What the Business Customisations Template Is

The Business Customisations Template is a standardized form used to document client-specific changes to a product, service, implementation, or contractual scope. It records detailed customization items, technical specifications, pricing adjustments, acceptance criteria, timelines, and party responsibilities. Completed templates create an auditable amendment or statement of work that attaches to the governing master agreement, clarifying expectations and reducing disputes across procurement, professional services, software deployment, and vendor change-order workflows.

Why a Structured Customisations Template Matters

A clear Business Customisations Template reduces ambiguity, shortens approval cycles, and creates a single source of truth for scope, pricing, and acceptance. It supports consistent reviews, easier billing adjustments, and an auditable record suitable for compliance or contract enforcement.

Why a Structured Customisations Template Matters

Teams and Roles That Typically Prepare This Template

Procurement, account management, project management, legal, and professional services teams typically prepare or review the Business Customisations Template before client sign-off.

  • Project managers define technical requirements, schedules, and acceptance criteria to align implementation with client expectations and timelines.
  • Sales and account teams record pricing adjustments, commercial concessions, and billing impacts tied to custom requests for revenue and forecasting alignment.
  • Legal and contracts teams ensure amendment language fits the master agreement and confirm signer authority and approval workflow compliance.

After approval, the final signed template is distributed to project, finance, and contract repositories and retained alongside the master agreement for audit purposes.

Core Sections to Include in Every Customisations Template

Organize the template into discrete, labeled sections so reviewers can quickly confirm scope, costs, timelines, and responsibilities without searching multiple documents.

Scope Item

List each customization as an individually numbered scope item with a concise description, technical specifications, dependencies, and explicit exclusions to prevent scope creep.

Acceptance Criteria

Define measurable acceptance tests, validation methods, inspection steps, and sign-off conditions so both parties share identical quality expectations at delivery.

Pricing Impact

Detail one-time fees, unit costs, recurring charges, taxes, billing triggers, proration rules, and which party is responsible for third-party costs.

Timeline & Milestones

Specify start dates, milestone deadlines, delivery windows, and any change windows that affect scheduling and resource allocation for the engagement.

Responsibilities

Assign obligations to each party, listing deliverables, approvals, handoff requirements, and support duties to eliminate operational ambiguity.

Change Control

Describe the process for future change requests, evaluation criteria, approval thresholds, and required authorizers to manage subsequent modifications.

Step-by-Step: How to Complete the Template

Follow these steps in sequence to complete the Business Customisations Template efficiently and reduce rework during approvals.

  • 01
Prepare Base Contract: Locate the governing master agreement and reference applicable amendment provisions.
  • 02
List Customizations: Add numbered items with clear descriptions and attach supporting diagrams.
  • 03
Estimate Costs: Calculate pricing changes, prorations, and approval thresholds.
  • 04
Obtain Approvals: Collect signatures in the required role order and archive the final signed copy.

Recommended Online Workflow Settings

Configure a digital workflow to route the template, authenticate signers, and retain a complete audit trail for each approval step.

Workflow Field and Configuration Details Setting | Purpose | Required | Options | Notes
Signature Authentication and Verification Method Email link | Confirm signer identity | Yes | SMS, KBA, SSO | Record IP and timestamp
Routing Order and Role-based Approval Sequential routing | Ensures proper authorizers sign | Yes | Role-based routing | Escalation reminders
Field Validation and Mandatory Fields Validation rules | Prevent incomplete submissions | Yes | Formats, date masks | Error messages on save
Document Retention and Archive Settings Retention policy | Preserve signed PDF and audit trail | Yes | Export to CLM or archive | Immutable copy

Delivery Channels, Formats, and Integrations

Identify how you will share, sign, and archive the template electronically across systems and collaborators.

  • File Formats: PDF, DOCX, HTML, and XLSX supported
  • Integrations: Salesforce, NetSuite, Microsoft 365, Google Workspace
  • Authentication Options: Email link, SMS code, SSO, KBA

Typical Submission and Routing Paths

Common routing and destination steps show how a signed customisations template moves from approver to record systems.

  • Send to Client: Provide an email or secure signing link to the designated client contact.
  • Attach to Contract: Upload the signed template into the contract lifecycle management system as an amendment.
  • Notify Finance: Trigger invoice adjustments, billing entries, and revenue recognition workflows.
  • Archive Record: Store the final PDF and audit trail in the approved document repository.

Key Timing and Deadline Considerations

Track response windows, approval SLAs, and billing effective dates to avoid schedule slippage and revenue impact.

Client Response Deadline (standard timeframe):

Typically 5–10 business days for initial review and comments.

Approval Turnaround Target (internal SLA):

Target 3–7 business days depending on complexity and required reviews.

Billing Change Effective Date (billing cycle):

Align charges with the next invoice period or specify a prorated effective date.

Implementation Start Date (resource scheduling):

Begin only after approvals and any required deposits are received.

Retention and Audit Period (records):

Retain signed templates per policy, commonly 3–7 years for commercial records.

Security Controls and Compliance Considerations

Encryption: TLS 1.2/1.3 in transit; AES-256 at rest
Audit Trail: Immutable timestamps, IPs, and action logs
Certifications: SOC 2 Type II and ISO 27001 noted
HIPAA: Support available with BAA required
Authentication: Email, SMS, two-factor, and SSO
Access Controls: Role-based permissions and detailed logs

Common Preparation Errors to Avoid

  • Incomplete scope descriptions lead to differing expectations and late change orders; specify technical details, acceptance tests, and exclusions to avoid disputes.
  • Vague pricing terms create billing disagreements; state currency, rounding, taxes, and who bears third-party costs explicitly in the template.
  • Missing signer authority slows approval and increases legal risk; verify corporate authority and include delegations or resolutions when necessary.
  • Failing to attach referenced exhibits or diagrams causes implementation delays and rework; ensure all referenced files are included and versioned.

Consequences of Incorrect or Incomplete Templates

Contract Disputes: Potential breach claims or litigation
Billing Delays: Revenue recognition and invoicing hold-ups
Tax Reporting: Incorrect filings and backup withholding risks
Compliance Violations: HIPAA or sector-specific regulatory fines
Operational Disruption: Missed delivery deadlines and resource conflicts
Reputational Risk: Client dissatisfaction and potential churn
