What the Business CAF Landing Zone Is and When It’s Used

The Business CAF Landing Zone is a structured intake and routing package used to collect corporate account formation data, authorizations, and supporting documentation in a single digital envelope. It standardizes the fields, verification steps, and submission routing you need to open or update a business account, onboard vendors, or register an entity for services. The Landing Zone groups required items (legal name, EIN, formation documents, authorized signer attestations, and payment or fee authorizations) and supports optional verification steps such as notarization, identity proofing, and industry-specific addenda to meet regulatory or internal policy needs.

Why the Business CAF Landing Zone Matters for Accurate Onboarding

A consistent Landing Zone reduces missing information, speeds reviewer decisions, and creates an auditable record for compliance. It also clarifies signatory authority and required attachments so downstream teams can process accounts without repeated follow-ups.

Why the Business CAF Landing Zone Matters for Accurate Onboarding

Who Completes and Reviews a Business CAF Landing Zone

Typical participants include business owners, compliance officers, account managers, and authorized signers who provide or verify corporate data before onboarding.

  • Business Owners and Executives — Provide official entity name, EIN, formation documents, and signatory authorization.
  • Compliance and Risk Teams — Review KYC, AML screening results, and confirm identity-proofing or notarization when required.
  • Operations and Account Managers — Validate contact details, billing setup, and routing for internal systems integration.

Coordination across these roles prevents rework and helps meet statutory and internal recordkeeping requirements.

Core Components of a Professional Business CAF Landing Zone

A robust Landing Zone groups the essential elements needed to validate and onboard a business account while providing clear auditability and optional identity verification steps.

Entity Details

Legal entity name, trade name, jurisdiction of formation, and Employer Identification Number (EIN) to match government records and tax reporting.

Authorized Signers

Names, titles, corporate resolutions or meeting minutes, and signature blocks showing who may legally bind the company and how authority is evidenced.

Formation Documents

Articles of incorporation/organization, operating agreement, or partnership agreement used to verify existence and ownership structure.

Identity Proofing

Optional ID upload, remote online notarization or knowledge-based authentication records tied to signer attribution and audit trail.

Supporting Attachments

W-9, proof of address, beneficial ownership forms, certificates of incumbency, and licenses required by industry or regulator.

Routing & Audit

Defined approval steps, conditional fields, timestamps, and a preserved audit trail for compliance reviews and dispute resolution.

Step-by-Step: Completing and Submitting a Business CAF Landing Zone

Follow these steps in order to collect required data, verify identity, and route the completed package to reviewers.

  • 01
Prepare Documents: Gather formation papers, W-9, and ID documents before starting.
  • 02
Populate Fields: Enter entity data, EIN, addresses, and signer details accurately.
  • 03
Verify Identity: Complete ID upload or remote notarization if required by policy.
  • 04
Route for Approval: Send to compliance and operations for final review and acceptance.

Configuring Online Workflow Fields and Routing

Recommended settings map each field to validation rules and conditional approver steps to reduce manual intervention.

Field Configuration
EIN Validation Regex + manual review flag
Signer Role Conditional required if corporate threshold exceeded
ID Upload PDF/JPG required, max 10MB
Approval Order Compliance → Ops → Final signatory

Where Completed Landing Zones Are Sent and Stored

A completed Landing Zone follows a defined routing path to reviewers and is archived in the organization's document repository with audit metadata.

  • Compliance Review: Receives KYC and AML screening results for decisioning.
  • Operations: Verifies billing, system provisioning, and integration fields.
  • Authorized Signer: Final execution and date stamping of the record.
  • Archive: Immutable copy stored with audit trail and attachments.

Distribution and eSubmission Options for the Landing Zone

The Landing Zone supports multiple delivery channels and signing methods depending on legal and operational needs.

  • Email Links: Signer receives secure link for browser signing.
  • Embedded Signing: Hosted within a web portal for seamless user experience.
  • API / Integrations: Connects to CRM or ERP for automated routing.

Use stronger authentication (SMS KBA or RON) for higher-risk accounts and preserve the audit trail for compliance records.

Required Data Elements and Verification Flags

Legal Name: Full registered name
EIN: Nine-digit TIN
Formation Doc: Articles/Certificate
Signer ID: Government photo ID
W-9: Taxpayer certification
Resolution: Authorized signer proof

Typical Timelines and Processing Expectations

Set clear SLAs for each step to avoid regulatory exposure and service delays; adjust SLAs for notarization or external verifications.

Initial Submission SLA:

Requester supplies documents within 7 business days of request.

Identity Verification:

Complete ID checks within 1–3 business days, longer if RON recording required.

Compliance Review:

Allow 3–5 business days for KYC/AML review on standard cases.

Operational Setup:

Provisioning and billing setup typically 2–5 business days after approval.

Extensions:

Expect delays for missing attachments or required notarizations.

Common Mistakes That Slow or Invalidate a Landing Zone

  • Providing a trade name instead of the legal entity name, causing mismatches with government records and tax forms.
  • Entering an incorrect EIN or TIN format, triggering backup withholding or IRS information return rejection.
  • Omitting a corporate resolution or incumbency when the signer is not listed on formation documents.
  • Using initials in place of full signatures when the form requires explicit signature blocks or notarized acknowledgement.

Consequences of Incorrect or Incomplete Landing Zone Submissions

Tax Penalties: Incorrect TINs can trigger IRS penalties under IRC §6721 and backup withholding at 24%.
Onboarding Delays: Missing notarization or resolution evidence delays account activation and revenue recognition.
Regulatory Exposure: Incomplete KYC increases AML risk and potential regulatory fines.
Contract Invalidity: Unauthorized signer signatures may render agreements unenforceable in disputes.
Recordkeeping Fines: Failure to retain required records can violate industry rules and invite penalties.
Reputational Risk: Repeated errors erode partner trust and complicate audits.
