Typical online signing workflow for finalized documents

A standard e-signature workflow ensures the document is prepared, routed, authenticated, executed, and archived with an auditable trail.

  • Prepare file: Convert to PDF and place signature fields and required metadata.
  • Assign roles: Specify signer order and field-level responsibilities.
  • Authenticate signer: Use email, SMS, KBA, or stronger methods as required.
  • Capture audit trail: Record timestamps, IP, and actions for enforceability.

Practical tips to reduce errors and speed completion

Follow these practices to reduce rework, improve legal certainty, and maintain an organized archive of executed documents.

Standardize templates and field names
Use a single canonical template for each document type to avoid version confusion; lock critical fields to prevent accidental edits and maintain consistent auditability across signings.
Verify signer identity early
Choose an authentication level appropriate to the risk: email-only for low-risk acknowledgements, SMS or KBA for moderate risk, and multi-factor or advanced signer authentication for high-value or regulated agreements.
Include explicit consent language
For consumer-facing documents, provide the ESIGN Act consumer disclosure and obtain affirmative consent to conduct transactions electronically as required by 15 U.S.C. §7001.
Retain a complete audit trail
Store the signed PDF with the platform's certificate of completion, timestamps, and signer attribution to support later enforcement or regulatory review.
