Practical tips for accurate, efficient completion

Adopt these practices to reduce errors, speed execution, and strengthen the document's legal standing.

Confirm signer identity and authority
Before sending for signature, verify signers using corporate records or a reliable ID check. For individuals, match the name to government ID; for entities, confirm resolution or officer authority to bind the organization. Document the verification step in the file's audit trail to support enforceability.
Use precise, measurable terms
Avoid vague phrases such as 'reasonable efforts' where measurable milestones or deliverables are possible. Specify dates, amounts, acceptance criteria, and remedies to reduce interpretation disputes and speed approvals during performance or audit.
Preserve a complete audit trail
Capture timestamps, signer email/IP, and field-level changes. When using electronic signatures, ensure the platform records consent and can reproduce the signed record, supporting ESIGN/UETA legal tests.
Store copies with controlled access
Save executed documents in an access-controlled repository, apply retention policies, and maintain backups. Restrict edit rights and retain original signed PDFs for the statutory retention period applicable to your industry.
