What a Business Communication Gangway Letter Is

A Business Communication Gangway Letter is a concise, formal document that establishes a defined channel for intercompany or cross-organization communications. It typically identifies primary contacts, permissible topics or data types, routing instructions, response expectations, and any access permissions or restrictions. Organizations use it to reduce ambiguity when multiple teams or external partners exchange operational or sensitive information. The format supports both paper and electronic execution; when signed electronically it must meet the ESIGN Act (15 U.S.C. ch. 96) and applicable state UETA rules to create a binding record.

Why this Letter Matters for Clear, Compliant Communication

A well‑crafted gangway letter reduces misunderstandings, creates a documented trail of authorization, and clarifies who may send or receive specified business communications. It also documents consent to electronic records and signatures where required by federal and state law.

Why this Letter Matters for Clear, Compliant Communication

Who Typically Prepares and Signs a Gangway Letter

Use this letter when an organization needs a clear, written channel for operational communication or limited data exchange between business units or external partners.

  • Operational managers and team leads who coordinate cross-functional workflows and need defined contact points for escalations.
  • Procurement and vendor managers who authorize how and when suppliers may share invoices, shipping notices, or support data.
  • Legal, compliance, or privacy officers who must document permitted information types and consents for electronic exchange.

Ensure signatory authority is documented and that the letter is retained according to your record retention policy and applicable statutes.
