What the Business Core Values Template Is

A Business Core Values Template is a standardized company document that records an organization’s guiding principles, expected behaviors, and cultural priorities. It organizes value statements into consistent sections — purpose, definitions, examples, and responsibilities — so leaders can communicate expectations across teams. The template can be used for onboarding, leadership alignment, performance conversations, and internal policy integration, and is often stored with company governance or HR records to ensure consistent application.

Why Adopt a Core Values Template

Using a template ensures consistent wording, reduces drafting time, and makes value statements easier to integrate into policies and training. Templates help preserve legal clarity when values inform conduct policies, and they streamline distribution and review across departments.

Why Adopt a Core Values Template

Who Typically Prepares and Uses This Template

The template promotes shared understanding when multiple stakeholders follow a single, approved format.

  • Human Resources — Drafts, updates, and distributes values for onboarding, performance evaluation, and employee communication.
  • Executive Leadership — Approves wording to align values with strategy and public statements.
  • Legal / Compliance — Reviews language for regulatory risk and consistency with company policies.

Essential Sections to Include in a Professional Template

A complete Business Core Values Template organizes statements and supporting details so teams can apply values consistently. Include clear headings, examples, responsible owners, and review cycles to make the template actionable across the organization.

Values List

A concise list of core value statements (3–7 items) each with a short definition and behavioral examples to guide interpretation and application.

Illustrative Examples

Practical examples showing how a value looks in daily work, covering both compliant and noncompliant behavior to reduce ambiguity.

Roles & Owners

Named owners for each value and guidance on who enforces, trains, and reviews adherence to the stated principle.

Scope & Applicability

Defines which employees, contractors, and business units the values apply to and any geographic or legal exceptions.

Review Cycle

A scheduled review frequency and versioning protocol to keep values current with business strategy and legal requirements.

Related Policies

References to linked documents (code of conduct, disciplinary policy, confidentiality) that operationalize the values.

Step-by-Step: How to Complete the Template

Follow these steps in order to create a clear, approved core values document that is ready for distribution and recordkeeping.

  • 01
Draft: Populate values, definitions, and examples in the template fields.
  • 02
Review: Circulate to HR, legal, and executives for feedback and consistency checks.
  • 03
Approve: Obtain formal approval from authorized decision-makers and record the effective date.
  • 04
Distribute: Share the final version with employees and integrate into onboarding materials.

Configuring an Online Workflow for the Template

Set up a simple digital workflow so stakeholders can review, approve, and archive versions without manual email chains.

Field Configuration
Owner Approval Step Assign approver role and email routing for sign-off.
Version Control Enable automatic version numbering and changelog entries.
Reviewer Notifications Configure reminder cadence and escalation notices.
Archive Location Specify secure storage folder and retention tag.

Where to Send or Store the Completed Template

Decide a single authoritative location and distribution path so all stakeholders access the same approved version.

  • HR Records: Store the signed template in the HR document repository for onboarding and performance use.
  • Policy Archive: Add to the company policy library with version metadata and effective date.
  • Manager Copies: Provide managers with the template for team-level education and coaching.
  • Public Pages: If published externally, use the approved public-facing version only.

Digital Signing and Integration Considerations

Ensure the selected solution meets your compliance needs and can export signed copies in common formats for long-term storage.

  • Authentication: Email or SMS code verification for signer identity.
  • Audit Trail: Captures IP, timestamps, and action history.
  • Integrations: Connects to HRIS, Google Workspace, or Microsoft 365.

Common Mistakes to Avoid

  • Vague language — values without examples lead to inconsistent interpretation across teams and managers.
  • No assigned owner — templates that lack a named owner are rarely reviewed or updated on schedule.
  • Multiple uncontrolled versions — storing different drafts across channels causes confusion about the authoritative text.
  • Skipping legal review — values that touch conduct, privacy, or safety may create regulatory exposure if not vetted.

Risks of an Incomplete or Incorrect Template

Reputational Risk: Inconsistent values can erode trust internally and externally.
Operational Confusion: Unclear guidance increases disputes in performance management.
Regulatory Exposure: Poorly drafted conduct expectations may conflict with employment laws.
Contractual Conflict: Ambiguous language can cause inconsistency with other policies.
Data Mismanagement: Improper storage risks breach notifications and compliance issues.
Ineffective Training: Lack of examples reduces training utility and adoption.
