Practical Tips for Accurate and Efficient Completion

Adopt consistent practices that reduce errors, speed approvals, and ensure the document is enforceable and audit-ready.

Use precise legal names and titles
Always enter the full registered legal name of entities and full names and titles for individuals. Consistent naming avoids identity mismatches, payment processing problems, and disputes about which legal entity contracted.
Confirm signer authority before sending
Verify that listed signers are authorized to bind the party (officer, authorized agent, signatory on corporate resolution). Asking for evidence up front prevents later avoidable invalidity claims.
Select appropriate authentication
Match signer authentication (email, SMS OTP, KBA, SSO) to the document’s risk. Higher-value or regulated transactions generally require stronger authentication and recorded attribution.
Keep an audit-ready copy
Preserve the signed document with its audit trail (timestamps, IP, signer email) and related attachments to support compliance, audits, or dispute resolution.

Typical Timing and Internal Deadlines

Set explicit dates and internal SLAs so parties know when to sign, when performance begins, and when documents must be archived.

Signature due date:

Specify number of days to sign (e.g., 7–14 days) from delivery

Countersign deadline:

Allow a fixed window for counterparty review and signature

Notary scheduling:

Schedule notarization before filing or recordation deadlines

Internal approval SLA:

Set legal and finance review timelines (e.g., 3 business days)

Archival timing:

Archive executed copy within 48–72 hours of completion
