Practical Tips to Improve Accuracy and Reduce Rework

Best practices to ensure accurate, enforceable, and efficient completion of Business Document Beeches across teams.

Verify legal names and signing authority
Confirm each signer's legal name, corporate title, and authorization limits before routing. Obtain documented proof of authority for corporate signers, such as board resolutions or POAs, when amounts or obligations exceed internal thresholds to avoid later enforcement challenges.
Include measurable acceptance criteria for deliverables
Define acceptance tests, inspection periods, and remedy steps in the contract body or an attached schedule. Clear acceptance criteria prevent disputes over incomplete work and streamline invoicing and payment by linking deliverable approval to payment triggers.
Document version control and exhibits
Number exhibits, include version dates, and cross-reference all appendices in the main agreement. Maintain a change log for amendments and provide final executed copies to all parties, ensuring every stakeholder has the identical signed set for enforcement and audits.
Preserve audit trails and authentication
Capture timestamps, IP addresses, and authentication records for each signing event. Where health, finance, or government data is involved, require stronger authentication methods and retain records in encrypted storage to comply with HIPAA, IRS, and other applicable regulations.
