  • Improved consistency and comparability across reports.
  • Brian Fitzgibbons (COO) noted that simplifying intake and signature processes reduced administrative friction and enabled signed confirmations without in-person meetings, improving auditability and speed of decision-making.

Martin Properties

  • Enabled remote processing and approvals during property turnover.
  • Founder Tim Martin observed that processing and executing documents online with compliant eSign workflows allowed mobile completion and faster lease turnarounds while maintaining security and compliance.

Common Preparation Pitfalls to Avoid

  • Incomplete metrics or missing supporting documentation that force rework and delay analysis, often caused by unclear data ownership or lack of a data dictionary.
  • Unclear ownership for recommended actions, which leads to stalled implementation and weak accountability for remediation timelines and outcomes.
  • Mixing forecasted figures with historical actuals without explicit labeling, producing misleading variance analysis and incorrect prioritization.
  • Failing to secure signatures, proper authentication, or consent records, which undermines enforceability and creates gaps in audit trails.

Essential Information to Collect

Company Legal Name: Exact registered business name on filings.
Tax Identification: EIN or SSN for reporting and verification.
Contact Information: Street address, city, state, and ZIP.
Financial Metrics: ARR, revenue, margins, and reporting period.
Process Ownership: Primary owner and backup contact details.
Supporting Files: Attach statements, org charts, and contracts.

Risks and Potential Consequences of Errors

Invalid Signatures: May invalidate the document.
Data Inaccuracy: Leads to poor decisions and misallocation.
Regulatory Noncompliance: Fines, audits, or enforcement actions possible.
Privacy Breach: HIPAA or data privacy violations risk penalties.
Delayed Filing: Operational disruptions and avoidable costs.
Contractual Liability: Exposure to indemnity or breach claims.

Practical Best Practices for Accuracy and Efficiency

Follow these best practices to improve accuracy, reduce rework, and ensure the Business Diagnostics Template meets governance requirements.

Standardize metric definitions, sources, and calculation methods
Define each KPI with precise formula, data source, reporting period, and acceptable rounding. Maintain a data dictionary and version control so different teams do not use inconsistent measures, which prevents misleading comparisons and simplifies audits.
Assign clear owners and deadlines for each action
Every recommended action should have a named owner, agreed deadline, and measurable success criteria. Use automated reminders and escalation rules to maintain momentum. Document exceptions and rationale when timelines slip to preserve accountability and audit trails.
Use checklists to validate inputs before analysis
Require a completion checklist for every section that includes supporting documents, data ranges, and reviewer sign-off. Checklists reduce omissions, accelerate review, and provide evidence of due diligence in case of disputes or regulatory scrutiny.
Secure sensitive data and limit access
Classify confidential fields and restrict access using role-based permissions. Encrypt stored copies, log access events, and use a business associate agreement when PHI is involved. Periodically review access lists and remove inactive users.
