What the Business Communication ICATT Letter Is

The Business Communication ICATT Letter is a formal business correspondence template used to transmit structured information, requests, or notifications between organizations and stakeholders. It standardizes sender and recipient details, a clear subject line, an explanation of purpose, any required attachments, and an explicit signature block. The template supports auditability and recordkeeping by capturing dates, versioning, and signatory roles to ensure consistent internal handling and external traceability for governance, compliance, or contractual follow-up.

Why Use a Standardized ICATT Letter Format

A standardized Business Communication ICATT Letter improves clarity, reduces follow-up queries, and creates an auditable record of business decisions. It also helps meet internal compliance requirements by preserving required fields and signatory attribution when stored or e-submitted.

Why Use a Standardized ICATT Letter Format

Who Typically Prepares and Signs This Letter

Common users include corporate communications, legal or compliance teams, and operational managers who need a consistent formal notice or request format.

  • Corporate Communications — Drafts messaging for external stakeholders; emphasizes clarity and brand-consistent phrasing.
  • Legal / Compliance — Reviews legal language, ensures required disclosures, and confirms signatory authority and retention rules.
  • Operations / Project Managers — Attaches technical exhibits, specifies deadlines, and tracks acknowledgements and next steps.

Each user group adapts the template to their role: communications focus on tone, legal on accuracy, and operations on attachments and processing fields.

Core Elements to Include in Every ICATT Letter

A professional ICATT Letter contains consistent sections so recipients can act without clarification. Use explicit labels and attachments, define deadlines, and capture signatory authority to prevent processing delays and support retention policies.

Header

Include sender name, role, company, mailing address, phone, and email so recipients can verify source and respond to the correct contact.

Recipient Block

List the recipient organization, recipient name and title, department, and delivery address or designated inbox for routing and service purposes.

Subject Line

Use a concise subject that references a contract, project ID, or request type to help recipients prioritize and file the communication correctly.

Purpose Statement

Open with a one-paragraph summary that states the reason for the communication, expected action, and any applicable deadlines or reference numbers.

Attachments

List attached exhibits and their formats (PDF, DOCX). Indicate whether attachments require separate signatures, notarization, or verification.

Signature Block

Provide printed name, title, date, and an execution line. Include space for witness or notary information if required by jurisdiction or policy.
