  • Insurance carriers and underwriting departments that must accept, acknowledge, and record the broker designation.

Carriers, current brokers, and risk managers use the completed form to update agency records, route communications, and process endorsements.

Essential parts of a professional Business BOR ACORD

A complete BOR ACORD combines standardized ACORD fields with an explicit authorization clause, accurate broker credentials, clear effective dates, signer identity, and space for carrier acknowledgement.

Insured Details

Full legal entity name, DBA if applicable, mailing and physical addresses, and federal tax ID or EIN to match carrier records and avoid mismatches.

Policy Information

Carrier name, policy number, policy type, and coverage period so the carrier can immediately identify affected policies without ambiguous references.

Broker Identification

Incoming broker name, agency NAIC/producer number, license or state registration, and contact details for commission routing and verification.

Authorization Language

A clear written statement appointing the broker-of-record, describing the scope of authority, and specifying the effective date and any limits.

Signature Block

Authorized signer name and title, signature and date, and printed name lines; corporate entities typically require an officer with delegation of authority.

Carrier Acknowledgement

Space for carrier receipt, carrier representative name, date received, and carrier internal reference to confirm processing and avoid disputes.

Critical data elements required on the BOR ACORD

Insured Name: Exact legal name
EIN / TIN: Federal tax ID
Policy Number: Carrier policy ID

Typical delivery and acknowledgement flow for a BOR ACORD

A clear delivery chain reduces ambiguity: submit to carrier, confirm receipt, and archive the signed record with an audit trail.

  • Prepare: Complete ACORD fields and attach supporting documents.
  • Sign: Authorized representative signs electronically or in person.
  • Submit: Send to carrier submission address or portal.
  • Confirm: Obtain carrier acknowledgement and save the record.

Technical requirements for electronic BOR ACORD handling

Ensure the platform supports standard file formats, signer authentication, and an unalterable audit trail before e-signing ACORD forms.

  • Formats: PDF and DOCX supported
  • Integrations: CRM and carrier portals
  • Authentication: Email, SMS, or KBA

Timing considerations and typical processing expectations

Timing varies by carrier and policy type; plan submissions around renewals and allow time for carrier validation of broker credentials.

Provide upon request:

Submit BOR when carrier or broker requests it.

Renewal alignment:

Submit prior to renewal to avoid commission conflicts.

Effective date:

Set explicitly on the form to prevent ambiguity.

Carrier acknowledgement:

Request written confirmation of acceptance from carrier.

Record retention:

Retain signed BOR per company retention policy.

Common mistakes to avoid when preparing a BOR ACORD

  • Using an abbreviated legal name that does not match carrier records, causing processing delays and potential duplicate accounts.
  • Failing to include the correct policy number or carrier name, which can route the BOR to the wrong policy file.
  • Omitting broker license or producer number so carriers cannot validate the incoming broker’s authority to receive commissions.
  • Not securing an authorized signer with delegated authority, which may result in the carrier refusing to accept the BOR.

Penalties and practical risks of an incorrect or incomplete BOR ACORD

Coverage Gap: Delayed changes
Commission Dispute: Payment conflicts
Regulatory Risk: State license issues
Invalid Authorization: Rejected by carrier
Delayed Endorsement: Operational hold-ups
Recordkeeping Failure: Audit exposure
