What the Business CASP Document Is and When It Applies

A Business CASP Document is a formal compliance and corrective-action plan used by organizations to record identified control failures, assign remediation tasks, and document follow-up monitoring. It typically includes an executive summary, scope, root-cause analysis, corrective actions, responsible parties, deadlines, and verification steps. The document functions as both an internal management record and an evidentiary file for auditors, regulators, or contractual counterparties. When handled electronically, the document should preserve intent, attribution, and an auditable history consistent with ESIGN and state e-signature laws.

Why a Clear CASP Document Matters for a Business

A well-structured CASP Document clarifies responsibilities, shortens remediation cycles, and supports regulatory reviews. It provides an auditable record of decisions and actions, helps reduce repeat incidents, and supplies documentary evidence needed for compliance programs governed by ESIGN and UETA.

Why a Clear CASP Document Matters for a Business

Primary users and stakeholders

Typical users draft, approve, or act on CASP Documents and rely on them for operational and regulatory controls.

  • Compliance officers and risk managers who coordinate remediation, track deadlines, and report results to executives and regulators.
  • Department heads and operational managers who accept responsibility, assign resources, and confirm completion of corrective actions.
  • Legal counsel and contract managers who review obligations, confirm signature authority, and preserve the record for dispute resolution.

The document’s format and signing requirements should match the needs of these user groups and the governing law where the business operates.

Step-by-step completion process

Follow a consistent sequence to prepare, authorize, and distribute the Business CASP Document to ensure clarity and enforceability.

  • 01
Collect facts: Gather incident details, evidence, and impact assessment from stakeholders.
  • 02
Define actions: List specific corrective steps, owners, and measurable outcomes.
  • 03
Set deadlines: Assign realistic due dates and escalation triggers for overdue tasks.
  • 04
Authorize and archive: Obtain required signatures and store the final PDF with audit trail.

Recommended security and compliance controls

Encryption in transit: TLS 1.2/1.3
Encryption at rest: AES-256
Audit trail: Timestamped actions recorded
Access controls: Role-based permissions
Regulatory certifications: SOC 2 Type II, ISO 27001
Healthcare compliance: HIPAA with BAA

Consequences of an incorrect or incomplete document

Regulatory exposure: Fines or enforcement actions
Contract breach: Liability for failed obligations
Evidence gaps: Weakened audit trail and defenses
Delayed remediation: Extended operational risk
Data breach risk: Poor controls increase exposure
Tax or reporting errors: Potential penalties or withholding

Common preparation mistakes to avoid

  • Incomplete or vague action items that lack measurable acceptance criteria and responsible owners.
  • Using informal names or abbreviations that do not match legal entity records or signer identification documents.
  • Missing or inconsistent dates and time zones that create ambiguity for compliance deadlines and audit logs.
  • Failing to capture electronic audit metadata (IP, timestamp, signer identity), which weakens evidentiary value.

Core components to include in a professional CASP Document

Use a consistent structure so reviewers can quickly verify scope, responsibilities, and closure criteria.

Executive Summary

A concise overview describing the incident or control gap, the parties involved, and the high-level remediation strategy for rapid reviewer orientation.

Scope and Impact

Define affected systems, processes, and stakeholders, including financial, privacy, and operational impacts to support prioritization and escalation.

Root Cause Analysis

A factual, evidence-based explanation of the underlying cause that justifies chosen corrective actions and prevents recurrence.

Corrective Actions

A numbered list of specific tasks with success criteria, acceptance tests, resources required, and estimated effort for each item.

Accountabilities

Clear assignment of owners and approvers, with contact information and authority level to ensure tasks are executed promptly.

Monitoring and Reporting

Ongoing verification steps, reporting cadence, and closure criteria so auditors can confirm remediation and compliance over time.

Typical eSubmission workflow for the CASP Document

A standard electronic workflow reduces friction while preserving legal evidence and version history.

  • Upload document: Start with a final draft in PDF or DOCX format.
  • Place fields: Add signature, date, and text fields for signers to complete.
  • Add signers: Specify routing order and authentication strength.
  • Send and record: Distribute, capture signatures, and store the audit trail.

Recommended digital workflow settings

Configure workflow options to match your organization’s compliance and evidence requirements.

Field Configuration
Authentication Email link plus optional SMS code
Routing Sequential signer order with conditional branches
Reminders Automated reminders every three days
Storage Archive as PDF/A with audit trail

Integrations and technical requirements

Match the e-sign platform to your existing systems and compliance needs before onboarding.

  • Supported formats: PDF, DOCX, XLSX
  • Integrations: Salesforce, NetSuite, Google Workspace
  • Authentication options: Email, SMS code, KBA, SSO

Typical timelines, deadlines, and processing expectations

Set explicit internal and external deadlines for each remediation step and document the dates in the CASP Document.

Immediate containment:

Implement short-term controls within 24–72 hours of detection.

Root-cause completion:

Complete analysis within 7–30 days depending on complexity.

Remediation deadlines:

Assign 30–90 day targets for corrective actions, with escalations.

Regulatory reporting:

Meet any sector reporting deadlines required by regulators or contracts.

Tim Martin, Martin Properties

A property management company standardized corrective plans for safety and lease compliance across portfolios.

  • I can process and execute all of these documents online with 100% compliance and built-in security.
  • Centralized signed plans improved oversight and reduced on-site meeting needs while preserving a clear audit trail for tenants and inspectors.

Practical tips for accurate and efficient completion

Adopt consistent formatting and controls to reduce errors and support rapid audits.

Use clear ownership
Assign a single accountable owner for each action and list a secondary contact to prevent ambiguity if the primary is unavailable.
