Record IP addresses, timestamps, authentication method, and actions; store signed PDFs with embedded certificates and access logs for legal or regulatory review.

Common Preparation Mistakes to Avoid

  • Leaving required fields blank or mixing date formats causes processing delays and can invalidate electronic signatures under ESIGN or state law.
  • Proceeding without verifying signer authority or obtaining corporate approvals can create enforceability disputes and require costly remediation.
  • Failing to attach supporting documents such as W-9s, proof of insurance, or licenses often results in payment holds and administrative rework.
  • Using image-only signatures without an audit trail or omitting signer authentication reduces the document’s legal defensibility in contested cases.
