Validate legal names and TINs
Confirm entity names and taxpayer identification numbers against official records before submitting the form to avoid backup withholding or corrected filings.
Use structured fields
Prefer date and numeric input fields instead of free text to reduce parsing mistakes and support automated data exports.
Set signer order

Keep attachments current
Attach finalized exhibits or schedules during initial submission; late additions complicate version control and audit trails.
