Adopt consistent drafting standards and verification steps to reduce errors and speed execution of the Business Document Manny DP.

Verify party identities before sending
Confirm legal names, business registration details, and TINs against official records to avoid backup withholding triggers and ensure enforceability; maintain a checklist for each counterparty to standardize verification.
Use clear, objective payment language
Specify currency, exact amounts or calculation formulas, invoice timing, and late fees to prevent interpretation disputes and support automated accounts-payable workflows.
Match execution method to risk
Use higher authentication, notarization, or recorded video notarization for high-risk transactions; for routine low-risk documents, email or SMS authentication with an audit trail is typically sufficient.
Preserve an auditable trail
Store signed documents with timestamps, IP logs, and version history; maintain access controls and retention schedules aligned to IRS, HIPAA, or industry-specific rules to support audits.
